Lecture/presentation/event: “conduct" vs. “carry out” vs. “hold”

When talking about a lecture, presentation, or event, what verb should be used?

As far as I understand, any of conduct , carry out , or hold are possible here. What’s the difference, and which of them (if any) is the best option?

I’m particularly interested in something like this:

Professor A is going to [ INSERT VERB ] a lecture about B next Thursday, February 14 th .

  • 2 Your request for best option is going to require substantially more context. "Conduct" and "carry out" suggest you are doing the actual lecture. "Carry out" is often used when someone else has given an order and you are the one executing the order, i.e., "carrying out" the order. "Hold" could be used even if you are only the sponsor or host, not the actual lecturer. –  MetaEd Commented Feb 11, 2013 at 22:29

Sharing your vision and ideas with any sized group is intimidating. You’re likely worrying about how you’ll perform as a presenter and whether the audience will be interested in what you offer. But nerves aren’t inherently negative — you can actually use this feeling to fuel your preparation.

Before creating your presentation, take note of your intended audience and their knowledge level of your subject. You’ll want your content to be easy for your intended audience to follow.

Say you’re giving a presentation on improving your company’s operational structure. Entry-level workers will likely need a more straightforward overview of the content than C-suite leaders, who have significantly more experience. 

Ask yourself what you want your audience to take away from your presentation and emphasize those important points. Doing this ensures they remember the most vital information rather than less important supporting ideas. Try organizing these concepts into bullet points so viewers can quickly identify critical takeaways.

2. Create a compelling structure

Put yourself in your audience member’s shoes and determine the most compelling way to organize your information. Your presentation should be articulate , cohesive, and logical, and you must be sure to include all necessary supporting evidence to strengthen your main points.

If you give away all of your answers too quickly, your audience could lose interest. And if there isn’t enough supporting information, they could hit a roadblock of confusion. 4. Be aware of design techniques and trends

Maintaining eye contact is less intimidating than it sounds. In fact, you don’t have to look your audience members directly in their eyes — you can focus on their foreheads or noses if that’s easier.

Try making eye contact with as many people as possible for 3–5 seconds each. This timing ensures you don’t look away too quickly, making the audience member feel unimportant, or linger too long, making them feel uncomfortable.

If you’re presenting to a large group, direct your focus to each part of the room to ensure no section of the audience feels ignored.

Keeping your presentation visuals minimalistic, simple, and clear is just one important step to remember when designing a hit presentation. Leaving nothing to chance, great presenters prove quite methodical as they prepare. Here’s a checklist for everything you need to keep in mind before your next presentation:

1. Choose the right software for your needs

The easiest way to select the right presentation software for you is to simply find the one that is native to your device. For example, if you have a Mac, use Apple Keynote, if you work on Windows, use PowerPoint. Google Slides is recommended if you’re working with someone, as it makes collaboration very easy. Another software option is Prezi: a specialty tool called Prezi that creates a presentation using motion, zoom, and panning across one giant visual space.

2. Organize your files

As you develop your script and visuals, you will need to start assembling all the assets for your slides. Create a unique folder on your computer to hold these items. Neuroscientist Jill-Bolte Taylor gave one of the most successful Talks in TED history with nearly 27 million views. How did she do it? She practiced her Talk over 40 times! By rehearsing multiple times you will naturally memorize your Talk, which means you won’t need note cards when you give your final presentation.

5. Do a final test run

Before presenting, make sure the equipment you need is working properly. It’s generally good practice to rehearse standing on the exact stage with the exact lighting using the exact computer that you will be using in your final presentation.

Here’s a quick checklist of what to look for when testing your equipment:

  • If you're not using your own computer, the one provided might be slower and have trouble playing media. If you have videos or other media, make sure they play correctly
  • Test the projector to make sure it’s HD
  • Make sure images are clear
  • Test the sound of any clips you use, as this is what goes wrong most frequently
  • If you’re using a mic, test the volume

Don’t let technical issues or other blunders overshadow your presentation. By following these guidelines, and with a little preparation, you can engineer out the problems BEFORE they happen.

How can you make a good presentation even more effective?

This page draws on published advice from expert presenters around the world, which will help to take your presentations from merely ‘good’ to ‘great’.

By bringing together advice from a wide range of people, the aim is to cover a whole range of areas.

Whether you are an experienced presenter, or just starting out, there should be ideas here to help you to improve.

1. Show your Passion and Connect with your Audience

It’s hard to be relaxed and be yourself when you’re nervous.

But time and again, the great presenters say that the most important thing is to connect with your audience, and the best way to do that is to let your passion for the subject shine through.

Be honest with the audience about what is important to you and why it matters.

Be enthusiastic and honest, and the audience will respond.

2. Focus on your Audience’s Needs

Your presentation needs to be built around what your audience is going to get out of the presentation.

As you prepare the presentation, you always need to bear in mind what the audience needs and wants to know, not what you can tell them.

While you’re giving the presentation, you also need to remain focused on your audience’s response, and react to that.

You need to make it easy for your audience to understand and respond.

3. Keep it Simple: Concentrate on your Core Message

When planning your presentation, you should always keep in mind the question:

What is the key message (or three key points) for my audience to take away?

You should be able to communicate that key message very briefly.

Some experts recommend a 30-second ‘elevator summary’, others that you can write it on the back of a business card, or say it in no more than 15 words.

Whichever rule you choose, the important thing is to keep your core message focused and brief.

And if what you are planning to say doesn’t contribute to that core message, don’t say it.

4. Smile and Make Eye Contact with your Audience

This sounds very easy, but a surprisingly large number of presenters fail to do it.

If you smile and make eye contact, you are building rapport , which helps the audience to connect with you and your subject. It also helps you to feel less nervous, because you are talking to individuals, not to a great mass of unknown people.

To help you with this, make sure that you don’t turn down all the lights so that only the slide screen is visible. Your audience needs to see you as well as your slides.

5. Start Strongly

The beginning of your presentation is crucial. You need to grab your audience’s attention and hold it.

They will give you a few minutes’ grace in which to entertain them, before they start to switch off if you’re dull. So don’t waste that on explaining who you are. Start by entertaining them.

Try a story (see tip 7 below), or an attention-grabbing (but useful) image on a slide.

6. Remember the 10-20-30 Rule for Slideshows

This is a tip from Guy Kawasaki of Apple. He suggests that slideshows should:

  • Contain no more than 10 slides;
  • Last no more than 20 minutes; and
  • Use a font size of no less than 30 point.

This last is particularly important as it stops you trying to put too much information on any one slide. This whole approach avoids the dreaded ‘Death by PowerPoint’.

As a general rule, slides should be the sideshow to you, the presenter. A good set of slides should be no use without the presenter, and they should definitely contain less, rather than more, information, expressed simply.

If you need to provide more information, create a bespoke handout and give it out after your presentation.

7. Tell Stories

Human beings are programmed to respond to stories.

Stories help us to pay attention, and also to remember things. If you can use stories in your presentation, your audience is more likely to engage and to remember your points afterwards. It is a good idea to start with a story, but there is a wider point too: you need your presentation to act like a story.

Think about what story you are trying to tell your audience, and create your presentation to tell it.

Finding The Story Behind Your Presentation

To effectively tell a story, focus on using at least one of the two most basic storytelling mechanics in your presentation:

Focusing On Characters – People have stories; things, data, and objects do not. So ask yourself “who” is directly involved in your topic that you can use as the focal point of your story.

For example, instead of talking about cars (your company’s products), you could focus on specific characters like:

  • The drivers the car is intended for – people looking for speed and adventure
  • The engineers who went out of their way to design the most cost-effective car imaginable

A Changing Dynamic – A story needs something to change along the way. So ask yourself “What is not as it should be?” and answer with what you are going to do about it (or what you did about it).

For example…

  • Did hazardous road conditions inspire you to build a rugged, all-terrain jeep that any family could afford?
  • Did a complicated and confusing food labelling system lead you to establish a colour-coded nutritional index so that anybody could easily understand it?

