The earliest record of the cover letter for employment dates back to the 1950s according to The Atlantic, and has been used ever since as an addition to resumes, for candidates to prove to potential employers their desire and eligibility for posted roles. In recent years, however, especially since the post-pandemic unemployment upheaval, the choice of whether or not to include cover letters as part of the job application process has been a topic of contentious debate, and has left most candidates confused as to whether or not to include them, especially if the employer has not specifically requested them.

In a recent LinkedIn poll I conducted, more than 70% of respondents (a mix of recruiters, hiring managers, and candidates) voted that cover letters are no longer necessary as part of the shortlisting process. However, across the Internet, there were others who advocated its use, provided the right conditions were met.

The question remains, Should we write cover letters for jobs, even if they're not mandated in the application process?

When cover letters are needed

Emily Meekins , CEO and Founder of talent consultancy Workstrat, points out that she rarely reviews cover letters. "85% of the time, I can learn enough from your resume and LinkedIn profile. The application/interview process is time-consuming enough without a cover letter. I'd prefer candidates save their time and reapply it to other areas of their search." However, Meekins adds that she would look at a cover letter if she is on the fence and needs more information to help make an informed decision, or to check for quality of writing and communication skills.

I spoke with Yulia Saf , Founder and CEO of MissTourist.com, who has hired and led a team of up to 12 employees remotely, and asked her to share her experiences and insights on this topic. Saf revealed that cover letters have significantly impacted her decision to hire candidates on several occasions, noting that "candidates who include a persuasive cover letter often stand out during the shortlisting phase, as it provides insight into their passion and determination for the role."

Maurizio Petrone , founder of the remote-first digital media start-up MustReadQuotes.com, has been hiring talent for over 15 years, and highlights that from his experience, "cover letters have played an essential element in hiring decisions, even when we didn't specifically request them. Out of the hundreds of candidates we shortlisted over the past five years, about 70% included cover letters in their applications. These letters helped shed light on their motivations and gave a better insight into their soft skills - things often not immediately evident in resumes."

Cover letters are a fantastic way to explore beyond the confines of one's resume and tell a compelling narrative about your career journey, motivations and aspirations for the job, and even transferable skills, especially for those facing perceived barriers in the workplace. This makes it an excellent choice for those making a career pivot or transition.

As Thomas Codevilla , business attorney, Co-Founder and hiring manager at SK&S Law Group points out, "A well-written cover letter allows candidates to tell a compelling narrative about their experiences and how they can uniquely contribute to our organization. On the hiring side, I know that ATS often play a role in screening applications. What many candidates might not realize is that incorporating relevant keywords from the job posting into their cover letters can significantly improve their chances of getting past this initial screening stage.

"As a recruiter, I appreciate it when candidates address their cover letters to a specific individual or mention a mutual connection within the company. It not only shows that they've done their research but also increases the likelihood that their application will catch my attention.

"A cover letter gives candidates the opportunity to address any potential red flags in their resume, such as employment gaps or career changes. When a candidate proactively explains these issues, it shows their transparency and willingness to provide context, which can positively influence my perception of their application."

Best practice when crafting your cover letter

While cover letters are a great way to demonstrate your value to a potential employer, you should always ensure that it actually delivers real value and is not a mere repetition of your resume, HR generalist Mary Pizana of personal injury law firm Herrman and Herrman cautions.

Kirsty Barden , Head of Business Development at MDS, a talent acquisition company with 37 years in the business, highlights some best practices to remember when writing up a cover letter:

Customise each cover letter

"Tailor your cover letter for each specific application and company. Address the hiring manager or recruiter by name if possible and demonstrate your knowledge of the company and the role you're applying for."

Highlight relevant experiences and skills

"Emphasise the experiences and skills from your CV that directly relate to the job description and requirements. Use specific examples to demonstrate your capabilities."

Showcase your passion

"Express genuine enthusiasm for the company and the opportunity. Explain why you are interested in the role and how it aligns with your career goals."

Keep it concise and focused

"A cover letter should be concise, typically one page. Avoid unnecessary details and maintain a clear focus on the key points you want to convey."

Be professional and error-free

"Pay close attention to grammar, spelling, and formatting. A well-written and error-free cover letter demonstrates attention to detail and professionalism."

Demonstrate cultural fit

"Highlight your alignment with the company's values and culture. Show that you are a team player and can thrive within the organization's environment."

End with a call to action

"Conclude the cover letter by expressing your interest in further discussing your qualifications and expressing gratitude for the opportunity to apply."

Executive Cleaning Services Vice President Thomas Giarraputo recommends candidates use Venn diagrams when beginning to craft their cover letter. "Telling stories from your career is an excellent way to demonstrate your skills and give hiring managers a glimpse of your demeanor and work style.

"Always refer to the position's requirements in the job description when searching for appropriate anecdotes to share. It is also beneficial to conduct additional online investigation on the company to gain a sense of its culture. Before writing your cover letter, compare your talents to the position's requirements.

"Utilizing Venn diagrams can be useful for generating ideas and determining which competencies and experiences to highlight. After creating this diagram and identifying what belongs in both circles, overlapping topics will guide and inspire the content of your cover letter."

When cover letters should not be used

On the flip side, Sam Greinetz , Recruiting Partner at Signed Talent, points out that the recruitment industry has witnessed a significant shift over the past decade, with hundreds of candidates applying for one position where there were only 10-15 a few years ago, and certain industries which rely more on hard skills, such as the tech industry, do not have the capacity for hiring managers and recruiters to read every cover letter sent through.

Greinetz recommends trying a different approach to sending in your cover letter. "Rather than a cover letter, if someone is especially interested in a role, they are better off reaching out to the recruiter or hiring manager directly either via email or on Linkedin to reiterate their excitement. That message can be similar to what a cover letter would include and will allow them to stick out in a crowded applicant pool. Show that you've done some homework, personalize it, talk about the team, product, etc. and don't be afraid to follow-up after a few days if you haven't heard anything."

Anthony Allen , VP of Recruiting at Supply Chain Talent Advisors, states that while he agrees that most recruiters don't have the time to read cover letters, if one is to be written, "the candidate must personalize and tailor the cover letter. A generic, one-size-fits-all cover letter is easy to spot and often disregarded. To stand out, research the company and the role, and tailor your cover letter accordingly. Mention how your skills and experiences align with the job requirements and the company's goals. By doing this, you show the hiring manager that you understand their needs and can bring specific value to the position. This level of personalization is what can make a cover letter impactful, even in situations where its importance might be diminishing."

