Must do (M) - je DOIS faire

Should do (S) - je DEVRAIS faire

Could do (C) - je POURRAIS faire

Won't do - je NE FERAI PAS

Je dois (MUST)

Je devrais (SHOULD)

Je pourrais (COULD)

An effective action plan is critical, whether sending out weekly email newsletters, putting together a presentation, or executing a marketing plan or business plan . However, creating an action plan from scratch can be even more troublesome if you don’t know how to do it.

Fortunately, with Visme’s action plan templates , anyone can create an effective action plan in minutes.

Continue reading to discover what exactly an action plan is, why you need one, how to create one and some template examples that you can use it for inspiration.

What is an action plan and why do you need one, why do you need an action plan, how to create an effective action plan.

  • 10 Action Plan Templates To Help You Execute Projects

As the name suggests, an action plan is the set of tasks or activities you need to complete to achieve a goal or complete a project. You can think of it as a timeline, a list of actionable steps, people responsible for each of them and who follows the progress of each step to come up with the best results.

This single document can help you plan and monitor activities, identify the resources needed, and how and when they should be used to ultimately achieve your stated goal.

Now, you might be wondering the difference between an action plan and a to-do list. The most significant difference between these two is that to-do lists are ongoing and include tasks for different goals and projects. On the flip side, an action plan is focused on a specific goal within a limited time frame.

The purpose of creating an action plan:

  • Consumer Complaint Investigation
  • Project Management
  • Risk and Opportunity Management
  • Product Launch
  • Daily Meetings
  • Market Research

According to a recent study, those who finish their business plan are twice as likely to succeed in their business than those who have no business plan. So, plan to be prepared for the obstacles ahead and keep yourself on track.

And an effective action plan helps you boost your productivity and keep yourself focused. Here are some of the reasons why you need an action plan.

Get a Clear Direction

An action plan highlights the steps you should take and the timeframe to complete them. Therefore, you will get a clear direction of what to do in order to achieve your goals. So, whenever you stress yourself about the next steps or the actions taken in the past, you have everything in hand.

Keep Everyone On the Same Track

An effective action plan can bring every team member or stakeholder on the same page. It can be an individual who is an expert in the area of work, the one who is experiencing the problem and stands to benefit from the change, or who can contribute towards the goal or project.

Get a Better Clarification of the Timeframe

Every action in your action plan should have an exact completion date. Once you assign all the tasks that need to be done to achieve your goal and understand the requirements of resources for it, you can quickly figure out how long the overall action plan will take.

Measure Your Success

Measuring the success of the progress of your goal is another crucial benefit of using an action plan. For example, if an objective is to write an action plan, there may be many steps towards that goal, including understanding the design process, writing the text, branding and many others.

You can measure each of these steps to ensure you achieve the goals and contribute to the larger objective of creating an action plan.

Learning to create an action plan might seem daunting at first, but it’s worth the effort to keep yourself productive towards the goal later on. Though there is no universal formula to create an action plan, and they may differ in terms of tasks and timelines, you can follow the simple steps below to create one.

Define S.M.A.R.T. Goals

The most important ingredients you need to create an effective action plan are the goals you want to achieve. Since you are reading this, you might have already defined goals. But, if you haven’t, use the SMART method to create specific, measurable, attainable, relevant and time-bound goals.

Use the infographic below to understand a SMART goal and try to create yours accordingly.

Smart Goals Infographic

Once you have set SMART goals, you are already halfway through achieving them. If you struggle with creating SMART goals, use the worksheet template below.

Prepare the List of Actions

Now, prepare a list of actions you need to take to reach your goal. It would be better to divide your main goal into smaller actionable steps to make the final goal less overwhelming and get closer to achieving your goal one step at a time.

However, make sure that the actions are realistic and relevant to your goal. For example, if you want to generate 30% more leads, some of your actions could be creating engaging content, optimizing your web pages, asking for referrals, and many others.

Identify and Allocate Resources

Before creating the action plan, you must identify all the resources required to complete the tasks. Some of the resources you need will include money, equipment, personnel, tools and others. And if you don’t have the resources available at the moment, you need to make a plan to acquire them.

Once you have your resources, allocate them to the right people. For example, suppose you are running a digital marketing campaign. In that case, you will need to have the applications and tools for content production, graphic design, and marketing analytics and hand them over to your content manager, social media manager and SEO manager.

Set the Deadline

As we have already discussed, the goals should be SMART. And here, T stands for time-bound, which means that you should have a start and finish date to achieve your goal. If you don’t do it, you are likely to never reach the goal.

Therefore, choose a specific deadline so the other team members involved can plan better for the execution of the action plan.

Additionally, you can break one large goal into smaller subgoals and set an individual deadline for each of them. For example, if you want to generate 30% more leads by the end of Q4 this year, you can set subgoals such as:

  • Upload first YouTube video by X date.
  • Publish 250 blog posts by X date.
  • Host 25 webinars by X date.

Now, let’s move to the part where you will actually materialize your action plan. Creating a visual representation of the action plan is the best way to engage your team so that everyone knows the plan well.

Product details

An action item is a discrete task that must be accomplished, usually by a single individual or a small team or group. Action items typically arise from meetings and should always be clearly documented. Most people overestimate how well they are likely to remember things. As a result, they may commit themselves to an action item, write a sketchy shorthand note about it and later wonder what it means. One way to prevent that scenario is ensuring that action items are expressed as full sentences. It is also important to ensure that all crucial details are included, such as task deadlines, the responsible party and any consequent action items that are expected to arise from the original one. Action items arising from another are sometimes referred to as relay items.

Whenever we talk about the action item, there are three W’s that are considered in it. These are Who, What, and When. Who? The action item for this task will make clear that the specific task is assigned to that specific person. What? This is because this is the description that will tell the person what he is needed to perform for the task. This not only needs to be clear, but it also needs to be short and to the point so that there are no ambiguities left. When? This is the time that is allowed for the task to be completed. Sometimes it is called the deadline for the project. Although an action item seems to be a very simple thing to make it is not that simple.