8. Use your Voice Effectively

The spoken word is actually a pretty inefficient means of communication, because it uses only one of your audience’s five senses. That’s why presenters tend to use visual aids, too. But you can help to make the spoken word better by using your voice effectively.

Varying the speed at which you talk, and emphasising changes in pitch and tone all help to make your voice more interesting and hold your audience’s attention.

9. Use your Body Too

It has been estimated that more than three quarters of communication is non-verbal.

That means that as well as your tone of voice, your body language is crucial to getting your message across. Make sure that you are giving the right messages: body language to avoid includes crossed arms, hands held behind your back or in your pockets, and pacing the stage.

Make your gestures open and confident, and move naturally around the stage, and among the audience too, if possible.

10. Relax, Breathe and Enjoy

If you find presenting difficult, it can be hard to be calm and relaxed about doing it.

One option is to start by concentrating on your breathing. Slow it down, and make sure that you’re breathing fully. Make sure that you continue to pause for breath occasionally during your presentation too.

If you can bring yourself to relax, you will almost certainly present better. If you can actually start to enjoy yourself, your audience will respond to that, and engage better. Your presentations will improve exponentially, and so will your confidence. It’s well worth a try.

How to Give a Killer Presentation

For more than 30 years, the TED conference series has presented enlightening talks that people enjoy watching. In this article, Anderson, TED’s curator, shares five keys to great presentations:

  • Frame your story (figure out where to start and where to end).
  • Plan your delivery (decide whether to memorize your speech word for word or develop bullet points and then rehearse it—over and over).
  • Work on stage presence (but remember that your story matters more than how you stand or whether you’re visibly nervous).
  • Plan the multimedia (whatever you do, don’t read from PowerPoint slides).
  • Put it together (play to your strengths and be authentic).

According to Anderson, presentations rise or fall on the quality of the idea, the narrative, and the passion of the speaker. It’s about substance—not style. In fact, it’s fairly easy to “coach out” the problems in a talk, but there’s no way to “coach in” the basic story—the presenter has to have the raw material. So if your thinking is not there yet, he advises, decline that invitation to speak. Instead, keep working until you have an idea that’s worth sharing.

Lessons from TED

A little more than a year ago, on a trip to Nairobi, Kenya, some colleagues and I met a 12-year-old Masai boy named Richard Turere, who told us a fascinating story. His family raises livestock on the edge of a vast national park, and one of the biggest challenges is protecting the animals from lions—especially at night. Richard had noticed that placing lamps in a field didn’t deter lion attacks, but when he walked the field with a torch, the lions stayed away. From a young age, he’d been interested in electronics, teaching himself by, for example, taking apart his parents’ radio. He used that experience to devise a system of lights that would turn on and off in sequence—using solar panels, a car battery, and a motorcycle indicator box—and thereby create a sense of movement that he hoped would scare off the lions. He installed the lights, and the lions stopped attacking. Soon villages elsewhere in Kenya began installing Richard’s “lion lights.”

Powerful and Effective Presentation Skills: More in Demand Now Than Ever

When we talk with our L&D colleagues from around the globe, we often hear that presentation skills training is one of the top opportunities they’re looking to provide their learners. And this holds true whether their learners are individual contributors, people managers, or senior leaders. This is not surprising.

Effective communications skills are a powerful career activator, and most of us are called upon to communicate in some type of formal presentation mode at some point along the way.

For instance, you might be asked to brief management on market research results, walk your team through a new process, lay out the new budget, or explain a new product to a client or prospect. Or you may want to build support for a new idea, bring a new employee into the fold, or even just present your achievements to your manager during your performance review.

And now, with so many employees working from home or in hybrid mode, and business travel in decline, there’s a growing need to find new ways to make effective presentations when the audience may be fully virtual or a combination of in person and remote attendees.

Whether you’re making a standup presentation to a large live audience, or a sit-down one-on-one, whether you’re delivering your presentation face to face or virtually, solid presentation skills matter.

Even the most seasoned and accomplished presenters may need to fine-tune or update their skills. Expectations have changed over the last decade or so. Yesterday’s PowerPoint which primarily relied on bulleted points, broken up by the occasional clip-art image, won’t cut it with today’s audience.

The digital revolution has revolutionized the way people want to receive information. People expect presentations that are more visually interesting. They expect to see data, metrics that support assertions. And now, with so many previously in-person meetings occurring virtually, there’s an entirely new level of technical preparedness required.

The leadership development tools and the individual learning opportunities you’re providing should include presentation skills training that covers both the evergreen fundamentals and the up-to-date capabilities that can make or break a presentation.

So, just what should be included in solid presentation skills training? Here’s what I think.

The fundamentals will always apply When it comes to making a powerful and effective presentation, the fundamentals will always apply. You need to understand your objective. Is it strictly to convey information, so that your audience’s knowledge is increased? Is it to persuade your audience to take some action? Is it to convince people to support your idea? Once you understand what your objective is, you need to define your central message. There may be a lot of things you want to share with your audience during your presentation, but find – and stick with – the core, the most important point you want them to walk away with. And make sure that your message is clear and compelling.

You also need to tailor your presentation to your audience. Who are they and what might they be expecting? Say you’re giving a product pitch to a client. A technical team may be interested in a lot of nitty-gritty product detail. The business side will no doubt be more interested in what returns they can expect on their investment.

Another consideration is the setting: is this a formal presentation to a large audience with questions reserved for the end, or a presentation in a smaller setting where there’s the possibility for conversation throughout? Is your presentation virtual or in-person? To be delivered individually or as a group? What time of the day will you be speaking? Will there be others speaking before you and might that impact how your message will be received?

Once these fundamentals are established, you’re in building mode. What are the specific points you want to share that will help you best meet your objective and get across your core message? Now figure out how to convey those points in the clearest, most straightforward, and succinct way. This doesn’t mean that your presentation has to be a series of clipped bullet points. No one wants to sit through a presentation in which the presenter reads through what’s on the slide. You can get your points across using stories, fact, diagrams, videos, props, and other types of media.

Visual design matters While you don’t want to clutter up your presentation with too many visual elements that don’t serve your objective and can be distracting, using a variety of visual formats to convey your core message will make your presentation more memorable than slides filled with text. A couple of tips: avoid images that are cliched and overdone. Be careful not to mix up too many different types of images. If you’re using photos, stick with photos. If you’re using drawn images, keep the style consistent. When data are presented, stay consistent with colors and fonts from one type of chart to the next. Keep things clear and simple, using data to support key points without overwhelming your audience with too much information. And don’t assume that your audience is composed of statisticians (unless, of course, it is).

When presenting qualitative data, brief videos provide a way to engage your audience and create emotional connection and impact. Word clouds are another way to get qualitative data across.

Practice makes perfect You’ve pulled together a perfect presentation. But it likely won’t be perfect unless it’s well delivered. So don’t forget to practice your presentation ahead of time. Pro tip: record yourself as you practice out loud. This will force you to think through what you’re going to say for each element of your presentation. And watching your recording will help you identify your mistakes—such as fidgeting, using too many fillers (such as “umm,” or “like”), or speaking too fast.

A key element of your preparation should involve anticipating any technical difficulties. If you’ve embedded videos, make sure they work. If you’re presenting virtually, make sure that the lighting is good, and that your speaker and camera are working. Whether presenting in person or virtually, get there early enough to work out any technical glitches before your presentation is scheduled to begin. Few things are a bigger audience turn-off than sitting there watching the presenter struggle with the delivery mechanisms!

Finally, be kind to yourself. Despite thorough preparation and practice, sometimes, things go wrong, and you need to recover in the moment, adapt, and carry on. It’s unlikely that you’ll have caused any lasting damage and the important thing is to learn from your experience, so your next presentation is stronger.

Using Different Presentation Methods to Engage Your Audience

While learning styles is “ little more than urban myth ,” presenting your material in a variety of ways is a great technique for engaging your audience. By switching it up, you increase your chances of explaining something in a way that clicks with individual audience members. This is especially helpful for more complex topics that might be hard to grasp.

There are three main ways of presenting your material to your audience: through visuals, audio, and hands-on activities.

