How to present well without slides.

If you were having an important conversation with a friend at a restaurant, would you pull out a projector and put your slides on the wall? They’d think you were crazy as would the people at other tables. Rather that look into your eyes or give full attention to your words, your friend would have their minds divided between you and the images you were showing simultaneously.

Which raises the question: why use presentation slides at all? Most important conversations you will have in your lifetime happen without slides. And ask anyone who works in media: if the power went out and they could only show your slides or broadcast your voice, they’d go with your voice. Your voice, what you say and how you say it, is the most important thing. If you listen to This American Life or The Moth , it’s clear how powerful a speaker can be with their voice alone.

Look at any list of the best speeches of all time  and you won’t find a single use of slides or other props. Of course slides and presentation software hadn’t been invented then so it’s unfair to make a direct comparison (For fun  see The Gettysburg Address as a bad Powerpoint deck ). Yet the question is easy to ask: would these speeches have been better if they were narrated over slides?

In many cases, no. You’d have to listen carefully to figure out when ideas would be better presented visually rather than with words alone, which is the secret for thinking about your own presentations: when do you truly need a visual image to express an idea? And when would it be better simply letting your voices tell the story?

Speaking without slides seems more challenging because:

  • You feel naked without the familiar crutch of slides behind you
  • It may require a different way to prepare
  • It demands more thinking and refinement of your ideas

Speaking without slides is often better because:

  • Audiences grant you more attention and authority over the room
  • You have no fear of slide or A/V malfunctions
  • You can never become a slave to your slides
  • It forces you to clarify and improve your ideas, making you a better speaker

But slides do have some advantages, including:

  • Some concepts are best expressed visually
  • They can serve as a handout (but true handouts work better than slideuments )

When is it best to speak without slides?

If I’m asked to speak for 20 minutes or less I often go without slides. More than 20 minutes and the dynamics of attention are more complex and I typically use slides, though less than many speakers do. I give the same advice to others: the shorter the talk, the simpler your presentation should be.

How to prepare a slide-free presentation

In Chapter 5 of Confessions of a Public Speaker (“Do Not Eat The Microphone”) I provide a simple, well-tested method for preparing talks of any kind.  In short it looks like this:

  • Take a strong position in the title
  • Think carefully about your specific audience (why are they here? what do they already know?)
  • Make your 4 or 5 major points concisely (from a draft outline of 10 or 12 points)
  • Practice making your points without a single slide.
  • Revise #3 and repeat #4 until done.

This approach works with or without slides, but in all cases it forces you to develop your ideas into a solid outline and practice delivering it before you’d even consider making a slide . If you want to go entirely without slides, you’re already prepared for that. And if you decide as you revise that you need slides to best make your points, then add them, but only after you’ve proven their necessity by trying to present without them.

If you want your ideas to take center stage, the slides should come late in the process so that they are used only to support what you’re saying, rather than the other way around. Even if you are a visual thinker and need something to look at to develop your ideas, develop your ideas and rehearse assuming the slide deck is scaffolding you will remove . Don’t fall into the trap of polishing your slides and tweaking fonts when you should be revising your thoughts and practicing how you’re going to express them.

Given a choice between a great talk with lousy slides, and a lousy talk with great slides, what do you think most audiences would choose? Prepare accordingly.

What do you put on the screen if presenting at a slide-dominant event?

I simply put together a slide with my name, the title of the talk and the basic contact information I want to provide. There’s an argument that only having a single slide does far more to make you accessible to an audience interested in your work as the way to contact you is visible the entire time you’re speaking, instead of just at the end. Here are two examples from two different events:

How do you get over the fear of forgetting something?

Many speakers use slides to mitigate fear. Slides used for this reason often come at the audience’s expense. It’s common to see speakers reading their own slides, or facing their slides as they present, clear signs they made their slides first, rather than constructing the presentation first and using slides to support their thoughts. Slides should be for the audience, not for you.

If you work hard to have clear points, and you practice it’s unlikely you’ll forget anything important. Even if you did forget something, only you will know. Since there are no slides, as the speaker only you know what you planned to say. You could skip an entire point or express it in a completely different way than you intended and no one will know but you.  Slides can lock you in and if you are a true expert on the subject you’re speaking about you may find advantages in flexibility.

The notecard

When I speak without slides I usually have one small piece of paper listing my 5 main points. For my recent keynote at Warm Gun 2013 on The Dangers of Faith in Data , here’s what I brought with me on stage:

This notecard is short and simple. Since I’ve thought hard about this topic and have practiced the talk, all that I need the notecard to do is remind me of the next point, and the overall structure. I cheated on #5 as it has sub-bullets, but I simply found while practicing I couldn’t recall all three, so I wrote them down. Churchill and some other famous speakers used similar lightweight systems for their speeches.

In the case of scientific seminar talks given to expert audiences, the slides are used to show actual data. So we have no choice but to use slides and make them the focus of the presentation. Although there is a special form of slideless presentation called a “chalk talk”, which entails explaining scientific shit using only a chalkboard, and usually with intensive audience participation: ongoing chiming in with questions, comments, and criticisms. The idea is that a chalk talk reveals whether someone can think on their feet without the crutch of slides, and they are used as an interviewing tool.

For longer talks (more than 15 minutes) I like to have LOTS of notes when I speak, mostly to keep from getting ahead of myself; I also like to have those notes large enough to read from 10 feet away, so I can move around. “Presenter mode” with the notes section just doesn’t cut it, so I carry two laptops and write two sets of slides. One set is my speaking notes: very dense, lots of words, 100% inappropriate for showing to anyone but myself. The other set is what I show the audience: pictures, graphs, or just a few words to reinforce my point; often these slides will be repeated multiple times in a row so even though I’m clicking through them at a pretty fast clip, the audience sees a new slide only every 1-3 minutes.