The Action Item Template consists of four slides that contain all the tools you need to build a professional presentation. You can present your data in tables and indicate the percentage completion for each task using horizontal charts. You can also prioritize each task and choose the desired colour for each of them. This presentation of data helps to immediately determine what stage the project is at and which tasks need to be addressed first. For example, team leaders and product owners can use this template during their weekly meeting to discuss customer product development. Also, this template will be useful for construction companies and architectural firms. You can use the slides of this template to control construction work at home in different areas of work. Also, this template can be used by heads of departments when preparing a report for the director of the company on the work of the department.

The secret to making meetings more productive is accountability. With this action item template, you can improve the overall efficiency of meetings and ensure proper follow-up from your teams. Perfect for all industries, this PowerPoint template includes a tracking ID for each action item, assigned owners, start and due dates. With its clear colour coding system, you can prioritize tasks, rate level of effort and difficulty, and seamlessly change status of each action item. You can also add personalized notes and comments for each task.

Ideal for project managers, team leads and scrum masters, you’ll find this template easy to update and flexible to customize. For executive meetings and quarterly reporting, this template tells a clear, concise and visual story that’s easy to follow along for senior stakeholders. No matter the complexity of your project, size of your team or scope of budget, this template is useful in helping you and your team stay organized, and ensure on-time delivery of projects.

A Complete Guide On How To Present An Action Plan

Editor - SlideModel

Editor - SlideModel

An action plan is a list of tasks, sequences, and resources, one would need to carry out a given objective.

Action plans are crucial for any organization’s success. They are used for strategic planning and for effective reality checks. They ensure that everything is properly organized to achieve the task within the desired deadline and properly.

Advantages Of Creating Action Plans

  • Action plans help with the smooth flow of communication strategies and make directions clear.
  • They ensure objectives have a feasible implementation plan and nothing is fizzled out.
  • They break down the objectives into small, graspable, and achievable goals.
  • Action plans involve checklists that include a list of resources needed to achieve the goal.
  • They set realistic expectations so that people working on the project can definitely and properly achieve the given task.
  • They set timelines, pre-conditional planning, and detailed descriptions to monitor and execute strategies properly.

Elements Of An Action Plan: In-Depth Guide

Let’s learn the structure of an action plan and how that helps the given objective.

1. Describe Your Objective

Define the purpose behind your objective and the strategy that you would take to achieve it. Be as elaborate as possible so that you can find loopholes in your plan. Break down the vision further by adding more steps. The more detailed your outline is, the better it would become.

2. Breakdown Tasks

Split down your observations into tasks. Envision the actions that must be taken to reach the goal. Regardless of the size of the goal, you may need to divide it into subcategories or stages before identifying the actions required. Be thorough with this list to avoid any unexpected stumbling blocks in the process.

3. Assign Responsibilities

Assign people their job roles so that everyone in your team knows what their job is. This will also help you delegate tasks and simplify the overall process.

4. Set Milestones

Ensure you indicate when each of the preceding tasks should be finished, taking evaluation and modification time into consideration. If you’ve divided your plan of action into stages, then set milestones for each step in your action plan. To discover bottlenecks, be careful to specify precedence and preconditions.

5. Create Resource List

Consider who you’ll need and what resources you’ll need to perform each activity. Understanding the scope and breadth of the activity requires resource analysis. This is an important stage for getting a grip on reality.

6. Progress Metrics

There is no such thing as a finished plan before progress and accomplishment metrics are identified. Work activities, benchmarks, and long-term goals will each have its own methods for measuring performance and accomplishment. Develop this from the start so that you can perform the necessary monitoring and management.

How To Ensure Your Action Plan Works Properly?

1. visualize your action plan.

You cannot emphasize how important it is to visualize your overall plan of action. It is easier to follow a plan that can be seen visually. You can’t measure numbers when they are just written integers. You can measure results when they are in a pictorial format. You can visualize your action plan by using action plan PowerPoint templates.

2. Create SMART Goals

What does SMART stand for?

Specific, measurable, achievable, realistic, and timely. This means that your goals should have specific and realistic results. SMART goals are based on the OKR approach or Objective Key-Results. This approach allows you to create actionable objectives first and then break them down into achievable results.

For example, if you plan to bring traffic to your website. The objective should be, to reach 1000 users per month by the year-end. This means you should break that down into 200 users per month in the first quarter, 500 users per month in the second quarter, and 800 users per month by the third quarter. So on and so forth.

3. Involve Your Tea In Planning Process

It is not just the job of the manager to create the plan. If the team is not involved in the planning process, you can’t expect them to deliver the work on time. All must be aware of their respective tasks and functions. Teams and individuals must sign off on assignments and accept their timelines . This will help with accountability in the long run. If any of the scheduled actions are in danger of not being completed, this should be discovered and examined as soon as feasible. This is only possible when there is a mid-plan review in place. Teams that are lagging behind on their objectives can improve overall working with this approach.

4. Break Objectives Into Milestones

Milestones are checkpoints used for reviewing the overall progress of the deliverables or goals. Milestones allow teams to check their progress and if the work is client-based, then to get the client to review the teamwork. In each data-centric organization, milestones help with better planning, project management , and approvals.

5. Review The Plan

The best way to review your plan is to conduct a review meeting. You will invite your team members to review the report and provide their feedback. They should have a clear understanding of the project outcomes, deadines, their responsibilities, and overall milestones. The action plan should be easy to monitor. It is even better if the KPIs are prominently added so that all stakeholders involved can see the process.

6. Monitor & Measure Progress

It is time to implement the action plan.

The action plan will be implemented in phases. You will have to constantly check with the team for issues with implementation. Each objective will be monitored to see if it meets the desired outcome. You can start with the basic KPIs but gradually add more metrics to ensure everything is properly monitored.

These are all the steps that you would need to create an objective-focused action plan.

That being said, action plans are there to organize your efforts and create a clear strategy. They are great for performance monitoring and getting things in check.

However, action plans cannot solve all problems of the plan. They can pinpoint the issue that may be causing problems though, this can be lack of performance, unskilled labor, or anything similar. Mid-plan reviews will ensure that these bottlenecks are removed for the smooth flow of the organizational processes.

Now that you know everything about action plans, it is time to create your own with the help of the right action plan template .