So what does all of this mean for job seekers?

In a nutshell:

  • When applying for a job directly to an employer, use a cover letter that is well-personalized, tells impactful career stories, conveys your motivations for the role, and speaks to why you want to work for that particular employer. Demonstrate that you understand their pain-points, clients, and values, and that their mission and values align with yours.
  • Think creatively of other ways to include a cover letter approach, such as sending an email or LinkedIn InMail to the hiring manager directly.
  • Ensure your cover letter is not a repetition of your resume.
  • Cover letters are best used when facing barriers such as career gaps, career transitions, lack of experience, or to increase competitive edge, especially for senior level roles.
  • If applying for technical roles or applying directly through recruitment agencies, consider leaving the cover letter out altogether so as not to waste your time. Also take time to research if the industry you are entering or applying for roles in, typically reviews cover letters. After all, you don't want to waste your time or that of the recruiter/hiring manager.

For example, two equally qualified candidates are applying for a position, one with a cover letter and one without.

Chances are that the applicant who took the time to write a well-crafted cover letter will get an interview. And that’s because the person, for example, highlighted how their previous accomplishments would help the company to improve.

It’s simply not enough to send only your resume in most situations.

Are Cover Letters Necessary?

Yes, in most cases.

What you should know about cover letters is that they’re optional for some jobs. For example, your resume alone will likely be enough if you apply for an internship or a low-level assistant position.

However, let’s say you’re applying for a higher position, like an executive director position. First, you’ll need to have a well-written cover letter. That will help prove that you’ve researched the company and are interested in being part of its team.

Expressing your interest in an organization isn’t something the hiring manager will get from your application online. That’s why cover letters are crucial and should not be ignored.

1. do your research.

A cover letter is an opportunity to tell a potential employer why they should hire you. So it should be tailored for each job and company.

The first task is to research the company and role, including the person reading your cover letter. It’s not always the hiring manager. Try to find out what they’re looking for in an employee and how their organization operates.

This will give you insight into what’s important to them in an applicant. Also, take some time to think about how today’s job market differs from that of several years ago. That can help you fine-tune your cover letter. It doesn’t matter if the change is small. It can make a huge difference.

2. Tailor Your Cover Letter to Each Role

The first and last thing you want to do is address the person reading your cover letter. Then, when applying for a job, read up on the company and find out who the hiring manager is. If there’s no name listed in the job description, call or email someone at the company to ask whom you should address it.

If there are multiple people responsible for hiring decisions, make sure to address each one individually. For example: “Dear [Hiring Manager],” “ To Whom It May Concern: ” and “Hello Mr./Ms.[First Name]. ‘

3. Don’t Let Your Resume Appear in Your Cover Letter

The primary purpose of a cover letter is to highlight and sell your qualifications. Your resume is the place where you list everything you’ve done. So don’t repeat that information in your cover letter.

Instead, do the following:

  • give a brief overview of your qualifications,
  • why they make you a good fit for the job, and
  • how they relate to the position requirements listed by the company.

4. Be Clear and Concise

Be clear and concise to get the most out of your cover letter. One page is okay if you can; you don’t need to use up all the space. If you have more than one page, use bullet points rather than paragraphs. That makes it easier to skim through quickly.

Your tone should be professional throughout. Also, avoid using too many buzzwords, if any, as they tend to be taken seriously if used sparingly.

Finally, consider adding an “about me” section near the end of your letter. You can use that section to list relevant information about yourself that doesn’t fit anywhere else in your application. For example, employment history, educational background, or volunteer work.

5. Avoid Gimmicks, Like Weird Fonts and Drawings

Have you seen some cover letters that looked like a child wrote them? Or that included a drawing of the applicant’s pet cat? Cover letters are not the place to do that; avoid these gimmicks.

They will not help you get the job. In fact, they can do more harm than good by making you seem less professional. It can overshadow your best qualities as an employee.

Try to avoid using standard intro like “My name is [your name], and I am applying for the [position] at [company].” This is not original or creative; it’s uninteresting to read.

Instead, personalize it: “Hi, [name], My name is John Doe, and I’m applying for the Marketing Manager role at ABC Company.”

Having a friendly title will help establish rapport between readers. But don’t be too casual or informal. You want to keep things professional so that they can see how well you’ll fit in with their team or company culture if hired.

6. Use Action Words to Highlight Your Accomplishments

Use action words that highlight your accomplishments and experiences. For example, try using phrases like “increased sales by 55% within 6 months.” Or “led team through a project from concept stage to completion within two weeks.”

This way, even if someone doesn’t remember everything about you, these phrases will help them know whether or not you have what it takes.

7. Don’t Make It All About You

Don’t make the mistake of making the cover letter all about you. Instead of boasting about a skill, talk about how that skill can help the potential employer.

How are you the perfect fit for the company? How will you contribute to the company’s success? And what have you done or will do to help the company? Answer these questions in your cover letter.

8. End Your Cover Letter with Enthusiasm

You may be well qualified and rightfully confident in your abilities. But employers still want to know that you’ll be a motivated and enthusiastic employee.

So, remember to end your cover letter with enthusiasm. This will show your interest in the position and willingness to work hard and passionately if hired.

You have a greater chance of being employed if you are enthusiastic. And you’re also far more likely to stay on board over the long term. So it makes sense that 71% of CEOs believe that employee engagement is essential to the success of their company.

As a result, often, the only factor distinguishing two equally qualified candidates is their level of passion and zeal for the job.

The little-known truth about cover letters is: You do NOT always need to include a cover letter when applying for jobs, and you may be wasting hours sending cover letters that employers won’t read.

So if you’re wondering whether you should always submit a cover letter with your job application and resume, then keep reading.

After working for years as a recruiter , I’m going to share the exact situations where you should provide a cover letter and the situations where it’s not needed.

Should You Always Submit a Cover Letter?

Many people on LinkedIn and other sites will tell you that you should include a cover letter every time because it “can’t hurt,” but that’s not true…

Here’s how it CAN hurt you…

Writing a great cover letter takes a LOT of time and mental energy. So if it’s not making a difference, or not even getting read, then it  is hurting you in terms of wasted time and energy (I’d argue that writing a cover letter is the toughest and most time-consuming part of the process for many job seekers).