  • Visuals: Use slides packed with images, graphs, and bullet points.
  • Audio: Tell stories, play audio clips or engage in discussions.
  • Hands-on Activities: Include activities or demonstrations that allow audience members to participate physically.

Making sure everyone gets something from your presentation means considering these techniques when planning content. Not only can incorporating various methods increase audience engagement, but it can also elevate your presentation from decent to memorable.

Essential Tips for First-Time Presenters

Stepping onto the stage or logging into that webinar platform as a first-time presenter can feel nerve-wracking. But fear not! With these tips on how to dress appropriately, arrive early, and make your presentation shine, you’ll be ready to confidently nail that presentation.

Dress Appropriately

Your outfit is your armor. Choose something professional yet comfortable. Whether it’s in-person or online, dressing one notch above what you expect your audience to wear usually hits the sweet spot. Aim for solid colors that won’t distract your audience.

Arriving Early

If possible, arrive at the venue before your audience does. This gives you time to settle in, test any tech gear like microphones or projectors, and take those deep breaths. This extra time also lets you chat with early birds. By connecting with people before taking center stage, you can ease nerves significantly.

Making Presentation Time Count

You only have the audience’s attention for so long. Keep an eye on the clock as you present, but avoid rushing through content. It especially helps to pause after key points, letting information sink in. Your end goal? Leave you’re audience wanting more. You’ll know if you succeeded based on the number of questions you get during the Q&A.

So there you have it—the techniques you need to deliver an engaging presentation. By honing nonverbal communication, like eye contact and posture, you can captivate your audience with your energy. And visual aids? They’re not just ornamental; they help bolster your point and drive it home.

Giving Effective Presentations

This handout will help you prepare and conduct an effective speech or presentations after you have already created a speech or presentation .

Before the presentation

Determine the type of speech delivery you are giving. The type of speech delivery influences the strategies you will use to practice the speech. The four types of speech delivery are:

  • Impromptu: A speech that has no advanced planning or practice.
  • Extemporaneous: The speaker prepares notes or an outline, with embellishment. This kind of speech allows the speaker to adapt to the audience’s reaction and sounds more natural and conversational than scripted speeches.
  • Manuscript: Reading a scripted speech word-for-word without any memorization.
  • Memorized: Memorizing a scripted speech to present without having to rely on reading the script.

When thinking about how you will deliver your speech, consider:

  • Articulation: Find the right pace for your speech in order to retain clarity and be easily understood by your audience.
  • Nonverbal communication: This can include posture, eye contact, facial expressions, and movement that can be used to reinforce or modify your speech.
  • Effective voice: Strive for a conversational, casual voice at a volume that your audience can comfortably hear even if they are listening from the back of the room or through a digital platform like Zoom.

Below are some simple steps to take in practicing for your speech or presentation:

  • Practice your stance: If you will be standing while presenting your speech, then practice while standing. If you’ll be seated, practice while seated. If you’ll be on Zoom, practice to see what stance will work for your camera.
  • Speak out loud: It can be tempting to recite quietly when preparing. But reciting your speech at a similar volume to the volume you will use to present in class is another effective method of practice.
  • Practice without looking at the text: Even if you are not required to memorize your speech or presentation, practicing without looking at your text to see if you lose your train of thought.
  • Make your script easy to read: If you are planning on reading your speech from a script or notecards, format the words to make them easy to reference while you are presenting. Try these formatting tips:
  • Use a large font (14 pt. or greater) for text and numbering your pages.
  • Leave blank lines between paragraphs or sentences so you can easily find your place.
  • Refrain from stapling pages together or printing double sided, which makes your pages more difficult to organize during the presentation.
  • Highlight words or lines that are important to you to ensure you deliver them during the presentation.
  • For in class speeches, copy down presenter notes on paper from any PowerPoint or presentation slides in order to refrain from staring at a screen during your presentation.
  • Record yourself and listen to the recording: Recording yourself provides a way for you to gain an outside perspective of your presentation. Create a list of items you want to improve upon for your next trial run and practice again.
  • Where did I have trouble speaking clearly and/or emphatically?
  • Did I stay within my time limit?
  • Do I feel the need to delete or edit anything?
  • At what point did I feel the most confident?
  • Practice in front of an audience: Grab a friend, group member, family member or make an appointment with an Academic Coach and recite your speech or presentation in front of another person. This will help you bounce ideas off of someone and give you the chance to practice in front of people with whom you feel comfortable. For Zoom presentations, go through the mechanics of an actual Zoom rehearsal with another person. This may involve additional steps of preparing the physical space, such as lighting, tidying up, and setting the scene that will be viewable by the audience.
  • Try the Wonder Woman pose: It may feel funny, but some studies suggest that standing with your legs apart, hands on your hips, and chest out (much like Wonder Woman) for two minutes before a stressful event can build feelings of confidence.

When it comes to the day of the presentation, it is natural to experience feelings of nervousness or anxiety, but remember you have practiced for this presentation and be confident in what you have accomplished. Here are some tips on how to calm nerves in the moment and manage anxiety:

  • Arrive prepared: Make sure you have everything you need to give the presentation. Using your computer? Make sure it’s charged. Are you reading off a script or notecards? Pack them with your things the night before. If you’re presenting online, see our tips for using Zoom .
  • Breathing exercises: Try 4-7-8 breathing to slow down and calm the mind and body. Inhale quietly through your nose to the count of four; hold your breath to the count of seven; exhale with sound through your mouth to the count of eight.
  • Maintain eye-contact. This will help you stay engaged with your audience and hold their attention during the speech. The goal is to make eye contact or maintain the illusion of eye-contact with members in the audience at all times you are speaking to them. An effective strategy for maintaining eye contact is to shift your focus between different areas of the audience (room) every few seconds. On Zoom, you can look at your camera to simulate the appearance of eye contact for the audience rather than looking at the faces on the screen.
  • Moving through transitions. For instance, stand firm when delivering a point, move to a separate place as you transition to another point, and stand firm when delivering your second point).
  • Stepping forward when delivering a key takeaway message.
  • Walking toward the audience during a participatory part of your presentation, for instance, a Q&A session.
  • Knowing your audience
  • Pacing yourself
  • Using a sense of humor
  • Starting off strong
  • Asking questions or use anecdotes to peak interest

Tips for creating an effective presentation

Choose a font style that your audience can read from a distance.

Choosing a simple font style, such as Arial or Calibri, helps to get your message across. Avoid very thin or decorative fonts that might impair readability, especially at small sizes.

Choose a font size that your audience can read from a distance.

Try to avoid using font sizes smaller than 18 pt, and you may need to go larger for a large room where the audience is far away.

Keep your text simple and minimize the amount of text on your slides

Use bullets or short sentences, and try to keep each to one line; that is, without text wrapping.

You want your audience to listen to you present your information, rather than read the screen.

Some projectors crop slides at the edges, so long sentences may be cropped.

You can remove articles such as "a" and "the" to help reduce the word count on a line.

Use art to help convey your message.

Use graphics to help tell your story. Don't overwhelm your audience by adding too many graphics to a slide, however.

Make labels for charts and graphs understandable.

Use only enough text to make label elements in a chart or graph comprehensible.

Make slide backgrounds subtle and keep them consistent.

Choose an appealing, consistent template or theme that is not too eye-catching. You don't want the background or design to detract from your message.

Themes automatically set the contrast between a light background with dark colored text or dark background with light colored text.

To earn and maintain the respect of your audience, always check the spelling and grammar in your presentation.

Tips for delivering an effective presentation

Show up early and verify that your equipment works properly.

Make sure that all equipment is connected and running.

Don't assume that your presentation will work fine on another computer.

Disk failures, software version mismatches, lack of disk space, low memory, and many other factors can ruin a presentation.

Turn off screen savers, and ensure you have the appropriate files and versions of software that you need, including PowerPoint.

To ensure all files are accounted for when you copy them to a USB drive and carry them to your presentation location, see 

Consider storing your presentation on OneDrive so it can be accessible to you from any device with an internet connection.