Presentation planning is a useful and necessary skill in the professional world as well as school. Whether you need to sell a product, or get a passing grade in your class, planning a presentation takes time and dedication. You will want to figure out the best way to construct your material, considering your audience and your presentation's message. From there, work on building your slides and materials. Assemble information in a logical order that best illustrates your point. Practice your presentation regularly before delivering it. This can help you figure out any information that should be cut or restructured.

Assembling Your Best Material

Step 1 Think about the goal of your presentation.

  • Write down your most important points. See if you notice a key point emerging. If your audience were to take away one thing from this presentation, what would it be?
  • Don't just bombard your audience with facts. Think about what these facts do for your audience. What's the point you're trying to make with the information?

Step 2 Know your audience's background to help you structure your presentation.

  • Are you trying to sell them a product, introduce them to a new idea, alter their way of thinking?
  • Think about the kind of people in your audience. Do you have a tougher crowd, or do you have a group of enthusiastic people excited about what you're going to say?

Step 3 Select your main points based on the length of your presentation.

  • For example, if you're talking to a company about recycling program, you might discuss how corporate pollution contributes to global warming and how recycling can help the company save money. You wouldn't discuss the melting ice caps as a key point.
  • Melting ice caps are a valid concern, but they are a fact or a supporting point.

Step 4 Find your best-supporting information.

  • Add clarity to your argument by explaining anything the audience may not understand. For example: a brief overview of pollution's effect on climate change.
  • Add authority by making connections with existing research, studies, and information. For example, you could mention the consensus in the scientific community that global warming is manmade and cite a few studies.
  • Add color to your argument through visuals, like pictures and videos. For instance, you could show a chart of the amount of waste an average corporation produces in one month.

Finding a Trajectory for the Presentation

Step 1 Start your presentation with a solid introduction.

  • Include the basics of introducing yourself. You can say something like, "I'm Clara Thompson from Clean Water Action, and I would like to address your company today."
  • Get your audience's attention with a question or a fact. For example, you could ask: "Have you ever passed a body of water covered in green sludge and wondered how this happened? The answer may surprise you."
  • You don’t have to write your presentation in chronological order. If you want to work on your main points first and save the introduction for last, you can.

Step 2 Present your research and work in the body of the presentation.

  • For example, you're trying to get the corporation to alter their recycling program. Start by overviewing the vast amount of corporate pollution in the world.
  • Explain the consequences of this. Show how pollution contributes to climate change, then show what the corporation can do through changes in their policies.

Step 3 Use linking statements to make your points clear.

  • Common linking statements include things like, "Another important issue...," "Based on this data, you can now see..." and, "This brings me to my main point..."
  • For example, "Now that I've shown you the effects of corporate pollution, this brings me to my main point. What can you do to stop it?"

Step 4 Make use of visuals and graphics on your slides.

  • If you have any graphs or diagrams that will help illustrate your point, use them. Physically seeing information can help make your point more clear.
  • You should also see if there are any videos you can include. A brief video of someone succinctly explaining an issue can shake things up a bit.
  • Pictures are also nice. Each slide should have a picture related to the topic at hand.
  • Make sure not to overuse graphics or visuals. Too many could be overwhelming or distracting for your audience.

Step 5 Conclude your presentation.

  • You only need one slide. Recap what your point was. Begin with something like, "As you can see..." and then briefly repeat your main point.
  • A visual can help as well. Try adding one last visual aid that sums up your point. A graph or diagram would work well here.

Practicing Your Presentation

Step 1 Strive for 1 to 2 minutes of talking per slide.

  • If you're taking longer, cut some information out. You do not want to talk fast to include all information, as this can make you difficult to understand.
  • For accuracy, talk in your regular voice. Do not speak too fast or too slow. You want to make sure you can fit in all information talking at a normal rate.

Step 2 Keep your information relevant to the theme.

  • Are any facts extraneous? It's great to illustrate the effects of global warming, but do you really need five examples of environmental decay? Try to cut it down to two or three.

Step 3 Listen to yourself presenting.

  • You should sound enthusiastic when presenting. Talk without hesitance, and don't use filler words, like "um" or "uh."
  • Don't jump between topics. Use your linking sentences, and say things like, "And this brings me to the following..."
  • Watch the time. Make sure your presentation isn't going on for too long.
  • Watch yourself give the presentation in a mirror so you can correct any distracting movements or gestures.

Step 4 Practice until you have little need for your notes.

  • Don’t read the information off of your visuals since it could affect your engagement between yourself and the audience.

Plan a Presentation for Success – 8 steps

September 03, 2023

Too many people, when they hear the word presentation, reach for their computer and switch to PowerPoint. That’s because they feel they are making progress creating visual aids.

They pull information together, they lay out by making powerpoint presentation slides and admire their handiwork. only then do they try to tell a story., this is not the right way for planning your business presentation..

“Before anything else, preparation is the key to success.” Alexander Graham Bell

What to do instead: Plan you presentation using a story, a script and a plan

The process for presentation planning should be more like that of movie making. When you make a movie you only start filming at the end of the planning process. Before filming you must have a story, a script and a plan.  It should be the same when planning a presentation.

The better you plan a presentation, the easier it is to be successful. At first, it may feel frustrating that you are not writing slides. You may spent hours staring into space or doing research. But investing in proper presentation planning will pay back many times over.

In the end by planning your presentation properly you will spend less time writing PowerPoint slides. You will spend less time editing and you will spend less time searching for a way to link the sections of your PowerPoint presentation together. You’ll also discover that practising and rehearsing is easier. You’ll learn these skills with our presentation coaching .

“There are three things that are important for a film. Number one is story, number two is story, number three is story. Good actors can save a bad script and make it bearable, but good actors can’t make a bad script good – they can just make it bearable.” Mark Strickson, TV producer & actor

Your 8-Step Presentation Plan

Let’s explore each of these presentation planning steps, one by one.

1. Start by using the AIM approach in your presentation plan

What is the first step in planning a presentation? AIM is an easy-to-apply first step so that your presentations are easier to prepare.

What typically goes wrong. Most people create presentations without proper planning. They start writing slides before they have decided what they really want to say and what are important points.

Why is it important to plan a presentation?  Without an effective presentation plan you waste time and energy.