How important is a cover letter

Writing a resume is tough, sure. But once you get it, you’re done. You spend 5-15 minutes tailoring it for each specific job you apply for, but that’s it.

Cover letters take a lot of time EVERY time (at least when done right).

That’s why it’s important to look at how important a cover letter is, and which situations it’s necessary and truly beneficial in.

3 Situations Where You Need to Send a Cover Letter:

There are a couple of specific scenarios where cover letters are necessary, and you should send one. This article by Harvard Business Review says it best:

In those cases, according to Harvard Business Review, you can boost your chances of getting the interview by writing a short letter to point out similarities between your resume and the job requirements (e.g. why you’d do well in their job )… rather than leaving the analysis entirely up to the hiring manager.

But this is only worth doing if you meet one or more of the criteria above, or a few other situations I’ll explain below…

Two more cases where you may want to include a cover letter:

First, you should send a cover letter if an employer specifically says it’s required on their website or job application form (however, having an optional field to include it is not the same as asking for it or saying it’s required).

And second, you should send a letter if you have a large gap in employment or something unusual in your background that you feel the need to explain, and you don’t feel your resume explains it well enough on its own.

(Although I do like addressing gaps in employment directly on your resume employment history section when possible. For example, if you took a year off to raise a kid, you could say: “2018-2019: One-year break from work to raise first child.” So do try to explain this type of thing on your resume if you can!)

When You Don’t Need a Cover Letter:

If you don’t fall into any of the situations we looked at above, then a cover letter is not needed.

For example, if you’re just applying for jobs online via job boards , via LinkedIn, on company websites via their “careers” page, etc., then I’d skip it! Send your resume and let it speak for itself. (And if you don’t have a great resume yet, you can get help  here. )

In my opinion, the extra time and effort just isn’t worth it when you’re applying online with no prior relationship, no referral, and no special knowledge of the hiring manager or job requirements that you can use to make your case for why they should interview you.

This is one reason I love LinkedIn EasyApply as a part of an online job search – because a cover letter is not required or even expected.

Of course, the final judgment call is yours!

If you’re applying to your dream employer and you don’t mind spending an hour writing up a great cover letter, then go ahead! It can’t hurt in a one-off scenario like this.

But the main point I’m trying to make here is:

You should be selective about when to send a cover letter, rather than feeling obligated to send it by default.

The answer to how important a cover letter is depends on the hiring process and situation. If you read the information above, you now know when a cover letter is necessary/recommended, and when you probably shouldn’t bother.

And you’ve seen that cover letters do matter in some cases, but that doesn’t mean that you always need to send a cover letter.

And as mentioned earlier, the main benefit of this approach is time savings…

When you look at how much time and effort goes into writing each of these letters, it can add up to hours or days of wasted time if you’re sending cover letters without analyzing whether it’s necessary for the situation.

Tips for Writing a Good Cover Letter:

Now that we’ve answered whether a cover letter is necessary, and when it’s important, here are some tips and resources to help you in situations where you decide a cover letter is needed:

First, I’d always recommend keeping it brief, easy to read (no huge paragraphs or blocks of text without spacing), and personal.

It should feel like you’re talking directly to them! That means start with “Dear Bethany”, (for example), not with, “Dear Hiring Manager” or “Dear Recruiter”.

(Recruiters almost never care about a cover letter anyway. It should be for the hiring manager).

Also, make sure you’re saying the word “you” at least as often as you say the word “I”. Talk about their needs and their company, not just about yourself .

The purpose of your cover letter is to point out similarities between your background and the employer’s job requirements. You want to demonstrate why you’re likely to succeed in their specific role, to sell them on interviewing you! And you cannot do this without researching their job and understanding/discussing their job. So this letter isn’t just about you , it’s about them just as much.

Seems like almost every other career blog advises you to always submit a cover letter. Too bad these folks don’t consider the most important asset we all have: time!

Would being graduated out of college for 1.5 years and haven’t “launched” your career yet – getting a job in the field you got a degree in – count as something “unusual on your background” that you would need a cover letter for?

Thanks for the kind words. I don’t think you’d need a cover letter for this. Just make sure to “tailor” your resume to show the most relevant pieces of the work you have done, and to show your relevant educational background/degree. But if you’re not getting results with your resume, then it’s worth testing/trying a cover letter. My guess is that it’s not needed, and perfecting your resume will get more interviews.

If I understand you correctly, is this an instance where you would recommend NOT using a chronological work history on a resume then?

And instead break up work experience history into a “relevant” and “other work experience” sections, since we’re trying to show specific relevant pieces of experience and educational background/degree?

I’d still keep it chronological. Just show the most relevant pieces of each past role, for the job you want now.

How about in my situation? I am looking for a job in marketing, but it has been five years and a few jobs since marketing has been the primary function of my job. My last few jobs have had a very little marketing focus and have been training, technical or sales in focus. Should I always write a cover letter to explain this when I am applying for marketing jobs?

Done well, a cover letter gives you the chance to speak directly to how your skills and experience line up with the specific job you’re pursuing. It also affords you an opportunity to hint to the reviewer that you’re likable, original, and likely to be a great addition to the team.

Instead of using cover letters to their strategic advantage, most job applicants blabber on and on about what they want, toss out bland, cliché-filled paragraphs that essentially just regurgitate their resume, or go off on some strange tangent in an effort to be unique. Given this reality, imagine the leg up you’ll have once you learn how to do cover letters right.

How long should a cover letter be?

An ideal cover letter typically ranges from a half page to one full page. Aim to structure it into four paragraphs, totaling around 250 to 400 words, unless the job posting states otherwise. Some employers may have specific guidelines like word or character limits, writing prompt, or questions to address. In such cases, be sure to follow these instructions from the job posting.

Now that you’re sold on how important cover letters are, here are eight steps to writing one that screams, “I’m a great hire!”

Step 1: Write a fresh cover letter for each job (but yes, you can use a template)

Sure, it’s way faster and easier to take the cover letter you wrote for your last application, change the name of the company, and send it off. But most employers want to see that you’re truly excited about the specific position and organization—which means creating a custom letter for each position.