Verify that the projector's resolution is the same as the computer on which you created your presentation.

If the resolutions don't match, your slides may be cropped, or other display problems can occur.

Turn your screen saver off.

Keep your audience focused on the content of your presentation.

Check all colors on a projection screen before giving the actual presentation.

The colors may project differently than what appears on your monitor.

Ask your audience to hold questions until the end.

Questions are an excellent indicator that people are engaged by your subject matter and presentation skills. But if you save questions until the end of the presentation, you will get through your material uninterrupted. Also, early questions are often answered by ensuing slides and commentary.

Avoid moving the pointer unconsciously.

When you are not using the pointer, remove your hand from the mouse. This helps to stop you from moving the pointer unconsciously, which can be distracting.

Don't read the presentation.

Practice the presentation so that you can speak from bullet points. The text should be a cue for the presenter rather than the full message for the audience.

Stay on time.

If you plan a certain amount of time for your presentation, do not go over. If there is no time limit, take less time rather than more to ensure that people stay engaged.

Monitor your audience's behavior.

Each time that you deliver a presentation, monitor your audience's behavior. If you observe people focusing on your slides, the slides may contain too much data or be confusing or distracting in some other way. Use the information you learn each time to improve your future presentations.

How to structure a winning presentation

Start by doing your homework

When it comes to your presentation, what does success look like — both for you and your audience?

Before creating your slides, take a step back and analyze the main objective of your presentation. It’s also essential to research your audience, understand what they care about, and consider the venue and setting in which they’ll experience your presentation.

Here are the key questions you need to answer.

What does a winning presentation achieve? 

A clear grasp of your presentation's purpose and objectives will guide the structure and content of your deck. 

Consider the desired outcome of your presentation. What do you want your audience to take away from it? Are you hoping they'll learn something new, consider trying your product, or be inspired to take action? Or are you hoping to walk out with a firm decision, actionable next steps, or a commitment to buy or invest? And how will you know you’ve achieved your goal?

Having a defined objective will help you craft a powerful closing to your presentation that reiterates your key messages and moves your audience to take that desired next step. Whether it's to spread the word, make a purchase, or put your advice into practice, make sure the call to action is clear and memorable.

What’s your key message?

Your message is the heart of your presentation, and it shapes the way you tell your story. When crafting your key message, think about what you want your audience to learn, understand, or feel after you present. This will serve as the foundation for your deck. 

Once you’ve defined your key message, you can start supporting it with data, anecdotes, and other compelling content. For example, including statistics from a credible source to back up your points will lend your presentation credibility and authority. Stories and testimonials will always make your message more relatable and memorable. 

Multiple studies have shown that human stories are more persuasive than data alone. Mixing the two will help convince both hearts and heads.

Who are you presenting to?

When preparing your presentation, it's important to know who your audience is, how well they understand the topic, and what their attitude is toward your desired outcome. Are they new to the subject, or do they already have extensive knowledge of it? What are their needs and challenges?

Think about how you can reference relatable experiences so that your audience feels understood. For instance, if you're presenting to a group of beginners, you'll want to start with the basics and provide clear visual aids and examples. If you’re presenting to experts, first demonstrate your own expertise on the subject matter to win them over and show them that you have something new to offer.

Where will you present?

The last thing to consider is the venue and setting in which you’ll present. This is more than just the location; the environment and atmosphere in which people will experience your presentation are also key. 

Will you be in a small conference room, a large auditorium, or an outdoor venue? How many people will you be speaking to? Will you present in-person or on a video call? Or maybe you’re not presenting live at all, and instead sending out your presentation for the audience to read in their own time.

You should also consider the technical setup and amount of time you’ll have to present. Will you have a Q&A session afterward? How can you drive audience participation? Will your audience get access to your slides or handouts before or after the meeting or talk?

Paying attention to these details will help you tailor your presentation to the audience and their mindset.

3 steps to building your presentation storyline

If you want your audience to stay engaged, you need to structure your ideas as a well-crafted story. Follow these three steps to clearly define your narrative before you start creating your slides. 

1. Create an outline

Use a storytelling framework that translates your key message into a compelling narrative. This framework doesn't have to be complex — it just needs to be cohesive and well organized. 

Here are two popular storytelling frameworks to consider.

Framework 1: SCQA

The SCQA framework helps you guide your audience through four logical steps: 

  • First, introduce the situation and provide the necessary context. 
  • Next, dive into the complication. Highlight the problem or opportunity at hand, and explain why it's important to address it immediately.
  • Then, ask your audience a core question.
  • Finally, wrap up by answering the question. Support your solution with relevant data, research, or testimonials.

This approach enables you to close your presentation with a strong call to action. 

Framework 2: The hero’s journey

The hero's journey is an influential storytelling framework developed by Joseph Campbell in 1949 and adapted by Christopher Vogler for the modern era in 2007. It’s traditionally used to structure epic stories, but it can be applied to any type of storytelling.

In your presentation, the audience takes on the role of the hero, and you, the presenter, guide them through an adventure, a crisis, and a transformation. This journey is typically divided into twelve stages which can be grouped into three acts:

  • Act 1 — The ordinary world: The audience doesn’t realize there’s a problem, and you introduce an idea to increase their awareness of the situation. At first, they’ll likely be skeptical of change.
  • Act 2 — The special world: The second act is all about the confrontation. As a presenter, you share your experience, insights, and tools to assist the audience on their journey and help them further explore the new idea.
  • Act 3 — Return to the ordinary world: This is the resolution, in which the audience returns from their journey renewed by everything they’ve learned. They’re equipped with new tools and insights, ready to improve and move forward.

The hero's journey is a powerful storytelling method in presentations because it allows the audience to feel like they’re actively participating in the experience. It keeps them engaged and makes it more likely that they’ll remember the key takeaways.

Writing your outline

Once you’ve decided on a storytelling framework, you can write your outline. An effective way of organizing your story is through a simple dot-dash structure. Dots represent the main ideas that drive your storyline, and dashes represent all the supporting content: your arguments, facts, and data. 

It can be easier to jot down your outline in a text format first before you start creating slides. But if you prefer to work on your slides directly, write out your headlines (the dots), then drop text notes on each blank slide listing your supporting materials (the dashes) — which we’ll dive into next.

2. Gather your supporting materials

It’s time to collect all the proof points that’ll lend your story character and confidence — the dashes from your outline. Gather together any research, data, calculations, quotes, case studies, testimonials, or anecdotes you feel will support your message. 

This is where your story really starts coming alive. As you begin to combine your written outline and supporting materials into draft slides, you’ll notice your narrative taking shape. You’ll be able to see which arguments are well supported, and where you might need to dig a little deeper to strengthen an idea.

3. Use structural elements to guide your audience

Structural elements in a presentation can help your audience situate themselves, like a map with a “You are here” arrow. Using these elements keeps your deck clean, cohesive, and easy to follow.

Here are a few key slides and slide elements that’ll help guide your audience: 

  • Include an agenda slide at the very beginning of your deck, with a list of the topics you’ll be sharing. This gives your audience an overview of what to expect.
  • Make use of section dividers to separate the different parts of your deck. These also make for refreshing pauses throughout your audience’s journey. 
  • Well-structured decks typically include trackers — visual elements that show an audience how far through a section they are, or where on the story map they’re currently located. These are usually placed at the side or in the corner of your slides, and can also act as a fun branding element. Tools to structure your presentation

Structuring your presentation for success doesn't have to be complicated. In fact, there are just a few key steps to follow: Conduct thorough research, create a well-organized outline, and support your points with strong evidence. With these elements in place, your presentation will be off to a strong start before you’ve drafted your first slide.

Delivering presentations is an everyday art form that anyone can master. To capture your audience's attention, present your information with ease and confidence. Act as if you are in a conversation with your audience, and they will pay attention to you. To get this level of fluency, write an engaging narrative, use more visuals than text in your slides, and practice, practice, practice.

