How to Write a Letter of Permission to Conduct Research
When you are conducting research, it is important to obtain permission from the individuals or organizations that you will be studying. This is especially important if your research involves collecting data from human subjects or if you will be using copyrighted materials.
1. Identify the appropriate person or organization to contact
The first step is to identify the appropriate person or organization to contact for permission. This may be the individual who is the subject of your research, the head of an organization, or a copyright holder.
2. Write a clear and concise letter
Your letter should be clear and concise, and it should state the purpose of your research and the specific data or materials that you would like to use. You should also include a brief description of your research methods and how you will protect the privacy of your subjects.
3. Be respectful and professional
It is important to be respectful and professional in your letter. You should address the person or organization by their proper title and use formal language. You should also be clear about your intentions and avoid making any promises that you cannot keep.
4. Include a self-addressed stamped envelope
If you are requesting a written response, be sure to include a self-addressed stamped envelope. This will make it easier for the person or organization to respond to your request.
5. Follow up
If you do not receive a response within a few weeks, you may want to follow up with a phone call or email. Be polite and persistent, but do not be pushy.
6. Be prepared to negotiate
In some cases, the person or organization that you are contacting may be willing to grant you permission, but they may have certain conditions. Be prepared to negotiate and compromise in order to reach an agreement that is acceptable to both parties.
7. Get everything in writing
Once you have reached an agreement, be sure to get everything in writing. This will protect both you and the person or organization that you are studying.

Here is a sample letter for guiding your own request to the National Archives and Records Administration. Remember, the more specific your request, the better.
[Return Address] [Date]
Dear Archivist:
I am a student participating in National History Day. My topic is Amelia Earhart. According to entry 237.2 in the Guide to Federal Records at the National Archives , textual records related to this topic exist in the Records of the Aeronautics Branch and the Bureau of Air Commerce, 1922-38, of the Federal Aviation Administration.
I would like more information about these records. I know that the textual records in this group occupy over 1,500 cubic feet of space and that a finding aid entitled Preliminary Inventory of the Records of the Civil Aeronautics Administration NC6 (1962) exists. Unfortunately, I do not have access to this publication. Could you look at it for me and describe the records that exist pertaining to Amelia Earhart? I also need to know how much the National Archives charges for photocopies. When I determine which records will be useful for my project, I will be back in touch.
Thank you for your attention to this request.
[Your name]
National History Day Student
Now it is your turn:
Dear Archivist at the National Archives:
I am a student participating in National History Day. My topic is _________________. According to entry number __ ( cite number ) ____in the ______________ ( cite reference source ) ___________, records related to this topic exist in the Records of the _______ ( cite name of record group ) _______.
[ If your search for information led you to a specific item, cite the item and ask for information about obtaining a copy. If your search for information led you to a series of records that contain or may contain information of interest to you, ask for a search of those records for documentation pertaining to your topic. The more specific your request the better the chances of locating documentation useful to you. For example, instead of asking for records about the U.S. Navy during World War II, ask for the log of a specific ship (including ship name or hull number) for a specific date span. Rather than requesting records documenting the nation's Westward Expansion, ask for maps of the Oregon Trail, architectural drawings of Fort Laramie, photographs or drawings from the Hayden expedition, etc. ]
[ If your search for information produced no helpful results then phrase a request for documentation that is as specific as possible. Specific requests read like the following: I would like a VHS videotape copy of motion picture footage of the lift-off and splashdown of Apollo 13; I would like copies of photographs of the Yalta Conference during World War II; I would like copies of maps of the battlefield at Gettysburg; I would like audiocassette copies of sound recordings of the oral arguments before the Supreme Court in Roe v. Wade, October 11, 1972; I would like copies of nautical charts and soil erosion maps of the area surrounding Point Lookout, MD, for a specific date span; I would like copies of documentation pertaining to the awarding of the Congressional Medal of Honor to Sgt. Alvin York in World War I; or I would like copies of aerial photographs of Salt Lake City, UT around 1940. ]

In the sections that follow, we will provide detailed information on the most appropriate format and structure for an effective request letter.
Donation Request Letter Template
A Donation Request Letter Template serves as a structured guide to assist individuals or organizations in crafting an effective appeal for financial or in-kind support from corporations, businesses, or individuals. This kind of template, like the one previously crafted, is devised to simplify the process of asking for assistance by providing a structured format that ensures all pertinent information, such as the specifics of the cause, event, or project, and detailed information about the organizing entity, is conveyed in a clear and professional manner. The detailed placeholder brackets and the included sample data in the previous example offer a versatile basis for users to adapt the letter to various causes and scenarios, ensuring they present their request for support in a manner that is thorough and convincing, making it suitable for numerous different contexts, from charity events to community projects. It aims to safeguard that no critical information is omitted and assists in maintaining a logical flow, making the communication more compelling to potential donors.