While it’s OK to recycle a few strong sentences and phrases from one cover letter to the next, don’t even think about sending out a 100% generic letter. “Dear Hiring Manager, I am excited to apply to the open position at your company” is an immediate signal to recruiters and hiring managers that you’re mass-applying to every job listing that pops up on LinkedIn.

Step 2: Add your contact info

At the top of your cover letter, you should list out your basic info. You can even copy the same heading from your resume if you’d like. Some contact info you might include (and the order to include it in):

  • Your pronouns (optional)
  • Your location (optional)
  • Your email address
  • Your phone number (optional)
  • Your Linkedin, portfolio, or personal website URL (optional)

Note that only name and email are mandatory, and you don’t need to put a full address on a cover letter or resume anymore. A city and state (or metro area) are more than enough. So your header might look like this:

If the job posting tells you to submit your cover letter in the body of an email, you can add your contact info at the end, after your name (and if you’d like to forgo the email address here, you can—they have it already). So your sign off could look like this:

Step 3: Address your cover letter to the hiring manager—preferably by name

The most traditional way to address a cover letter is to use the person’s first and last name, including “Mr.” or “Ms.” (for example, “Dear Ms. Jane Smith” or just “Dear Ms. Smith”). But to avoid accidentally using the wrong title—or worse, inadvertently misgendering someone—first and last name also work just fine.

If “Dear” feels a bit too stiff, try “Hello.” But never use generic salutations like “ To Whom it May Concern ” or “Dear Sir or Madam.”

Step 4: Craft an opening paragraph that’ll hook your reader

Your opening sets the stage for the whole cover letter. So you want it to be memorable, friendly, conversational, and hyper-relevant to the job you’re pursuing.

No need to lead with your name—the hiring manager can see it already. But it’s good to mention the job you’re applying for (they may be combing through candidates for half a dozen different jobs).

You could go with something simple like, “I am excited to apply for [job] with [Company].” But consider introducing yourself with a snappy first paragraph that highlights your excitement about the company you’re applying to, your passion for the work you do, and/or your past accomplishments.

This is a prime spot to include the “why” for your application. Make it very clear why you want this job at this company. Are you a longtime user of their products? Do you have experience solving a problem they’re working on? Do you love their brand voice or approach to product development? Do your research on the company (and check out their Muse profile if they have one) to find out.

Step 5: Convey why you’d be a great hire for this job

A common cover letter mistake is only talking about how great the position would be for you. Frankly, hiring managers are aware of that—what they really want to know is what you’re going to bring to the position and company.

So once you’ve got the opening under wraps, you should pull out a few key ideas that will make up the backbone of your cover letter. They should show that you understand what the organization is looking for and spell out how your background lines up with the position.

Study the job description for hints . What problems is the company looking to solve with this hire? What skills or experiences are mentioned high up, or more than once? These will likely be the most important qualifications.

If you tend to have a hard time singing your own praises and can’t nail down your strengths , here’s a quick trick: What would your favorite boss, your best friend, or your mentor say about you? How would they sing your praises? Use the answers to inform how you write about yourself. You can even weave in feedback you’ve received to strengthen your case (occasionally, don’t overuse this!). For example:

“When I oversaw our last office move, my color-coded spreadsheets covering every minute detail of the logistics were legendary; my manager said I was so organized, she’d trust me to plan an expedition to Mars.”

Step 6: Back up your qualifications with examples and numbers

Look at your list of qualifications from the previous step, and think of examples from your past that prove you have them. Go beyond your resume. Don’t just regurgitate what the hiring manager can read elsewhere.

Simply put, you want to paint a fuller picture of what experiences and accomplishments make you a great hire and show off what you can sashay through their doors with and deliver once you land the job.

For example, what tells a hiring manager more about your ability to win back former clients? This: “I was in charge of identifying and re-engaging former clients.” Or this: “By analyzing past client surveys, NPS scores, and KPIs, as well as simply picking up the phone, I was able to bring both a data-driven approach and a human touch to the task of re-engaging former clients.”

If you're having trouble figuring out how to do this, try asking yourself these questions and finding answers that line up with the qualifications you’ve chosen to focus on:

  • What approach did you take to tackling one of the responsibilities you’ve mentioned on your resume?
  • What details would you include if you were telling someone a (very short!) story about how you accomplished one of your resume bullet points?
  • What about your personality, passion, or work ethic made you especially good at getting the job done?

Come up with your examples, then throw in a few numbers. Hiring managers love to see stats—they show you’ve had a measurable impact on an organization you’ve worked for. Did you bring in more clients than any of your peers? Put together an impressive number of events? Make a process at work 30% more efficient? Work it into your cover letter!

Step 7: Finish with a strong conclusion

It’s tempting to treat the final lines of your cover letter as a throwaway: “I look forward to hearing from you.” But your closing paragraph is your last chance to emphasize your enthusiasm for the company or how you’d be a great fit for the position. You can also use the end of your letter to add important details—like, say, the fact that you’re willing to relocate for the job.

Try something like this:

“I believe my energy, desire to innovate, and experience as a sales leader will serve OrangePurple Co. very well. I would love to meet to discuss the value I could add as your next West Coast Sales Director. I appreciate your consideration and hope to meet with you soon.”

Step 8: Reread and revise

We shouldn’t have to tell you to run your cover letter through spell-check, but remember that having your computer scan for typos isn’t the same as editing . Set your letter aside for a day or even just a few hours, and then read through it again with fresh eyes—you’ll probably notice some changes you want to make.

You might even want to ask a friend or family member to give it a look. In addition to asking them if they spot any errors, you should ask them two questions:

  • Does this sell me as the best person for the job?
  • Does it get you excited?

If the answer to either is “no,” or even slight hesitation, go back for another pass.

#2. Put Contact Information in the Header

As with a resume, it’s important to start your cover letter with your contact details at the top. These should be in your cover letter’s header, separated neatly from the bulk of your text.

  • Full Name. Your first and last name should stand out at the top.
  • Job Title. Match the professional title underneath your name to the exact job title of the position you’re applying for. Hiring managers often hire for several roles at once, so giving them this cue about what role you’re after helps things go smoother.
  • Email Address. Always use a professional and easy-to-spell email address. Ideally, it should combine your first and last names.
  • Phone Number. Add a number where the hiring manager can easily reach you.
  • Location. Add your city and state/country, no need for more details.
  • Relevant Links (optional). You can add links to websites or social media profiles that are relevant to your field. Examples include a LinkedIn profile , Github, or an online portfolio.