Rehearsing Your Presentation

Step 1 Give it the

  • Deliver your summary to them in friendly, direct language, as if you were telling the story to a friend in a bar.
  • In fact, you can tell the story to a friend in a bar. However, telling a colleague over coffee can work just as well.
  • Get them to tell you what their takeaway was. If they can summarize your message accurately, that's a good sign.

Step 2 Practice your speech in front of a colleague while you're still developing it.

  • Ask them to be your coach.
  • Give them your presentation once or twice and let them ask you questions and give feedback.
  • Ask them to point out moments that are dull or confusing.

Step 3 Prepare for nerves

  • Write down what you're afraid of. What exactly worries you when you give a speech? Looking foolish? Being asked a hard question? Write down your exact fears, and then consider them each individually.
  • Think about what you will do in each situation. For instance, if your fear is, "I'll forget what I'm saying," you can prepare a plan like, "If I forget what I'm saying, I'll pause, scan my notes, and find the next important point I need to make."
  • Catch your negative thoughts, and calm them. If you think, "I'm going to get nervous and sweaty," replace it with, "I have important information to deliver and everyone is going to pay attention to that."

Step 4 Time yourself carefully.

  • Give yourself extra time if you plan to take questions, or if you anticipate lots of digressions.

Step 5 Practice repeatedly.

  • This doesn't mean sticking to a strict script every time. Instead, when you rehearse, improvise freely. Deliver your main points, but include quips and anecdotes that occur to you as you go. You'll remember the best ones when you actually deliver the presentation.

Delivering Your Presentation with Confidence

Step 1 Fake confidence.

  • Remind yourself that your audience likely can't see your nerves.
  • Take a deep breath and exhale before you go on stage.

Step 2 Show your emotion.

  • If there are too many people to really see faces, just look boldly into the crowd.

Step 4 Mind your body...

  • Move your hands as you speak. Don't wave them, as this will make you look nervous. Instead, try calmly gesturing with your palm out when you make a point. If you describe a shape, draw it in the air with your hands.

Crafting a Compelling Presentation

Step 1 Think of your presentation as a story.

  • Have a clear through line that runs through all parts of your presentation, leading to your main point.
  • Include stories that put your listeners into a situation. Get their energy with tactile details (sound, sight, smell, taste, touch) and descriptions of an emotional state.
  • Include moments of reflection in which you share how you felt or feel.

Step 2 Make your slides as visual as possible.

  • As always with humor in a work setting, remember that humor varies widely between cultures. Avoid making any jokes that make fun of anybody's sex, gender, race, class, or ability. Remember to "punch up"—if your jokes take someone on, take on someone with more power than you, rather than less.
  • If you get nervous, try starting your presentation with a simple joke or a funny story. It will put you and your audience at ease.

Step 5 Find ways to make your presentation interactive.

  • Ask the crowd to consider something or imagine something, and hold a moment of quiet while they do.
  • Interactive moments make great pivots from one section of your talk to another.

Step 6 Consider your audience.

  • Will these be experts, or newcomers to your ideas? If they're experts, you'll need to present them with specific, technical, and new ideas. If they're newcomers, plan to introduce them more generally to your topic, and avoid technical terms.
  • Will audience members be on your side from the start, or will they need persuading?
  • Will you have a large, faceless crowd, or a small group? If you're working with a small group, you can include them in parts of your presentation through questions, personal digressions, and conversations.

14 Dos and Don’ts for an Effective Presentation

Giving a presentation can be stressful. There are just too many balls to keep in the air: an effective opening, audience engagement, body language, visual aids, anxiety management. The list goes on. 

On a positive note, public speaking and presentation skills can be learned and refined. That’s why we put together a list of 14 dos and don’ts that will help you deliver a killer presentation. If you already have your presentation idea and are wondering how to effectively develop and deliver it, this article is for you.

Let’s jump right in and explore the basic rules of making and giving a presentation.

Focus on the Key Message

From the very beginning, the audience should feel that your speech is leading to something important. This is what will spark their curiosity and keep their attention focused. 

Of course, to achieve such an effect, you should actually have something important to communicate. Otherwise, your audience will feel like they wasted their time (and would be right to think so). The material you present should resemble an arrow with a clear point, not an unending loop of words that leads to nowhere. 

But having something worth telling is only part of the job. You also need to make sure that your entire presentation is woven around that key idea. From beginning to end, your core message should be your guiding light. Each sentence should move the audience closer to it, and by the end of the speech, leave them with a sense of illumination.

Plan the Structure

Planning your speech beforehand is the only way to avoid getting sidetracked. As you think about your message, try to structure it in a way that makes its delivery most effective for the audience.

So, how do you structure a presentation? Consider both the logical and emotional implications of your structure. First, you want to give your listeners enough background information to help them get better acquainted with the topic, but not so much as to get them bored. Once all the need-to-knows are out of the way, make a seamless transition to your main message and start laying out your arguments in a convincing way.

Also, think about the emotional effect you want to achieve in each part of your presentation. The best way to go about it is to capture your audience’s attention right off the bat, which is often considered to be the hardest part of giving a presentation.

“How do I begin a presentation?” is a question you’ve surely asked yourself.  Once you’re done introducing yourself, you can jump into the presentation with a story or an intriguing question. Then, build suspense throughout the speech and release it at the end with a well-grounded closing statement.

Tell a Story

How do you present a topic? As human beings, we’re attracted to stories. This is why we go to the movies, read fiction and, yes, become all ears when hearing gossip. Thus, it’s always a good idea to begin your presentation with a story or even spice it up with one in the middle. This can make all the difference between an engaged and indifferent audience.

Keep a Conversational Tone

Many first-time public speakers try a bit too hard to make their speech expressive. As a result, their presentations appear showy and even pompous to the audience.

To prevent this, simply use a conversational tone. Feel like you are communicating your message to individual people, rather than a large alien audience. This will not only ease you up but will help the audience connect to you as well. 

After all, when you really look at it, you are talking to individual people, not their aggregation.

Remember the Takeaway

What is the one thing you’d wish the audience to take away from your speech as they leave the room or the auditorium? Define it in a single phrase or sentence, using straightforward, accessible language, and present it at the end of your presentation. Keep that takeaway in mind when planning your speech, and put a special emphasis on it during the wrap-up.

Time your speech.

There’s probably a specific timeframe within which you should complete your speech. Even if it’s not rigidly set, the audience will have certain expectations as to how long your presentation will take. 

Therefore, it’s important to plan beforehand the approximate time your speech should take and set a timer during rehearsals. If your presentation lasts longer than expected, make sure to leave the inessential parts out. 

As you memorize your material, your speech will get smoother and faster. This will also shorten the time required for it. Thus, before making any adjustments to the length of your script, rehearse it a few times.

Practice your speech as many times as necessary to build confidence. This is not to say you should memorize every single word or sentence, but you should know exactly what you need to cover at every point. 

When you’re confident enough about your speech, there’s one less reason to be nervous during the presentation. You can now relax and focus on building rapport with your audience.

Perhaps, the worst thing you can do during a presentation is to read your script. Even glancing at a paper or screen far too many times is distracting enough. What’s more, your audience will find it difficult to connect to your message, as it will all feel mechanical and staged.

The solution? It’s fairly simple: rehearse, rehearse, rehearse.

Don’t Rely on Slides

A slide should never be the main source of information for the audience. Use it as a mere extension that makes your speech more engaging or credible. Always keep in mind that your audience needs to learn from you , the speaker, not from your slide.

It goes without saying that you shouldn’t stuff any slide with text. Or include so much information (whether textual or visual) that your audience gets overwhelmed and stops following your speech. When it comes to slide design, minimalism is your best friend. 

To know if you’re relying heavily on your slides or not, ask yourself this question: “Will my presentation still make sense without the slides?” If the answer’s no, then you should rethink your script. But, there’s also a fun side to this. When you free your slides of the burden to inform, they can now be used creatively and even enhance the effect of your speech.

Notice how the presenter in the video shown above only turns to slides to highlight or demonstrate a point she made. And if you remove all the slides? The presentation will be just as complete and impactful.