Request Letter for Increase in Salary
A Request Letter for Increase in Salary is a formal document through which an employee can communicate with the employer to negotiate a possible adjustment in their remuneration, often substantiated with reasons such as experience, increased responsibilities, or alignment with industry standards. This formal letter serves as an official platform to not only assert the individual’s contributions and achievements within the company but also to present a case for why a salary increase would be justified. The example provided in our previous response offers a structured guide, accommodating varied scenarios by allowing users to input specific data relevant to their situation. It provides clear placeholders for personal information, employment details, and accomplishments, aiding in crafting a coherent and persuasive argument for a pay adjustment. The sample data within brackets serves as an illustrative guide to help users understand what type of information to input, ensuring clarity and relevance in communication. The format ensures that the user presents a well-argued case, enhancing the probability of favorable consideration from the employer.
Sponsorship Request Letter
A Sponsorship Request Letter is a document crafted to formally and respectfully ask for financial support, goods, or a particular kind of assistance from corporations, businesses, or individuals for an event, initiative, or project. The letter typically elucidates the event's particulars, the cause it supports, the funding needed, and what the sponsor would gain in return, ensuring a mutually beneficial proposition. The sample framework previously provided presents a structured format that seamlessly allows users to articulate the purpose, needs, and mutual benefits of the sponsorship deal, while offering the flexibility to customize the contents as per the event or project specifics. By incorporating key elements such as clear descriptions, sponsorship benefits, and acknowledgment details, this model guides the requester in crafting a precise, compelling, and professional letter, enhancing the likelihood of securing the necessary sponsorship.
Essential Elements of a Request Letter
The structure and content of a request letter play a pivotal role in ensuring its effectiveness. Though there’s flexibility in its drafting, certain elements are indispensable for a comprehensive request letter:
- Sender’s Information : Your name, address, and contact details should be provided at the top, either as a header or in the top left corner, allowing the recipient to quickly identify the sender and respond appropriately.
- Date : Indicate the date of writing. This helps establish a timeline and provides context for when the request was made.
- Recipient Details : This encompasses the name, title, address, and other pertinent contact details of the person or organization to whom the letter is addressed. It ensures the letter reaches the intended recipient.
- Subject Line : A concise phrase or line that gives a snapshot of the request’s core purpose. This allows the recipient to immediately understand the letter’s intent.
- Greeting : Address the recipient in a formal manner, such as “Dear Dr. Smith” or “Hello Ms. Johnson.”
- Body Content : Start with an introduction, briefly presenting yourself and the reason for your correspondence. Subsequent paragraphs should offer a detailed explanation of your request. Always maintain clarity and be concise. In the concluding section, specify a date by which you’d appreciate a response.
- Supporting Information or Documents : If your request requires validation through specific documents or forms, mention them in the letter and attach as necessary.
- Closing : A formal closure, like “Sincerely” or “Regards,” should precede your name. If sending a physical letter, ensure you sign above your typed name for added authenticity.
- Postscript (Optional) : If there’s a crucial point that needs emphasis or a last-minute addition, a postscript can be a useful tool. However, use it judiciously.
Tips for Writing a Request Letter
Request letters, given their formal nature, require careful consideration both in content and presentation. Here are some comprehensive guidelines to assist you in crafting a letter that effectively conveys your request while maintaining professionalism:
- Professional Tone and Format : Stick to a formal, courteous, and professional tone throughout the letter. The structure should adhere to standard business letter conventions.
- Addressing the Recipient : Ensure you have the correct name, title, and address of the recipient. Addressing them appropriately sets a respectful tone from the outset.
- Clear Introduction : In your opening paragraph, immediately state the purpose of the letter. This clarity ensures the reader understands the context from the beginning.
- Express Gratitude : Display appreciation, whether it’s for the reader’s time, previous assistance, or potential consideration of your request. This fosters a positive rapport.
- Detailed Explanation : Elaborate on the nature of your request in subsequent paragraphs. Be clear and concise, providing all necessary details and reasons.
- Include Your Contact Details : Beyond just stating your name, also provide your address, phone number, and email. This ensures the recipient has multiple avenues to respond.
- Proofread : Before sending, thoroughly review the letter for any grammatical, spelling, or punctuation errors. A well-polished letter demonstrates professionalism and diligence.
- Attachments or Supporting Documents : If your request necessitates accompanying documents or evidence, mention them in the letter and ensure they are attached.
- Follow-Up : If the matter is time-sensitive or of significant importance, consider mentioning in the letter a date by which you’d appreciate a response. This subtly communicates urgency.
- Closing Note : Conclude with a sentence or two, reinforcing gratitude or expressing hope for a favorable outcome.