Then it’s time to add the recipient’s contact details, such as:

  • Hiring Manager's Name. If you can find the name of the hiring manager, add it.
  • Hiring Manager's Title. While there’s no harm in writing “hiring manager,” if they’re the head of the department, we recommend you use that title accordingly.
  • Company Name. Make sure to write the name of the company you're applying to.
  • Location. The city and state/country are usually enough information here, too.

Once you’ve properly listed all the contact information, it’s time to start writing the content of the cover letter.

The first thing you need to do here is to address your cover letter directly to the hiring manager.

In fact, you want to address the hiring manager personally .

Forget the old “Dear Sir or Madam” or the impersonal “To Whom It May Concern.” You want to give your future boss a good impression and show them that you did your research before sending in your application.

So, how do you find out who’s the hiring manager?

First, check the job ad. The hiring manager’s name might be listed somewhere in it.

If that doesn’t work, check the company’s LinkedIn page. You just need to look up the head of the relevant department you’re applying to, and you’re all set.

For example, if you’re applying for the position of Communication Specialist at Novorésumé. The hiring manager is probably the Head of Communications or the Chief Communications Officer.

Here’s what you should look for on LinkedIn:

And there you go! You have your hiring manager.

But let’s say you’re applying for a position as a server . In that case, you’d be looking for the “restaurant manager” or “food and beverage manager.”

If the results don’t come up with anything, try checking out the “Team” page on the company website; there’s a good chance you’ll at least find the right person there.

Make sure to address them as Mr. or Ms., followed by their last name. If you’re not sure about their gender or marital status, you can just stick to their full name, like so:

#4. Write an Eye-Catching Introduction

First impressions matter, especially when it comes to your job search.

Hiring managers get hundreds, sometimes even thousands, of applications. Chances are, they’re not going to be reading every single cover letter end-to-end.

So, it’s essential to catch their attention from the very first paragraph.

The biggest problem with most opening paragraphs is that they’re usually extremely generic. Here’s an example:

  • My name is Jonathan, and I’d like to work as a Sales Manager at XYZ Inc. I’ve worked as a Sales Manager at MadeUpCompany Inc. for 5+ years, so I believe that I’d be a good fit for the position.

See the issue here? This opening paragraph doesn’t say anything except the fact that you’ve worked the job before.

And do you know who else has similar work experience? All the other applicants you’re competing with.

Instead, you want to start with some of your top achievements to grab the reader’s attention. And to get the point across, the achievements should be as relevant as possible to the position.

Your opening paragraph should also show the hiring manager a bit about why you want this specific job. For example, mention how the job relates to your plans for the future or how it can help you grow professionally. This will show the hiring manager that you’re not just applying left and right—you’re actually enthusiastic about getting this particular role.

Now, let’s make our previous example shine:

Dear Mr. Smith,

My name’s Michael, and I’d like to help XYZ Inc. hit and exceed its sales goals as a Sales Manager. I’ve worked as a Sales Representative with Company X, another fin-tech company , for 3+ years, where I generated an average of $30,000+ in sales per month and beat the KPIs by around 40%. I believe that my previous industry experience, passion for finance , and excellence in sales make me the right candidate for the job.

The second candidate starts with what they can do for the company in the future and immediately lists an impressive and relevant achievement. Since they’re experienced in the same industry and interested in finance, the hiring manager can see they’re not just a random applicant.

From this introduction, it’s safe to say that the hiring manager would read the rest of this candidate’s cover letter.

#5. Use the Cover Letter Body for Details

The next part of your cover letter is where you can go into detail about what sets you apart as a qualified candidate for the job.

The main thing you need to remember here is that you shouldn’t make it all about yourself . Your cover letter is supposed to show the hiring manager how you relate to the job and the company you’re applying to.

No matter how cool you make yourself sound in your cover letter, if you don’t tailor it to match what the hiring manager is looking for, you’re not getting an interview.

To get this right, use the job ad as a reference when writing your cover letter. Make sure to highlight skills and achievements that match the job requirements, and you’re good to go.

Since this part of your cover letter is by far the longest, you should split it into at least two paragraphs.

Explain Why You’re the Perfect Candidate for the Role

Before you can show the hiring manager that you’re exactly what they’ve been looking for, you need to know what it is they’re looking for.

Start by doing a bit of research. Learn what the most important skills and responsibilities of the role are according to the job ad, and focus on any relevant experience you have that matches them.

For example, if you’re applying for the position of a Facebook Advertiser. The top requirements on the job ad are:

Explain Why You’re a Good Fit for the Company

As skilled and experienced as you may be, that’s not all the hiring manager is looking for.

They also want someone who’s a good fit for their company and who actually wants to work there.

Employees who don’t fit in with the company culture are likely to quit sooner or later. This ends up costing the company a ton of money, up to 50% of the employee’s annual salary , so hiring managers vet candidates very carefully to avoid this scenario.

So, you have to convince the hiring manager that you’re passionate about working with them.

Start by doing some research about the company. You want to know things like:

  • What’s the company’s business model?
  • What’s the company’s product or service? Have you used it?
  • What’s the company’s culture like?

Chances are, you’ll find all the information you need either on the company website or on job-search websites like Jobscan or Glassdoor.

Then, pick your favorite thing about the company and talk about it in your cover letter.

But don’t just describe the company in its own words just to flatter them. Be super specific—the hiring manager can see through any fluff.

For example, if you’re passionate about their product and you like the company’s culture of innovation and independent work model, you can write something like:

I’ve personally used the XYZ Smartphone, and I believe that it’s the most innovative tech I’ve used in years. The features, such as Made-Up-Feature #1 and Made-Up-Feature #2, were real game changers for the device.

I really admire how Company XYZ strives for excellence in all its product lines, creating market-leading tech. As someone who thrives in a self-driven environment, I truly believe that I’ll be a great match for your Product Design team.

So, make sure to do your fair share of research and come up with good reasons why you're applying to that specific company.

#6. Wrap It Up and Sign It

Finally, it’s time to conclude your cover letter.