Don’t Use Fancy Slideshows

How a good presentation should look like? Nowadays, there are lots of advanced presentation software and screen-sharing tools one can use to “wow” the audience. The problem with them? “Wowing” your audience with something as trivial as slides is hardly why you’re making your speech. The fewer distractions there are in your presentation, the better. Keep this in mind, and avoid using anything showy. 

Don’t Talk Too Fast (or Slow)

While presenting, it’s recommended to maintain a consistent pace that’s neither too fast nor too slow. Talking fast might cause unnecessary tension in the audience, and excessively slow speech is sure to annoy them.

While different people naturally speak at different paces, it’s still something that can be worked on and modified with enough practice. You can refine your pacing during rehearsals until the preferred pace is second nature to you.

Don’t Forget Backup Slides

You’re about to start your presentation, but the internet connection is too slow, and your slides won’t load. On top of it, you didn’t follow our advice about not relying on slideshows. What do you do?

Well, if you’re considerate enough, you will have a USB flash drive with backup slides. Next time you feel like forgoing this little step, recall this scenario.

Don’t Neglect Body Language

The way you move your body on stage tells a story. And if that story is incoherent with the one you’re telling with your words, disharmony arises. Imagine a speaker is talking about peace and tolerance, yet their every movement is abrupt, hasty, and aggressive. Sure, this might be the result of nervousness, but would you still be able to connect to their message? The answer’s likely to be no.   

When rehearsing your speech, don’t neglect body language. Practice standing tall, keeping your hands open, and your movements relaxed. Avoid pacing on the stage during your presentation, as it may distract or, worse yet, annoy your listeners.

There's more to life than being happy

And, of course, don’t skip eye contact. Instead of glancing over the entire audience, pick a few individuals from different parts of the room, and establish your eye contact with them. This little trick will help you feel like you’re speaking to one person at a time. And that’s far more manageable than speaking to everyone at once.

To emphasize a point, sometimes, what you need is not words but their absence. Take a pause after you ask a question or make a strong statement. Spare your audience a moment to think, reflect, and ponder. Or leave a gap of silence right before you present something exciting to build suspense and anticipation.

No one expects you to go on talking for 10-15 minutes without a pause. Take a few seconds once in a while to breathe. Draw in deep breaths to collect your thoughts and calm your nerves if the situation calls for it. This is one of the most effective ways to relax when presenting.

10 Tips For Giving Effective Virtual Presentations

As audiences go global and you need to reach more people through technology (including webinars, conference calls and teleconference), you must consider the challenges to connecting with a virtual audience. Here I pinpoint 10 valuable best practices to ensure you communicate successfully.

1. Be Brief

Audiences begin to lose attention after roughly 10 minutes of hearing from the same presenter. If you have more than 10 minutes of content, use interactive activities to keep your audience engaged (for example, take a poll, give quizzes, or ask audience members for their opinions via chat).

2. Be Simple

Keep slides simple — avoid too many words, graphics and animation features. Less is definitely more!

3. Be a TV Personality

Look straight into your camera, not the screen. Wear clothing that is neutral in color (no plaids or stripes). Light yourself well and from above. Be mindful of what appears behind you in the background. Invest in a good microphone.

4. Be Standing

Even though your audience cannot see you, stand when you present. This allows you to stay focused and use good presentation delivery skills such as belly breathing, vocal variety, and pausing.

5. Be Prepared

Practice delivering your presentation with your technology in advance of your talk. Make sure all of the features of the technology work. Record your practice using the recording feature of your tool. Watch and listen to learn what works and what you can improve.

6. Be Assisted

Have someone available to deal with technical issues and to field email/text questions. Also, if you have multiple remote audience members in one location, be sure to pick one of them to be your “eyes and ears.” Ask them to queue up questions and facilitate discussion on your behalf.

7. Be Specific

Ask pointed questions to avoid too many people answering at once. For example, rather than ask, “Are there any questions?” try “Who has a question about the solution I provided?” Set a ground rule that people state their names prior to speaking.

8. Be Synchronized

Transitions are critical. You must connect what you just said to what is coming next when you move from point to point. Transitions between topics and slides are good opportunities to get people reengaged to your talk.

9. Be Connected

Imagine your audience even though you can’t see them. You can place pictures of audience members behind your camera so you can look at people as you present.

10. Be Early

Encourage your audience to access your call or webinar in advance of the start time so you can iron out any technical issues in advance and get them familiar with the technology.

In today’s COVID-19 world, virtual meetings and presentations have become the norm. While many presentation skills and best practices apply to both in-person and virtual presentations, expert virtual presenters understand the importance of adjusting their approach to match the medium. With in-person presentations, you more or less have a captive audience — you still need be engaging, but your audience is kind of stuck with you for the duration. But with virtual presentations, your audience has a greater opportunity to stray. You now have to compete for their eyes, ears, hearts, and minds against diminished attention spans, increased home and work life distractions, and conflicting priorities. 

Here are 15 expert tips to set you up for success in your next virtual presentation:

1.     Get the Lighting Right:  As a presenter, it is essential that people can see you well. Make sure you have good front light—meaning the light shines brightly on your face. If your back is to a window, close the shades. While natural light is often the best choice, if your home office doesn’t have natural light and you do a lot of virtual presentations, consider purchasing supplemental lighting to enhance your image.

2.     Choose the Right Background:  Try to use a background that enhances your professional image and is aligned with your message. Avoid a cluttered background or anything that can be distracting. Learn whether your presentation platform enables you to use virtual backgrounds (like Zoom) or whether you can blur your background (like Microsoft Teams). Your background can either add to your professional presence or detract from it.

3.     Know the Technology:  Nothing kills a presentation faster than a presenter who fumbles with the technology. This is a performance, so make sure you know how to make it work. A dry run is essential so that you’re comfortable with the platform features. It’s best to have a co-host (or producer or moderator) assist you with the technology so that you can focus on your presentation. Make sure you practice with the same technical set up (computer and internet connection) that you will use when you deliver the presentation.

4.     Play to the Camera:  When you are the one speaking, look directly into your computer’s camera , not on the screen or at the other participants. This takes some practice, but it makes the viewer feel as if you are looking right at them. Some presenters turn off their self-view so that they aren’t distracted by their own image. Put the camera at eye level . Try not to have your camera too far above or below you. If it’s too low, then you run the risk of creating a double chin. A camera too high makes it difficult to maintain eye contact, as you may find your gaze dropping as you speak. If you are part of a panel or a team of presenters, make sure you are aware of when your camera is on. If you are not speaking but your camera is on, make sure you look like you are paying attention! Powerful presenters understand the importance of making eye contact with their audience, so this means you have to simulate the same effect virtually.

5.     Get Close (But Not Too Close).  You want the camera to frame your face, neck, and shoulders. People are drawn to faces, so you don’t want to lose that connection by being too far away, but you also don’t want your face to take over the whole screen like a dismembered head because, well, that looks weird. Practice your positioning and distance.

6.     Stand Up:  If possible, use a standing desk or position your laptop so you can stand at eye level with your computer. Standing up provides a higher energy level and forces us to put our body in a more presentation-like mode. If you have to sit, lean forward as you would if you were presenting at a real meeting or as if you were a TV news anchor. Avoid slouching away from the camera, as that sends a signal that you are disconnected from the audience.

7.     Be Animated:  Just like in a live presentation, you want to present with a little energy and animation. Too slow or too monotone in your voice makes it easy for folks to disengage and tune out. Keeping people engaged virtually requires you to actually be engaging.

8.     Pace Yourself:  Without real-time visual audience feedback cues, getting the pacing right can be difficult. Even though you want to infuse some animation and energy into your presentation don’t pump up the speed too much. If you tend to be a fast talker in real life, practice slowing down just a bit. If you’re a slow talker, you may want to speed up just a bit.

9.     Do A Sound Check:  If your sound is garbled, people will tune out. While people may forgive less than perfect video, if they can’t clearly hear you, they will leave. Practice with someone on the other end of the presentation platform. Make sure your sound emits clearly. Sometimes headphones or external microphones work better than the computer audio, sometimes not. Every platform is different, so make sure your sound quality is excellent every time. And again, you should practice with the same technical configurations and location that you will use for your presentation.