What to do instead. It’s a good idea to use AIM . Start with a blank sheet of paper and write the three letters A.I.M. across the top. In each of these columns start writing what you know about A: Audience , I: Your intent , (or Purpose) and M: your take-away Message .

See the next three paragraphs for more detail on A, I and M.

“Proper planning prevents poor performance” James Baker, former US Secretary of State

2. Identify your AUDIENCE and what they need

Shortcut Summary : Your audience, not you, should be centre of attention in any successful presentation. The better you understand your audience members, the better your talk will be.

What typically goes wrong : When people give presentations about their latest project, they talk about their latest project. If they are reporting quarterly results, they report quarterly results. If they are speaking about their new business, they tell the audience about their new business. If explaining a new piece of regulation, they talk about elements of that regulation.

The problem with this approach is you are not including your audience in your talk. And if you don’t include your audience, you will lose audience attention.

Why does this matter?  Audiences are selfish. They like being talked about.

What to do instead. Your talk should be about what your main points mean for the audience. For example these are good titles for a presentation:

  • “What you can learn from our latest project.”
  • “Our quarterly results and what they mean for your department next quarter.”
  • “How our new business can make you money.”
  • “What the new regulations mean for you and your clients”

To do this, you must understand your audience. That means asking questions about them and getting under their skin. For example, some questions you may have could include:

ABOUT BACKGROUND

  • Who is coming to this talk?
  • What common reference points can I use?
  • What experiences have they shared?
  • What are your audience’s needs?

ABOUT MOTIVATION

  • Why are they coming?
  • What problems do they have?
  • What do they need and want?
  • What will make life easy for them?

ABOUT EXPECTATIONS

  • What would they like me to talk about?
  • What would victory feel like for them?
  • What will make them sit up?

ABOUT CONNECTING

  • What can I say that will show them I am on their side?
  • What stories will resonate?
  • How can I add value?

ABOUT EMOTIONAL POSITION

  • What frame of mind will they be in?
  • What should I avoid talking about?
  • What will make them feel good?
  • What can I say at the start to win them over?

ABOUT MAKING IT EASY FOR THEM

  • What specific language should I use?
  • How should I position what I am talking about for this audience?
  • What phrases will resonate?

The more you learn about your audience, the better you know them and the better you can plan your talk for them.

“Designing a presentation without an audience in mind is like writing a love letter and addressing it: To Whom It May Concern.” Ken Haemer, presentation designe r
  • Before any talk, analyse your audience members.
  • Research them.

3. Clarify your INTENT: what you are trying to achieve

Summary : Decide early the intent or purpose of the presentation. This will help you direct your efforts to achieve your goals.

What typically goes wrong : “I’m going to talk about…” is a typical answer to the question “Why are you doing this talk?” But talking about something is of no use to anyone. It is pointless.

For example, these are NOT a goal for your presentation:

  • “I’m talking about our new project”
  • “I’m talking about the new regulations”
  • “A pitch about our new fund”
  • “An introduction to ABCX co”
  • “Monthly board report”

Why does this matter? For a talk to work it requires a clear purpose. When you know the objective of your presentation you can harness your talk to achieve just that.

What to do instead : Decide your intent. For example, when I asked a Chief Financial Officer recently what was the purpose of the presentation, he was clear: he said that he “Wanted to look like the next CEO of this business.” This clear purpose made it easy to help him prepare what he said, how he said it and how he positioned himself.

More examples of a good intent:

  • A Lawyer, when giving a talk about new regulations , was clear that she wanted “to help companies use the new regulations to run better, more profitable businesses”.
  • An HR director who was introducing a new expense system was clear that her intent was to “get people to use the new system by next month so they can get paid faster and with less effort.’
  • A fund manager who was pitching a first time fund to new investors had a clear intent of “getting onto their radar screens and securing a second meeting”
  • A company looking for a trade buyer had crystallised their intent into “creating excitement about the potential value of buying this business and demonstrate the risk of others buying it.”
  • An accountant at a well known firm had the intent with his monthly board reports to “Get them to recognise the value my team adds.”

Having a clear intent will make it easier for you to plan your presentation. Identifying that intent is also one of the harder parts of planning a talk.

“A talk is a voyage with purpose and it must be charted. The man who starts out going nowhere, generally gets there.” Dale Carnegie
  • Be absolutely clear on the objective of your presentation.
  • Summarise your specific purpose in one line
  • Use your intent as your North Star to guide everything you say and how you say it.

4. Write your one big take-away key MESSAGE

Summary : Your presentation needs a take-away message . This means one simple message so when someone asks “What was that talk about?” a listener can confidently answer.

What typically goes wrong : Many presentations have titles such as:

  • “Quarterly strategy report”
  • “Project X”
  • “Manufacturing update”
  • “Annual results”

These are all topics, not messages

Why does this matter? These titles don’t help the audience. They only tell them something they already know. With a topic title you miss the opportunity of preparing your audience and getting them in the right mindset to be ready for your talk.

What to do instead when you plan a presentation: Identify a message that summarises your key points that you can use as its title. Keep improving the title until it properly captures what you want to say. For example:

  • “Our strategy remains on track”
  • “Launching Project X by December could double revenues next year”
  • “Manufacturing: three problems we must address”
  • “Profits up 5% this year despite Covid headwinds”

Then test your title on other people. Check if it grabs your audience’s attention and generates the reaction you want.

“If you can’t write your idea on the back of my calling card, you don’t have a clear idea.” David Belasco, theatre producer

Next Steps in planning a presentation

  • Decide the title of your talk early.
  • Check it generates the reaction you want.
  • Use this to build the rest of your talk.
  • Re-test your message against A.I.M.

5. Agree the three parts of your talk

Summary : Your brain Is naturally tuned to hearing things in sets of three . If you can break the content of your presentation into three parts then it’s more likely to be a success.

What typically goes wrong : Many presentations are like shopping lists: covering multiple topics and jumping from one idea to the next.

Why does this matter? In the end, a huge amount of information has been transmitted but little has been received.

What to do instead : Less is more in a presentation. Help your audience by giving them a structure. When you plan a presentation, a three part structure is one of the most useful planning shortcuts that you can use.