In the final paragraph, you want to:

  • Wrap up any points you couldn't make in the previous paragraphs. Do you have anything left to say? If there’s any other information that could help the hiring manager make their decision, mention it here. If not, just recap your key selling points so far, such as key skills and expertise.
  • Express gratitude. Politely thanking the hiring manager for their time is always a good idea.
  • Finish the cover letter with a call to action. The very last sentence in your cover letter should be a call to action. This means you should ask the hiring manager to do something, like call you and discuss your application or arrange an interview.
  • Remember to sign your cover letter. Just add a formal closing line and sign your name at the bottom.

Before you start typing, here are some cover letter tips to help take your cover letter to the next level:

  • Customize Your Cover Letter for Each Job. Make sure your cover letter is tailored to the job you're applying for. This shows you're not just sending generic applications left and right, and it tells the hiring manager you’re the right person for the job.
  • Showcase Your Skills. Talk about how your skills meet the company’s needs. And while your hard skills should be front and center, you shouldn’t underestimate your soft skills in your cover letter either.
  • Avoid Fluff. Don’t make any generic statements you can’t back up. The hiring manager can tell when you’re just throwing words around, and it doesn’t make your cover letter look good.
  • Use Specific Examples. Instead of saying you're great at something, give an actual example to back up your claim. Any data you can provide makes you sound more credible, so quantify your achievements. For example, give numbers such as percentages related to your performance and the timeframe it took to accomplish certain achievements.
  • Research the Company. Always take time to learn about the company you're applying to. Make sure to mention something about them in your cover letter to show the hiring manager that you're interested.
  • Follow the Application Instructions. If the job posting asks for something specific in your cover letter or requires a certain format, make sure you include it. Not following instructions can come off as unattentive or signal to the hiring manager that you’re not taking the job seriously.
  • Use the Right Template and Format. Choose the right cover letter format and adapt your cover letter’s look to the industry you’re applying for. For example, if you’re aiming for a job in Law or Finance, you should go for a cleaner, more professional look. But if you’re applying for a field that values innovation, like IT or Design, you have more room for creativity.
  • Express Your Enthusiasm. Let the hiring manager know why you're excited about the job. Your passion for the specific role or the field in general can be a big selling point, and show them that you’re genuinely interested, not just applying left and right.
  • Address Any Gaps. If there are any employment gaps in your resume , your cover letter is a great place to mention why. Your resume doesn’t give you enough space to elaborate on an employment gap, so addressing it here can set hiring managers at ease—life happens, and employers understand.
  • Avoid Quirky Emails. Your email address should be presentable. It’s hard for a hiring manager to take you seriously if your email address is “[email protected].” Just use a [email protected] format.
  • Check Your Contact Information. Typos in your email address or phone number can mean a missed opportunity. Double-check these before sending your application.
  • Mention if You Want to Relocate. If you’re looking for a job that lets you move somewhere else, specify this in your cover letter.
  • Keep It Brief. You want to keep your cover letter short and sweet. Hiring managers don’t have time to read a novel, so if you go over one page, they simply won’t read it at all.
  • Use a Professional Tone. Even though a conversational tone isn’t a bad thing, remember that it's still a formal document. Show professionalism in your cover letter by keeping slang, jargon, and emojis out of it.

A strong cover letter format can set an applicant apart from other candidates aiming for the same job. Since only a limited amount of information should be listed in a resume, this document provides an opportunity for job seekers to offer finer details about who they are, and what value their experience will bring to the employer.

Why Is a Cover Letter Important?

Plain and simple, a strong cover letter increases your odds of landing an interview. It’s the chance to tell the story of your career that wouldn’t fit into the bullet points of a resume. A hiring committee also looks at a cover letter as evidence of a candidate’s ability to communicate effectively and professionally.

A cover letter presents the important opportunity to draw attention to some of the noteworthy achievements in your career, then elaborate on how they would relate to the job profile. In some instances, a hiring manager will contact the candidate based on the strength of their cover letter alone.

What’s the right format?

  •   Include your full name, address, telephone number, and email address in the header of your letter. Offering multiple contact methods ensures an easy line of communication.
  •   Address your letter to a specific person and include their title, such as the hiring manager or the supervisor of the position. In your salutation, include the proper prefix i.e. Mr., Mrs. Ms., Dr., etc. You can write ‘Dear hiring Manager’ if you can’t find a name.
  •   Start your opening paragraph with a strong hook that keeps your reader engaged until the end just as though it were a story. Your introduction should provide a broad overview of your background and relevant skills, as well as offer some insight as to why you are interested in the position.
  •   Your letter should be job-specific and directly match your qualifications and to the job profile. Make sure to read the job description and research the role properly, and only include your background details that are most significant to the position. Custom-tailoring your cover letter to each job posting offers a better chance of landing interviews and therefore jobs.
  •   End with a strong conclusion that maintains the enthusiasm you expressed for the position in your introduction without unnecessarily repeating yourself.
  •   Format and proofread. There’s nothing worse than making careless errors before you’re even hired. Regardless of the strength of your qualifications, a hiring manager will perceive your cover letter’s format to be as much of a reflection of you as its contents. A hiring manager will logically assume that a candidate who makes careless mistakes at the earliest stages of the hiring process would do the same on the job.
  •   Follow the stated instructions while writing/ sending your cover letter. Some businesses have a house style of how applicants should write and send their letters, including offering specific prompts and instructions on how they should be submitted.

Creating an impactful resume helps highlight your qualifications and secure a job interview. Here are some  tips for an effective resume : 

Customise your resume for each job by highlighting the skills, experiences, and accomplishments that match the job requirements. Review key points in the job description and research the company to know what it wants in an applicant. Customise your resume accordingly to show how your skills, experience, and qualifications align with the company's needs.  

If you are a foreigner with a Singaporean residency, such as a Singaporean PR, list it in your resume. Having a work permit can enhance your chances among other candidates. 

Use the right font and format 

Keep your resume clean by opting for  professional fonts . You can choose fonts like Roboto, Arial, and Times New Roman for resumes written in English. For traditional jobs, you may opt for serif fonts like Times New Roman or Garamond. Use a PDF or MS Word  format for your resume . In Singapore, employers usually opt for the following formats: 

  • Reverse chronological resume format: It is ideal if you are an experienced professional. 
  • Functional resume format: It is an ideal format for a career shift. 
  • Combination resume format:  It is an ideal format for candidates with a strong work history, looking for a new career path.  