10.  Plug into Your Modem:  If possible, plug your computer directly into your modem using an Ethernet cable. This will give you the strongest signal and most stable internet connection. The last thing you want to happen during your presentation is to have a weak or unstable internet signal.

11.  Incorporate Redundant Systems.  If using slides, make sure someone else (another webinar co-host or producer) also has a copy of the slides just in case your internet goes wonky and you have to present by calling in. If you are using slides, make them visually appealing. Use high-quality graphics and limit the amount of text on each slide. It’s your job as presenter to deliver the content. The slides are meant to enhance your spoken words, not replace them.

12.  Engage Your Participants. Just as if you were doing an in-person presentation, craft your presentation to engage the audience. Incorporate chats, polls, raised hand features, etc. Try not to speak for more than ten minutes without some sort of audience engagement. Use the participant list to interact with your participants by name. Have people chat or raise a hand if they want to speak. Keep track of the order of people and then call on them to invite them to turn on their mics or cameras. 

13.  Let Someone Else Check the Chats.  Don’t get sidetracked by the chats during your presentation. You’ll be shocked at how distracting it is to your train of thought if you attempt to read the chats while speaking. Instead, have your co-host or producer monitor the chats. If you ask people to chat you answers or comments to a question you’ve posed, then pause your talking and engage directly with the chats by acknowledging them, reading them out loud, and commenting on them. 

14.  Evaluate and Enhance:  If possible, record the session and take the time to play back and look for areas that worked well and areas that you might want to improve upon. Great presenters, whether virtual or in person, understand the value of continually honing their craft. Be sure to acknowledge your strengths as well as your areas of improvement.

15.  Be Yourself and Have Fun:  Again, just like in face-to-face presentations, audiences connect to authenticity, so be yourself! Let your personality show through. Have fun. If you look like you’re enjoying the presentation so will others. Research shows that happy people retain information better than bored or disinterested people, so model the energy that you want to create. The audience takes its cue from you.

Remember, whether you are presenting in-person or virtually, all presentations are performances. And all performances are in service to your audience. Their time is valuable, so honor that time by delivering the best presentation you can. No matter what kind of presentation you are giving, you must find ways to create authentic audience connection, engagement, and value.

Whether you’re a high-level executive or an administrative assistant, developing your presentation skills is one key way to climb in an office-based job. Leaders make decisions based on information shared in presentation format, and hardly any business changes its mind without first seeing a persuasive presentation.

It is important for any office employee to know what steps go into creating an effective presentation and what presentation skills are most important to employers. Highlighting these skills will also help you stand out during your job search.

What Are Presentation Skills? 

Presentation skills refer to all the qualities you need to create and deliver a clear and effective presentation. While what you say during a presentation matters, employers also value the ability to create supporting materials, such as slides.

Your prospective employer may want you to deliver briefings and reports to colleagues, conduct training sessions, present information to clients, or perform any number of other tasks that involve speaking before an audience.

Giving engaging and easy-to-understand talks is a major component of the strong  oral communication skills  that are a  job requirement  for many positions. Not all presentations take place in a formal meeting. Many presentation skills are relevant to one-on-one consults or sales calls.

Any presentation has three phases: preparation, delivery, and follow-up. All presentation skills fit into one of these three phases.

Preparation 

Preparation involves research and building the presentation. Consider the audience you'll be presenting to and what most interests them. This may mean crafting the entire text (or at least writing notes) and creating any slides and other supporting audio/visual materials.

You will also have to make sure that the appropriate venue is available, properly set up beforehand, and ensure the projector (if you'll need one) works and connects with your laptop.

You'll also want to practice your presentation as many times as you need to to feel comfortable delivering it with ease and confidence within the time allotted for the presentation.

Skills related to preparation include conducting research related to your presentation topic, devising charts and graphs depicting your research findings, and learning about your audience to better tailor your presentation to their needs. You'll also need to create digital slides, using statistics, examples, and stories to illustrate your points and effectively to persuade the audience.

Preparing handouts or digital references is an added courtesy that will help the audience pay attention because they won't be preoccupied with note-taking.

Your delivery is the part of the presentation that the audience sees. A good delivery depends on careful preparation and confident presentation and requires its own distinctive  skill set . 

Skills related to delivery include giving an attention-grabbing opening for a talk, providing a summary of what will be covered to introduce the presentation and provide context, and using  body language  and eye contact to convey energy and confidence.

Make sure you pause to emphasize key points, modulate your vocal tone for emphasis, and articulate your speech clearly and smoothly.

Don't be afraid of injecting humor or speaking with enthusiasm and animation—these techniques can help you in projecting confidence to your audience.

Summarize key points at the conclusion of the presentation, and be sure to have a plan for how you'll field any audience questions.

Presentation follow-up includes properly breaking down and storing any equipment, contacting any audience members with whom you agreed to communicate further, and soliciting, collecting, and analyzing feedback.

In some presentations, you may collect information from audience members—such as names and contact information or completed surveys—that you also must organize and store.

Skills related to follow-up include creating an evaluation form to solicit feedback from attendees, interpreting feedback from evaluations, and modifying the content and/or delivery for future presentations. Other follow-up skills include organizing a database of attendees for future presentations, interviewing key attendees to gain additional feedback, and emailing presentation slides to attendees.

To create and deliver the most effective presentation takes a variety of skills, which you can always work to improve.

You must be able to look honestly at your performance, assess the feedback you get, and figure out what you need to do to get better. That takes  analytical thinking .

More importantly, you need to have a firm grasp of the information you are about to communicate to others. You need to analyze your audience and be prepared to think quickly if asked questions that force you to demonstrate that you are fully aware of the material and its implications.

The kind of analytical skills you need to be an effective presenter include problem sensitivity, problem-solving , reporting and surveying, optimization, and predictive modeling. It also helps to be adept at strategic planning, integration, process management, and diagnostics. With these skills, you'll be better able to objectively analyze, evaluate, and act on your findings.

Organization

You do not want to be the person who spends half of their presentation time trying to find a cable to connect their laptop to the projector. Many things can and do go wrong just before a presentation unless you are  organized .

Presentation preparation also means keeping track of notes, information, and start/stop times. You will want to proofread and fine-tune all the materials you plan to use for the presentation to catch any mistakes. Make sure you time yourself when you rehearse so you know how long it will take to deliver the presentation.

A presentation that's finished in half the time allotted is as problematic as one that's too long-winded.

Some key organizational skills to work on include event planning, auditing, benchmarking, prioritization, and recordkeeping. Make sure your scheduling is on point and pay close attention to detail. Quick thinking is an important skill to have for when things inevitably go wrong.

Nonverbal Communication

When speaking to an audience, the way you present yourself can be just as important as how you present your information. You want to appear confident and engaging. You can do this through good posture, the use of hand gestures, and making eye contact with the audience.

Practice your  nonverbal communication  by filming yourself doing a practice presentation and observing your body language carefully. Your physical bearing and poise should convey a degree of comfort and confidence in front of an audience, while active listening , respect, and emotional intelligence will help you in facilitating group discussions.

Presentation Software

Microsoft PowerPoint is the dominant software used to create visual aids for presentations. Learn to use it well, including the special features outside of basic templates that can really bring a presentation to life. Even if someone else is preparing your slideshow for you, it will help to know how to use the software in case of last-minute changes.

Other software that is good to learn includes Microsoft Office, Apple Keynote, Google Slides, and Adobe Presenter.

Public Speaking

You need to appear comfortable and engaging when speaking before a live audience, even if you're not. This can take years of practice, and sometimes  public speaking  just isn't for certain people. An uncomfortable presenter is a challenge for everyone. Fortunately, public speaking skills can improve with practice . Some skills to work on include articulation, engagement, and memorization. You should be able to assess the needs of the audience and handle difficult questions. Controlling your performance anxiety will help you communicate more effectively.