Once you are completely clear about your intent and your message, start developing a three part structure for your talk. For example, if I wanted to give a talk that shared advice on how to present, I would consider using one of the following structures:

  • Mistakes other people make / Tips you can use / How to become a great speaker
  • How to define your messages / How to structure your talk / How to deliver your talk
  • What bad looks like / what good looks like / what you can do differently
“ In writing and speaking, three is more satisfying than any other number.” Carmine Gallo, author
  • Life, Liberty and the Pursuit of Happiness
  • Liberté, égalité, fraternité ;
  • A Mars a day helps you work, rest and play;
  • Stop, Look and Listen;
  • Faster, Higher, Stronger;
  • Veni, vidi, vici ;
  • “see no evil, hear no evil, speak no evil”
  • Find your three part structure early.
  • Use the structure to focus your efforts and guide your planning

6 . Presentation planning – What is your story?

Summary: Use a story to underpin your talk. No matter how dry your subject, when you use a story you will make it more memorable and more effective.

What typically goes wrong As an expert, a typical presenter wants to share knowledge.

For example: A few years ago, I helped a lawyer give a talk to investors. This audience consisted of private equity executives who sat on their investee company boards. The subject was the 2006 Companies Act and the Duties and Responsibilities of a Company Director. A dry subject.

In her first draft, she reviewed sections of the Act and highlighted problems that directors may face. For example, “Section 172 of the Act, sets out your overarching duties as a director. You must act in the way you consider, in good faith, would be most likely to promote the success of the company for the benefit of its members as a whole.”

As you can imagine, it was not the most exciting of talks.

Why does this matter? A precise talk may not be an interesting talk. Your job as a presenter is to make the talk interesting and easy for your audience.

What to do instead Find a story that fits what you want to talk about.

For example, for the investor director talk above, we decided to title the talk “How to keep your nose clean and yourself out of jail” Then the talk was based around a series of situations that anyone in the audience might face. She did not refer to any particular section of the Companies Act at all. Her text was:

“Imagine this situation. You turn up for a board meeting. You are a 10% shareholder and you are a director. At that board meeting the CEO announces that the company is near bankrupt and needs more funding. What should you do? Do you absent yourself, having a connected interest. Or do you declare your interest as a shareholder? Or do you carry as normal assuming business as usual?”

By framing it as a story you involve your audience and you make it easier for them to process what you say.

“Sometimes reality is too complex. Stories give it form.” Jean Luc Godard, film director
  • Find stories to tell, narratives to bring your facts to life.
  • Tell the story behind the numbers.
  • The dryer your subject matter, the more important stories become.

7. How to plan your presentation – Have you asked WHY?

Summary : ‘Why’ comes before ‘What’ comes before ‘How’

What typically goes wrong : When a speaker knows a subject well, it is easy for them to assume knowledge and talk about the nuances of what they know. I often describe this as the ‘How’ of a subject.

For example, when speaking about a new engine you have developed, you might say that you made the pistons more accurately, that you mix petrol more precisely and you have added a new technique of managing engine performance.

Why does this matter? This is one of the most common mistakes that experts make when giving talks. They spend too much time explaining HOW something works, rather than explaining WHAT it is they are talking about and WHY it is important.

What to do instead : “We have designed a more efficient car engine that will get 100 miles to the gallon.”

“Start with Why” Simon Sinek
  • Ask yourself “So What?” to everything you say
  • Check that you are clear why the audience will be interested.
  • Imagine someone in the audience asking “What’s in it for me?” (WIIFM)

8. Create a 90 second summary of your presentation

Summary : The best way to plan your presentation is by speaking a c 100-200 word summary of your presentation. This rule of thumb summary will test the rigour of your thinking, the clarity of your key message and the robustness of your plan.

What typically goes wrong : The average poor presentation meanders from topic to topic and is more like a data dump than a well organised talk. It is rich in information but poor in story, structure and planning. It will be hard to summarise that talk easily.

Why does this matter? Lack of planning = Lack of story = Hard for your audience.

What to do instead : Create a short summary of your talk to test your thinking

  • You can use your summary early in your presentation planning to test your ideas.
  • If you are working with colleagues you can share your thinking using your summary.
  • If you are planning a presentation for someone else, you can share your summary to test their reaction.
  • If someone else is preparing your presentation, you can use a summary to check they are on track.

Creating a summary is one of the most powerful ways to plan a presentation and will save you a huge amount of wasted time.

“If you can’t write your message in a sentence, you can’t say it in an hour.” Dianna Booher, Autho r

Next Steps for Presentation Planning

  • Test your ideas with a short summary.
  • Use a critical audience.
  • If it is not tight enough, keep refining your summary.

Summary – how to plan a presentation for success

Start by planning, not by writing. This may feel counter intuitive, but you’ll make progress faster.

How do you plan a presentation for success? Try these steps:

  • Use AIM as the first stage of preparing any talk
  • A – Audience: Analyse your audience and understand their needs
  • I – Intent: Be clear on the single purpose of your talk.
  • M – Message: Decide your one take-away message from your talk
  • Decide the three parts of your talk
  • Create and perfect a 90 second summary of your talk before fleshing it out
  • Answer the WHY questions in your talk before the WHAT or HOW questions.
  • Imagine your audience asking So What? and What’s in it for me? throughout.
  • Check your talk summary against your Audience, Intent and Message.

How to Write an Action Plan: Step-by-Step (Examples)

By Status.net Editorial Team on November 9, 2023 — 9 minutes to read

An action plan is a detailed roadmap of the necessary steps you need to take to achieve a specific goal or objective. It’s like a GPS that guides you from your starting point to your desired destination. Creating an action plan helps you break down a large goal into smaller, more manageable tasks, which makes the goal feel less overwhelming.

To start, you should first identify your end goal and be as specific as possible. For example, if you want to increase sales for your business, set a target like “Increase sales by 20% within the next six months.” This will give you a clear vision of what you want to achieve and make it easier to measure your progress.

Next, list the necessary actions or tasks required to reach your goal. These can be further divided into smaller tasks that are easy to understand and implement. For example, to increase sales, you could:

  • Improve your online presence by revamping your website, optimizing it for search engines, and posting regularly on social media platforms.
  • Reach out to potential clients through email campaigns and cold calls.
  • Offer promotions or discounts to incentivize new customers to try your product or service.