Use action verbs 

Use  power words like strong action verbs to start each bullet point. This helps you rank better on  Applicant Tracking System (ATS) scanners. It also creates a dynamic and engaging resume that showcases your capabilities. 

Quantify data 

Use quantifiable data to demonstrate your accomplishments. This adds credibility and helps employers understand your impact in previous roles. For example, instead of saying "increased sales," specify "increased sales in Shanghai branch by 20% in six months." Numbers provide a clear context for your achievements and demonstrate your effectiveness. 

Avoiding common mistakes can improve the overall quality and impact of your cover letters and resumes. This can maximise your chances of securing interviews and job offers. 

Here are some things to watch out for: 

  • Not personalising to the job:  Tailor your cover letter and resume to the job you're applying for. This helps you distinguish yourself as a strong applicant. 
  • Not proofreading: Spelling, grammar, and formatting errors can undermine professionalism. Always proofread the two documents or ask someone else to do so. 
  • Repeating information on both documents:  Avoid duplicating information. Use the cover letter to provide context for your resume. 
  • Ignoring keywords and job requirements: Use relevant keywords from the job description in your application. This helps you rank higher on applicant tracking systems. 

Knowing the difference between a cover letter vs. resume is important when looking for a job in Singapore. Your resume gives details about your skills, experience, and qualifications. How to Write a Cover Letter That Sounds Like You (and Gets Noticed)

I hate cover letters. They add so much stress to the already uncomfortable and grueling job hunt. Every time I’m writing one, I find myself wondering: Do people even read these?

Unfortunately, the answer is “yes.” But, there are some ways to make the process a little less terrible. I asked Amy Gallo, Harvard Business Review editor and author of “ How to Write a Cover Letter ,” for her advice. From doing the research, to starting off strong, to emphasizing your value — Gallo taught me exactly what I need to do to get my cover letters noticed by hiring managers. I even wrote a new cover letter that has her blessing. (Scroll down if you’re in need of an expert-approved example.)

ELAINY MATA: So you want to know how to tackle the cover letter. I do too. I actually really hate cover letters. I hate cover letters. I hate cover letters.

But the cover letter is important. It’s time to face our fears, and just figure out how in the world we are actually going to write it.

I got you, and we’re going to do this together. These tips are going to help you go through the process a lot easier. So if you are ready to tackle the cover letter, stick around and keep watching.

In front of me right now are three cover letters that I’ve written in the past, for three different jobs. And I’m just embarrassed. I’m embarrassed to read these.

To whom it may concern, to whom it may concern, to whom it may concern.

I would like to respectfully submit this cover letter.   I would like to respectfully submit this cover letter.

I am a passionate, detail-oriented person. I am passionate, detail-oriented person.

This sounds like I’m — this doesn’t sound like me at all. I think you want me to talk this way. Here we go like. Hire me.

I talked to Amy Gallo, an HBR editor, and the author of one of our most popular articles, “How to Write a Cover Letter.”

AMY GALLO: First of all, you’re not alone. I write about how to write cover letters, and I also hate them.

ELAINY MATA: She’s done the research. She’s talked to the experts. And I’m going to tell you exactly what she told me.

Make it one page

ELAINY MATA: So how long does a cover letter actually have to be? Just one page, one.

AMY GALLO: Don’t play with the font, and make it like eight point font, and like make your margins really wide. Just really figure out what is the most essential things that need to go on one page.

Do research, find a name

ELAINY MATA: This should be a no-brainer, but let’s get specific. Let’s say you’re applying for a job here, at Harvard Business Review. Go on the company’s website, go to their “About Us” section, and read what they’re about, see their mission statement, see their tone, see what that company is actually looking for, and what they stand for.

So you’ve got the broad stuff, but let’s dig a little bit deeper. What is the company that you’re applying for talking about now? You should actually go into their LinkedIn, their Twitter, see what they’re sharing, see who are they’re talking to, see what they’re talking about, so you can get a sense of what is currently happening. Lastly, find that hiring manager. It is so much better to address your cover letter to an actual person and a name rather than, to whom it may concern. So I have to kind of creep a little bit, and be like a private investigator.

AMY GALLO: Yeah, creeping is definitely part of the process. Usually, with LinkedIn, you can see who’s posted the job, who is sharing it with their network. You may not know for sure that that’s the hiring manager, but at least it’s a little more personable. Sometimes, I’ve heard people just reach out and say, “Who’s the hiring manager for this job? I’d like to address my cover letter to that person.”

Start strong

ELAINY MATA: You’ve probably written this 100 times before. “Hi, my name is this. I’m based here, and I’m applying for this job.” No, no, no, no, don’t do that. The hiring manager has a stack of cover letters. So you have to write yours to grab their attention. Amy, can you please give me an example of a strong, bold, opening line for cover letter. I promise I won’t steal it.

AMY GALLO: You’re allowed to steal it. Anyone should be able to steal it:

“I saw your listing on this website, and I was thrilled to see it, because it’s exactly the kind of job I’ve been looking for to apply my skills in X.”

Write something that’s short, to the point, but shows both enthusiasm, as well as experience that’s relevant to the job.

Emphasize your value

ELAINY MATA: Figure out what problem the company is facing. They’re hiring for a reason. Figure out what that reason is, and how you can best solve that problem. Amy also found the top two qualities that people generally look for is adaptability, and the ability to learn quickly.

How about if I just got out of college, and I’m looking at these jobs that are asking for three to five years or more of experience. How can I write a cover letter if I feel like I don’t have enough to write about?

AMY GALLO: Yeah, so that’s a good question, because the cover letter shouldn’t be focused so much on the past. That’s the resume’s job. The cover letter is really about the future. So how are you going to take what’s in that resume, your past, and apply it to where you’re going.

Convey enthusiasm, not desperation

ELAINY MATA: This is really hard to balance. You want to show them that you’re excited to work there, and that you’re going to bring a lot of energy to the team. But don’t be too strong, because over eagerness can actually work against you.

Find a proofreader

AMY GALLO: Write the letter you want to write. Then share it with someone else, someone who knows you well, but someone who also will tell you like it is. We’re not good judges of our own writing.

ELAINY MATA: So getting a second pair of eyes will help you look for any errors, typos, and most importantly, they can tell you if you make sense.

Amy, this sounds like a lot. Is there even like a sort of a shortcut to this, or a sort of scalable way that I can do this for multiple different jobs?