Research is the first step in preparing most presentations and could range from a multi-year process to spending 20 minutes online, depending on context and subject matter. At the very least, you must be able to clearly frame research questions, identify appropriate information sources, and organize your results. Other useful skills include brainstorming, collaboration , comparative analysis, data interpretation, and deductive and inductive reasoning. Business intelligence is a skill that will help you evaluate what information you need to support the bottom line, while case analysis and causal relationships will help you parse and evaluate meaning.

Verbal Communication

Public speaking is one form of  verbal communication , but you will need other forms to give a good presentation. Specifically, you must know how to answer questions. You should be able to understand questions asked by your audience (even if they're strange or poorly worded) and provide respectful, honest, and accurate answers without getting off-topic. Use active listening, focus, and empathy to understand your audience. Skills such as assertiveness, affirmation, and enunciation will help you restate and clarify your key points as it relates to their questions or concerns.

You may or may not need a written script, but you do need to pre-plan what you are going to say, in what order you will say it, and at what level of detail. If you can write a cohesive essay, you can plan a presentation.

Typical writing skills apply to your presentation just as they do to other forms of writing, including grammar, spelling, vocabulary, and proofreading. The ability to build outlines, take notes, and mark up documents will also be useful.

In addition to the skills previously mentioned, there are other important skills that can apply to your presentation. The other skills you need will depend on what your presentation is about, your audience, and your intended results. Some of these additional skills include:

Road to recovery: UL graduate turns life-changing accident into future career

A life changing car accident put a University of Limerick student on the path to a future career that is now helping to change lives.

Kirsty O’Connor from County Tipperary graduated this week with a postgraduate certificate in ‘Posture, Seating and Wheelchair Mobility Across the Life Course’ from UL’s Faculty of Education and Health Sciences. She is one of over 3,600 students graduating as part of UL’s Autumn Conferring ceremonies.

Kirsty always loved working in the community and with older people. In 2004, after completing her Leaving Cert at St Ailbe’s Secondary School, Tipperary Town, Kirsty studied social care before enrolling in a degree in Mental Health Nursing at University of Limerick in 2008.

In November 2009 during the second year of her studies, Kirsty’s life changed when she was involved in a road accident during bad weather. “ I was driving to UL one morning to attend class. It was pouring rain, and I was unaware of a huge flood that had formed at the base of a mountain near where I live. My car hit the water, spun and hit a wall,” she recalls.

The accident resulted in a spinal fracture and a traumatic brain injury. She was left in a coma for six weeks and when she woke, she was paralysed from the waist down and lost sensation in the left side of her body. Her vision was impaired due to nerve damage in her right eye.

“When I woke up I was told I would probably never walk again and to forget about driving or going back to college. The doctors didn’t know how I was going to recover.”

Kirsty’s mother Sonia was by her side throughout her time in hospital, while also looking after Kirsty’s two-year-old daughter, Abi.

After two months in hospital, Kirsty regained feeling in her body and was able to walk again with crutches. She was then sent to the National Rehabilitation Hospital in Dun Laoghaire for help with her recovery.

“This was where I met an occupational therapist who made the biggest impact on my recovery journey. When you’re the patient, people are always telling you what you can’t do, but the occupational therapist in Dun Laoghaire turned that around by asking me what I wanted to do and what I wanted to achieve and we started working on those goals.”

Kirsty needed to be able to look after her daughter independently again and wanted to go back to university. With the help of her occupational therapist, she started working through everyday tasks step-by-step, as well as planning future tasks.

“I knew then that I could get better. I really have to credit her for my recovery. It just gave me so much hope.”

After four weeks of working with the team at the National Rehabilitation Hospital, Kirsty was able to walk out of the hospital, and three months later was able to drive again.

Less than a year after the accident, Kirsty returned to UL to recommence the second year of her degree in mental health nursing, but was still feeling the effects of her brain injury which affected her memory.

“At home I had post-its on the wall to help me remember things for college, I used alarms on my phone for reminders, just repetition, repetition to get things into my long-term memory.”

Kirsty was helped through this difficult time by the Disability Services Office at UL. She was assigned a support officer who put plans in place with Kirsty and her lecturers.

“My support officer was someone I could talk to when I was overwhelmed. He organised a Dictaphone for me to record my lectures. This really helped as I could listen back the next day. I had help with IT issues, setting up exam accommodations, and the little day-to-day things I now found difficult.

“I remember there was one occasion when I had to complete a SUSI grant form, and he was so kind and patient and helped me get the task done, taking away any embarrassment or helplessness I felt. And that’s what you need, someone to help and support you but also help you see that you can achieve and do it yourself.”

In the summer of 2013, after completing her degree in mental health nursing, Kirsty worked in an acute psychiatric ward at University Hospital Limerick. However, her time at the National Rehabilitation Hospital deeply impacted her and she decided to return to UL the following year to study for an MSc in Occupational Therapy.

“My own experience inspired me to pursue occupational therapy. I wanted to make a difference in people’s lives, just like the occupational therapist at the National Rehabilitation Hospital had helped me. She showed me what occupational therapy is all about by putting the patient first and being truly patient-centred.”

While on work placement in the community, Kirsty discovered how much she enjoyed working with people with dementia, their loved ones and caregivers.

Kirsty was managing well overall but still had ongoing issues with her short-term memory which caused her anxiety when giving presentations at college. “I would get scared that I would forget my script during presentations and lose my train of thought, and that would make my memory worse. With practice and support, my confidence began to grow when I was invited to speak at the 2017 UL Annual Symposium.”

Upon graduating with her master’s degree in occupational therapy in 2017, Kirsty worked with an agency which provided occupational therapy services to hospitals, care homes and people’s own homes where she would regularly conduct seating assessments and recommend suitable equipment.

She saw how poor seating for people in long-term and acute care could cause detrimental effects to health, and how correct seating could prevent injury, increase comfort and reduce the cost of care.

In January 2023, Kirsty joined medical device company, Seating Matters, where she now works as their Clinical Training Manager. After completing some in-house training in the area of seating and postural assessments, Kirsty had the opportunity to secure funding from her employer and the Springboard+ scheme to return to UL once again to complete a postgraduate certificate in ‘Posture, Seating and Wheelchair Mobility Across the Life Course’.

“I undertook this course because I wanted to increase my skill and confidence when conducting seating and postural assessments and ensure patients are getting the best possible outcomes.

“As this course was taught via blended learning, I found the workload very manageable when working full-time and managing my own household. The course work was so easily accessible and with only a few in-person days on campus, this was really manageable with my work diary.”

Kirsty’s research project focused on seating practices in long-term care settings for people with dementia.

“I would encourage anyone working in healthcare, especially those working in the area of seating, to consider completing this course. The coursework and resources are very accessible online and students are well supported by the lecturers if there are any queries or questions.

“There were people from many different areas and professions taking the course, from occupational therapists to physiotherapists, to seating specialists and engineers. It heightens your knowledge on seating provision and seating assessments and boosts your confidence in your practice.”

As part of her role with Seating Matters, Kirsty conducts seating and postural assessments all over Ireland.   She has continued to develop her presentation and public speaking skills and now presents at international conferences and training events and engages in research projects and clinical trials in a variety of settings all around the world.

One of her career highlights was being awarded ‘Best Free Paper’ for a presentation she made at the 2023 UK Posture and Mobility Conference. Another happened last May, when she travelled to West Virginia University Hospital to train staff in their neurological wards on correct seating and positioning.

Kirsty is now looking ahead to speaking at the upcoming National Bariatric Solutions 2024 conference in Fort Worth, Texas in October, before getting married to fiancé Kevin in July next year. She also hopes to carry out further clinical research work in the area of seating practices for people with dementia through a Professional Doctorate in Healthcare Practice at UL.

Kirsty credits her family, her occupational therapist at the National Rehabilitation Hospital and the support she received at UL for her recovery and career success.

“Looking back, I am still blown away by the transition of where I was in 2009, and where I am today. My experiences have shown me that with the right people around you, you can achieve amazing things.

“Thanks to opportunities given to me by UL and all the people I have around me, I am so lucky to work in a job that I love getting out of bed for every day. The cherry on top is seeing that I can help change so many lives, just like that occupational therapist did for me.”