Now, it’s time to set a timeline for each task. Deadlines will enable you to monitor your progress and stay on track. Assign realistic due dates for each task, and if needed, break them down into smaller milestones.

To ensure your action plan’s success, make sure to assign responsibility for each task. If you’re working with a team, delegate tasks according to each team member’s strengths, skills, and workload. This will help ensure everyone knows what their responsibilities are, and they are held accountable.

Lastly, always monitor your progress and evaluate your action plan’s effectiveness. Regularly review the tasks you’ve accomplished, and make note of the tasks that were challenging or required more time than anticipated. This self-assessment will help you improve your action plan and make necessary adjustments as you work towards your goal.

Example Action Plan

Goal : Increase sales by 20% within the next 6 months (By January 1st, 2025)

Actions : 1. Improve online presence a) Revamp website design – Due October 15th b) Optimize website for SEO – Due November 1st c) Post regularly on social media (1x/week min) – Ongoing

2. Reach out to potential clients a) Create email marketing campaign – Due September 15th b) Start cold calling campaign (10 calls/day) – Start October 1st

3. Offer promotions a) Design promotion flyers – Due September 1st b) Run month-long 20% off sale – October 1-31st

Monitoring : – Check website analytics weekly – Track new clients monthly – Evaluate sales figures monthly – Adjust plan as needed at monthly meetings

Responsibilities : – John to revamp website – Susan to handle social media – Michael to create promotions – Jennifer to manage outreach campaigns

Steps to Creating a Powerhouse Action Plan

First, identify your goal . Be specific about what you want to achieve and set a time frame for accomplishing it. This will help keep your efforts focused and prevent you from getting overwhelmed by smaller tasks. For example, instead of “increase sales”, choose “increase sales by 20% in the next six months”.

Next, break your goal down into smaller, manageable tasks . Create a list of activities or steps that must be completed in order to reach your goal. If your goal is to Increase sales by 20%, some tasks might be:

  • Research your target market
  • Develop a marketing strategy
  • Improve product offerings
  • Train your sales team

Assign a deadline and responsible party for each task on your list. This will help ensure that all tasks are completed on time and that everyone knows their role in achieving the goal. Make sure to set realistic timelines for each task, taking into consideration the resources and time available.

Here’s an example:

  • Research your target market – due in one week – assigned to Jane (marketing specialist)
  • Develop a marketing strategy – due in two weeks – assigned to marketing team

Monitor your progress regularly. Keep track of your progress by using tools such as calendars, project management software, or a simple spreadsheet. Regularly assess whether you’re on track to meet your goal and adjust your action plan if needed. For example, if a task is taking longer than expected, you may need to reassign resources or revise the deadline.

Celebrate your milestones and learn from setbacks . Along the way, take the time to acknowledge and celebrate your successes, as well as learn from any setbacks or challenges. This will help maintain motivation and encourage continuous improvement.

Finally, communicate your action plan to all stakeholders involved, such as employees, investors, or clients. Clear communication ensures everyone understands the goal, their responsibilities, and the expectations for the project.

Defining Clear and Smart Goals

Specific goals.

When creating your action plan, start by setting specific goals. These are clear, well-defined goals that leave no room for ambiguity. You should know exactly what needs to be accomplished and how you plan to achieve it. For example, instead of aiming for “increasing sales,” set a goal like “increase sales by 15% over the next six months.”

Measurable Goals

Your goals should be measurable so that you can track your progress and know when you’ve achieved them. This involves identifying quantifiable indicators that will help you determine your progress. For instance, if your goal is to increase sales, a measurable component can be the number of units sold or the amount of revenue generated within a specific timeframe.

Achievable Goals

When setting goals, make sure they are achievable and realistic based on your current resources and constraints. Consider your team’s capabilities, time, and budget. Unattainable goals may negatively impact your motivation and morale. For example, if you have a small team with limited resources, setting a goal to double your company’s size within a month might be unrealistic. Instead, aim for a modest yet challenging growth rate that can be achieved with your available resources.

Relevant Goals

Your action plan goals should also be relevant to your organization’s mission and vision. These are goals that align with your overall strategic plan and contribute to its long-term success. Relevant goals ensure that your efforts are focused on high-impact areas and avoid unnecessary distractions. For example, if your business is focused on sustainability, a relevant goal might be to reduce your company’s carbon footprint by 20% in the next year.

Time-bound Goals

Finally, ensure that your goals are time-bound, meaning they have a deadline for completion. Deadlines keep your team accountable and help maintain a sense of urgency, which is crucial for staying on track and achieving your objectives. A clear timeframe also allows you to measure your progress and adjust your plans as needed. For instance, you could set a goal to expand your customer base by 10% within the next quarter.

Assigning Roles and Responsibilities

When creating an action plan, it’s important to assign roles and responsibilities to your team members. This helps ensure tasks are completed efficiently and everyone is clear about their duties. Here’s how to do it effectively:

  • First, identify the necessary tasks to achieve your goal. Be specific about what needs to be done and break it down into smaller steps if needed. For example, if your action plan involves promoting a new product, tasks could include designing promotional materials, creating social media posts, and reaching out to potential partners.
  • Next, evaluate the skills and expertise of your team members. Consider their strengths, weaknesses, and past experiences with similar projects. This will help you match team members with tasks that best suit their abilities. For instance, someone with graphic design expertise should be responsible for creating promotional materials.
  • Once you’ve determined which team members are best suited for each task, clearly communicate their roles and responsibilities. This can be done through a project management tool, an email, or a team meeting. Make sure everyone is aware of their duties and the deadlines for each task.
  • Keep track of everyone’s progress, and hold regular check-ins to see how each team member is doing with their assigned tasks.
  • Be open to adjusting your action plan and roles as necessary. Sometimes, unforeseen challenges can arise and require you to modify your plan.

Creating a Time Frame

When working on your action plan, it’s important to establish a realistic time frame for achieving your goals. This helps you stay on track and prioritize tasks effectively. We will walk you through the process of creating a time frame for your action plan.