AMY GALLO: I mean, you’ve probably heard the phrase looking for a job is a full-time job. It does take a lot of time. You’re tweaking some things. You’re not writing a whole new letter. So you’re going to have a template. Write your best cover letter for the first job you apply for. Share that with your friend to check the tone. Do the research on the company, right? Do that the first time. Then and adjust the cover letter accordingly. Does that seem more reasonable?

ELAINY MATA: Yes, much more reasonable.

So my task is to apply for a job here at HBR, and to write a new cover letter using the advice that Amy gave me. Let’s do it.

This is hard. I never said it was going to be easy, maybe easier than what you were doing before, but definitely not easy.

The first draft

Dear Maureen and hiring team,

I saw your listing on Linkedln and am excited because this is exactly the job that I’ve been looking for to showcase my skills in video production and production management to assist the creative center in producing compelling content.

Working in news and movie production has taught me to hear an idea and a concept and be able to fully plan out the logistics needed to make the desired final visual product. I have been able to work with software like Adobe Creative Suite and TriCaster, and have worked with other team members to write scripts and compose story boards.

Being part of the Creative Center team will give me the challenges to grow as a skilled producer and assist in production, help the production planning process, create a quick tum around for video publication, and manage content.

AMY GALLO: You did well on length. It is very short. That’s good.

ELAINY MATA: My gosh.

AMY GALLO: I read this, I’m like, that first sentence is spot on. And then it gets a little bit stilted. And then it goes into what’s probably on your resume. And I want a little more personality.

The final draft

ELAINY MATA: So Amy, after many back and forths — How do you think I did?

AMY GALLO: All right. So I’m looking at it right now. And I think you did a really good job.

You’ve got the main components here. There’s some personality in it. There’s some flattery in it about the company you’re applying to, but it’s not like over the top. I have to tell you, I would have you in. I think it’s a great letter.

ELAINY MATA: That’s it for me. I wrote the cover letter. You got to see the whole process. And I feel like I definitely have a better outlook on how to approach it. These are not easy to write, so good luck out there. Watch as many times as you can. Practice makes perfect. I’ll see you soon.

Cover letter example 

I was so excited to see your post on LinkedIn because it’s exactly the type of job I’m looking for: an opportunity to bring my experience with video production and enthusiasm for storytelling to an organization that sets the standard for high-quality management content.

In addition to five years of experience in broadcast journalism, research, and video production, I would bring an organized and systems-level perspective to this role. I view video production as a puzzle, and like to think about which parts need to come together in order to make a great final product. My approach is to have in-depth conversations with my team members, and the various stakeholders, before each project. This helps me nail down the logistics — from location to talent.

From there, the fun begins: fleshing out the concept and identifying what visuals will best represent it. Ideation and storyboarding are essential in this step. I know I’m not right all the time, so I enjoy working with a diverse team that can bring in new perspectives, brainstorm, and pitch ideas that will make the final product stronger. Whenever possible, I also try to seek out other sources for inspiration, like magazines, which allow me to observe different ways of expression and storytelling. This approach has served me well. It’s what has allowed me to enter the film industry and grow as a creator.

How to sign a cover letter: a guide to professional correspondence

You’ve polished your cover letter and you’re good to go. There’s only one thing left to do: Sign on the dotted line. But how can you get this right? Do you need a handwritten signature or can you type out your name? In this guide, we’ll go over how to sign a cover letter like a pro.

What is a cover letter?

First things first, let’s cover the basics. A cover letter is correspondence to the hiring manager. It details why you are applying for this specific role. It also allows you to make a solid case about your suitability for the vacancy. It’s the chance to clearly state why you’re the perfect candidate. 

Every cover letter includes the same elements, as follows: 

  • Contact details
  • Introduction
  • Body (2-3 paragraphs)

Should you sign a cover letter?

Times are changing. You no longer need a handwritten signature on a cover letter. Since we live in an ever-more digitalised world, modern-day recruiters don’t always expect to see this. Most of the time, it’s perfectly acceptable to simply type your name at the bottom of the letter instead.

However, in some cases, adding a full-on signature on a cover letter could help you to stand out from the crowd. It’s important to know when this is appropriate before you get started with your application. That way, you can make sure that the cover letter you submit is suitable. 

How to decide whether to use a cover letter signature

How to sign a cover letter based on its format

Effective cover letters are interesting and engaging. Chances are, you’ve spent a long time making sure that the body of your letter hits the mark. However, when you come to the end of the document, you don’t want to lose momentum. Getting the signature right is a must. 

Recruiters spend just seven seconds looking at each new application. In that blink of an eye, they decide whether you have what it takes to make it to the interview. If your cover letter doesn’t keep them reading at every point, it could ruin your chances of success. 

Let’s break down how you should sign your cover letter based on the format you are using. 

Email cover letters are quickly becoming the norm. Since you’re likely to apply for a job by sending your CV to the hiring manager, you may choose to write your cover letter in the body of your email. There’s nothing wrong with this approach and it’s certainly speedy. There are two options that you can choose from when using this approach: 

  • Type your full name out . If you decide to do this, you should use a standard sign-off, such as “Kind regards” or “Sincerely” followed by your name.
  • Use your email signature . Do you already have an email signature? If so, you can use it. Make sure it is suitable for the hiring manager to see before pressing “send”.

As a bonus, you may choose to include a link to your LinkedIn profile. Make sure that it is up to date before you do so. Take a look at our adaptable example below:

Whether you’re filling out an online application or sending your CV to the hiring manager, you might send your cover letter as an attachment. In this case, you should save your cover letter as a PDF document (unless otherwise specified by the job description). Sending a physical cover letter? While less popular than online methods, some employers ask that you send them your application in the post. If you are sending your cover letter as an actual letter, you have two options again. Let’s take a look at them: 

  • Typed signature . Chances are, you will create your cover letter on a computer and print it off. If that is the case, there’s nothing wrong with typing your name as the cover letter signature. As before, you should include “Kind regards” or “Sincerely” first.
  • Handwritten signature . Since you are printing out your cover letter anyway, you can sign your cover letter by hand. Write “Kind regards” or “Sincerely” and leave a gap. When the document is printed, get a good black pen and sign the document.

It doesn’t matter which you choose. However, some employers may be impressed by the extra attention to detail if you hand sign your cover letter. The choice is yours.