  • First, break down your primary goal into smaller, manageable tasks. Think of these tasks as stepping stones that will lead you toward your overall objective. For example, if your goal is to start a new business, your tasks might include researching your target market, establishing a budget, and developing a marketing strategy.
  • Next, assign a deadline to each task. Deadlines should be specific and set in stone but make sure to be flexible enough to adjust as necessary. Use a calendar or planner to visualize your timeline, marking important dates and milestones. For example, you could set a four-month deadline for completing market research and a six-month deadline for securing initial funding.
  • To keep yourself accountable, set reminders or notifications for important deadlines. This can be done using digital tools like smartphone apps or traditional methods, such as sticky notes on your workspace. Regularly reviewing your progress and adjusting your time frame when needed will help you stay on track.
  • Lastly, consider any external factors that might impact your time frame. Are there seasonal events, holidays, or industry-specific deadlines that could affect your ability to complete tasks? Factor in these considerations as you build your timeline.

Resource Allocation

When creating an action plan, resource allocation plays a major role. You’ll need to determine the resources required for each task and how they’ll be distributed among team members. This usually includes time, budget, and human resources.

  • Start by estimating the time each task will take. Break tasks down into smaller chunks and allocate a specific deadline to each. This will help you prioritize tasks and balance workloads for your team members. For example, if designing a marketing campaign takes four weeks, divide it into weekly tasks like conducting market research, creating promotional materials, and setting up advertisements.
  • Next, determine the budget needed to complete your project. Identify any expenses such as salaries, equipment, software, and project-related costs like travel. Create a budget for each task to avoid overspending, and allocate funds accordingly. Using our marketing campaign example, allocate separate budgets for market research tools, graphic design tools, and advertising platforms.
  • Lastly, allocate human resources to tasks based on their skills and expertise. Delegate responsibilities to your team members, ensuring that everyone has a clear understanding of their role in the project. If needed, identify additional hires or outside consultants to fill gaps in your team’s expertise. For instance, if your team lacks graphic design experience, consider hiring a graphic designer or outsourcing the work to a design agency.

How to Write an Action Plan (Example Included)

ProjectManager

You’re likely eager to meet your goals, whether they’re personal or professional. Without an action plan, however, there’s no roadmap on how to get there. This is where a well-designed plan can make it easier to track and meet your goals.

What Is an Action Plan?

In project management , an action plan is a document that lists the action steps needed to achieve project goals and objectives. Therefore, it clarifies what resources you’ll need to reach those goals, makes a timeline for the action items and determines what team members are required. We’ll define what project goals, project objectives, action items and action steps are later in this guide.

An action plan is similar to a project implementation plan, and it’s very helpful during the project planning and project execution phases. That’s because an action plan documents the execution of the project plan; it’s a detailed list of the work that must be done to complete the project goals, from the start of the project to the finish.

Not only are you figuring out the action steps and timeline, but you’ll also determine who you’ll assemble for your project team to work on those tasks. This requires robust project management software like ProjectManager . ProjectManager offers multiple planning tools such as Gantt charts, kanban boards, project calendars and more. Best of all, these project planning views sync with project dashboards, timesheets and workload charts to keep track of progress, project resources and costs.

What Is the Purpose of an Action Plan?

The main goal of an action plan is to outline the resources and timeline needed to reach the project’s goals. It helps clarify objectives and provides a clear vision of the desired outcome. As the name suggests, it breaks down the goal into actionable steps and assigns responsibilities, so everyone on the team understands the key deadlines and how resources will be used.

Beyond the logistics, an action plan also provides a framework to track progress and adjust to stay on track. For example, if the goal is to launch a new product by Nov. 1 but market research isn’t finished until Oct. 25th, the plan will need to be adjusted accordingly. If risks develop along the way, contingency plans can mitigate any adverse outcomes. Finally, it provides a basis for measuring success once the goals are achieved.

Who Should Make Action Plans?

While project managers use action plans, other team leaders and business managers who execute a project or a process can also use them. Action plans can be used alone or with a team; in scenarios where the team is involved, the leader will assemble the plan and gather everyone’s input.

Here’s an overview of who should be involved in creation and implementation:

  • Project Management Professionals: Project, program and project portfolio managers and project management offices ( PMOs )
  • Business Operations Management Teams: Department heads, functional managers and supervisors
  • Organizational Planning Teams: Top management team, executives, board of directors and project sponsors

For example, the project manager will develop the action plan to oversee the project from start to finish. This ensures the project is executed on track and within scope. Project sponsors will look over the plan to confirm that it aligns with strategic goals, and stakeholders will use it to stay informed on the overall progress and how it impacts their interests.

Action Plan vs. Project Plan

While action plans and project plans are two important project management tools, they’re used differently. An action plan narrows the steps needed to achieve a particular goal. It’s often used for small tasks or project initiatives. Components of an action plan include tasks, responsibilities, deadlines, resources and status. For example, an action plan for launching a new product includes market research, product development and a plan to launch the product into the market.

A project plan , on the other hand, is an overarching framework of how to manage a project from beginning to end. It‘s broader in scope and covers all areas of the project. Components of the project plan include objectives, scope statement, work breakdown structure (WBS), schedule, budget, risk management plan, communication plan and quality plan.

Action Plan Components

An action plan answers the who, what and when of what you’re proposing. Those questions are answered by the various components that make up the plan. The following are the basic building blocks of a successful plan.

  • Goals and Objectives: Before you make any plan, set goals and objectives. It’s key to understand what you are trying to achieve before you start defining steps to get there.
  • Action Steps: These steps are the answer to the question of what. They’re the activities that’ll lead to achieving your goal. Steps detail what will happen, and the more detail, the better.
  • Action Items: The action items are the specific, small tasks that make up the action plan steps. These are the tasks that, when executed, lead to the next  step. It’s important to define the priority level of these action items as well as the deliverables expected from them.
  • Timeline: A  timeline is the whole action plan laid out from start to finish. It shows the full duration and every step and task is also plotted on this timeline, including their start and end dates.
  • Resources: Resources are anything needed to execute the action plan. That includes labor, materials, equipment, etc. You’ll want to identify the resources you’ll need and attach them to the tasks to which they’ll be applied.
  • Costs: Resources, such as people and equipment, are going to cost money. Be sure to identify the costs that are obvious or hidden deep within your action plan.
  • Action Plan Matrix: A matrix is just a tool to help you determine which tasks you need to complete and in what order. Use our free action plan template to outline the steps, items, timeline and resources you’ll need to get the plan done right.
  • Action Plan Report: You’ll need to ensure your actual progress matches your planned progress. To track progress, you’ll want to use an action plan report, which is a snapshot of your time, costs and more over a specific period.

Types of Action Plans

There are many different types of action plans that are used on various kinds of strategic initiatives. Each is similar in makeup but differs in their goals. Here are a few of the varieties.

Business Action Plan

A business action plan is used to set goals and tasks when you want to start a business or grow an existing business. It outlines the vision for the business and the actions you’ll take to achieve that vision.

Project Action Plan

An action plan for a project is really no different from a general action plan. The only difference is that it’s about producing a deliverable at the end of the plan, whether that be a product or service.

Personal Action Plan

Again, a personal action plan differs little from any other, except for the goal. For example, a personal action plan might be for an individual to exercise more. Therefore, the goal might be to walk for a half-hour a day, say, during lunchtime.

How to Write an Action Plan for Project Management in 10 Steps

The benefits of an action plan are simple: you’ve now outlined what action steps and what resources are needed to reach your stated project goals. By having this collected in a single project management document, you can more successfully plan out how to execute your project plan.

People get overwhelmed by project management jargon when having to plan out a project, but the word “action” everyone can understand. The fundamentals to getting an action plan together for any project follow these four project planning basic steps:

1. Define Your Project Goals

There’s a difference between project goals and project objectives. Project goals refer to the high-level goals that the project will achieve. Those generally align with the strategic planning and business objectives of organizations.

2. Define Your Project Objectives

The project objectives are much more specific than the project goals. Project objectives refer to the deliverables and milestones that need to be completed to achieve your project goals.

3. Define Action Steps

The action steps are a group of related tasks or action items that must be executed to produce project deliverables.

4. Identify and Prioritize Action Items

Action items are small, individual tasks that make up the action steps that are outlined in your action plan. First, you need to identify task dependencies among them, and then assign those action items a priority level so that they’re executed sequentially.

5. Define Roles & Responsibilities

Now that you’ve divided the work required to accomplish your action plan, you’ll need to assign action items to your project team members and define their roles and responsibilities.

RACI chart example in ProjectManager

6. Allocate Resources

As with your project plan, your action plan has resource requirements. Having identified your action steps and action items will help you understand what resources are needed for each task and allocate them accordingly.

7. Set SMART Goals

Your action plan needs to be monitored and controlled to measure its performance. That’s why it’s important that you set SMART goals for your action items, action steps and your project objectives. SMART goals stand for specific, measurable, attainable, relevant and timely.

8. Set a Timeline for Your Action Plan

As a project manager, you’ll need to do your best to estimate how long it’ll take to complete your action items and action steps. Once you do so, you’ll have a timeline. You can use project management techniques like PERT charts or the critical path method to better estimate the duration of your project action plan.

9. Write an Action Plan Template

Create or use a simple action plan template to collect tasks, deadlines and assignments. This is the place where everything task-related goes in your project action plan, so you have a place for all this crucial information.

Writing an action plan template it’s a great idea because you’ll need to use that format throughout the project. That’s why we’ve created a free action plan template that you can download. There are also dozens of other free project management templates for Excel and Word that can help you with every phase of your project.

10. Use a Project Management Tool

Use a project management tool to keep you on task. ProjectManager has project planning features that help you monitor and report on project progress and performance. Get a high-level view of the action plan with our live dashboards. Unlike other tools, we don’t make you set up the dashboard.

Once you’ve mapped out your action plan, you can use project planning tools to zoom into all the details about your action steps and action items. With ProjectManager, you can calculate various metrics, such as project variance, workload and more. They’re displayed in easy-to-read charts and graphs. Share them with stakeholders to give them updates on action steps whenever they want.

Action Plan Example

We’ve been talking a lot about action plans, but the best way to learn how they work is to review an action plan example. Below, you’ll see our free action plan template . It’s set up for the development of a website.

Example Goals & Objectives

The first thing to do when making an action plan is to clearly define its goals and objectives. Objectives are the specific accomplishments or outcomes that are needed to achieve the larger goals, as shown in the image below.

Goals and objectives in an action plan example

Example Action Steps

Then, once these have been defined, the action plan is broken down into four action steps: market research, website development, site launch and site maintenance. You’ll see that specific tasks or action items are outlined for each action step, including a description of that task, who’s assigned to execute it, its priority level and even the status of its completion.

Action plan example with key action steps

Example Action Plan Timeline

There’s also a timeline to define the start dates of each of the tasks in the action steps, including the planned hours. This allows you to determine the length of each task and the duration of the entire action plan, from start to finish.

Action plan example with timeline and planned hours

Example Resources

Finally, there’s a place to add your resources. They’re broken down into departments, for example, marketing, web development, etc. Then the materials that are required for each task are listed, including their costs. This allows you to estimate the cost of the plan.

  • Les deux services publics de l’emploi : la Bundesagentur für Arbeit et Pôle emploi;
  • Les acteurs assurant le lien entre les économies des deux pays : l’agence de soutien aux entreprises Business France en Allemagne, les CCEF, la Chambre franco-allemande de Commerce et d’Industrie basée à Paris, la CCFA et le centre d’affaires franco-allemand VillaFrance;
  • Les acteurs de la mobilité franco-allemande de la jeunesse : au premier plan bien sûr l´OFAJ mais aussi le SFA;
  • Des acteurs régionaux sur des territoires clefs de la coopération franco-allemande : la Chambre de Commerce et d’Industrie du Sud du Rhin supérieur, le Centre Français de Berlin;
  • Les grandes entreprises des deux pays : mobilisés tant pour l’action d’échange d’apprentis (Allianz, Airbus, BASF, Bosch, BNP Paribas, Danone, Engie, L’Oréal, Michelin, Siemens, Babilou, Nestlé, Safran) que pour l’action sponsorisée par les entreprises Mazars et Total;