The “secret” is to have exactly the same number of slides in each deck, and to have two receivers listening to a single “clicker.” I get as many notes as I want, in nice big fonts with plenty of color; the audience gets a very different “show”; everyone is happy.

I’ve found that from speaking so often and experimenting that the less materials I depend on while I’m speaking, the more comfortable I am, not less. But everyone is different of course.

Yes, absolutely. Back when I was doing full-time technical training I practically knew the material by heart. These days, however, I give maybe five presentations a year, only two of which are usually the same talk. Some I’ve done before but often as long as a year ago (and by then I’ve usually updated the material), but the rest are new “this time” and will likely never be given again. Also, most of my “presentations” are actually half-day tutorials, which means about three hours worth of material; I simply can’t remember that much unless I’m teaching it several times per month.

My formal presentations always include slides because I’m talking about a visual subject, but it is ALL visual: no text, and certainly no bullet points (my personal pet peeve). It’s nice to know that I can give a presentation without them too, because any day I can literally be stopped in the hallway and told that there’s a tour group coming through and I need to give a talk *now*. It took me a while to get to that place, but knowing your subject inside and out and having a crazy passion about it helps.

I have to give props to Toastmasters too. I used to have a deathly fear of public speaking, but that environment really helped. Plus, it was all talk, no slides!

Makes sense to me. There are certainly plenty of situations where slides are essential. An artist talking about their work is one of many.

10 things to do instead of powerpoint.

The bad news: there are thousands of presentations every day, everywhere around the world.  Most of them use PowerPoint, badly, as speaker notes, with more words or numbers on each slide than anyone can read.

The results are predictably boring – no, excruciating  -- for their hapless audiences.  That’s human misery on a massive scale.

The good news: in an effort to make the world a better place, here are 10 things to do instead of PowerPoint.  Ways to make your points without the sleep-apnea-inducing effects of boring slides.  Ways to pep up your presentations without much additional effort.  Your audiences will thank me.

1.  Use props. For most workers, in a cubicle world, it’s sensory deprivation from 9 – 5.  The whirr of computers and the A/C.  The hum of colleagues chattering away.  The beige walls of the cube farm.  The fluorescent lighting.  It’s amazing anyone stays awake.  Offer the audience, then, something physical.  Instead of describing that new product on a slide, show them a prototype.  Pass it around.  Let the audience get physical.

2.  Use music. We have an emotional response to music which is much more powerful than we do to most words.  Especially words like “3rd Q results” and “product optimization.”  So add a soundtrack to your presentation.  It will bring it to life.  Do obey copyright and licensing laws, please.

3.  Use video. Video –good video -- has all the life in it that static slides lack.   A good clip can enchant, move, and thrill and audience in 60 seconds.  You can create the right emotional atmosphere to begin or end a speech – or to pick it up in the middle.

4.  Use a flip chart. Create any visuals you need right there in front of the audience.  No need for technology.  Just a magic marker and your arm.  The act of creation draws the audience in where a slide doesn’t.

5.  Ask the audience. Of course, the best way to draw the audience in is to draw them in.  Ask them to tell you their stories – as they relate to the topic at hand.  Ask the whole audience or just selected volunteers.

6.  Ask the audience – 2. Break the audience up into small groups and get them to respond to a challenge that you set, a question that you ask, or a problem that you pose.  Then have them to report back to the whole group.

7.  Ask the audience – 3. Play a game with the audience – relevant to the topic.  Award prizes.  Audiences love to compete.  Just don’t make the questions too difficult or the prizes too expensive – or too cheap.  Only Oprah gets to give away cars.

8.  Ask the audience – 4. Get the audience to design something – new products, plans, or ideas.  Give them plenty of paper, sticky notes, ipads, or whatever you have on hand that they can play with.

9.  Ask the audience – 5. Have the audience create video responses to what you’re talking about.  Hand out a dozen flip cams and get them in groups.  Give them a limited amount of time – 10 minutes, perhaps.  Then show some of the video to the whole group on the big IMEG screen.

10.  Combine any 3 of these to create huge audience buzz. Stop thinking of a presentation as a static activity where you show slides to a catatonic group of fellow humans.  You passive, them active.  Instead, treat them as co-conspirators in something exciting, educational, and fun.

1. Great Alternatives to PowerPoint: Google Slides & Keynote

Of course, there are many other alternatives to PowerPoint when it comes to selecting presentation software. Two of the most notable options are Google Slides and Keynote . Let's take a quick look at each of these tools:

Google Slides

Google Slides has come a long way since it was introduced as part of Google apps included with Google Drive. One of its strengths is that it's web-based. That makes it ideal for collaboration. If you need to work with someone else on your presentation, Google Slides may be the right choice for you.

Keynote is part of Apple's iWork productivity suite. The intuitive interface will be familiar to Mac users. But if you want to open a Keynote file on a PC you will need to export it to either a .pdf or .ppt file.

Instead of seeing each part of your presentation as individual slides, Prezi lets you lay out your entire presentation on one canvas, and then zoom in and out to see specific points or the bigger picture. 

You've likely already seen nonlinear presentations during TED talks. Perhaps you've seen infographic-style videos that put info together for a big picture at the end. It can be an effective presentation style for conveying information that goes together—or just for spicing up a traditional presentation.

3. Do-It-Yourself Animated Videos

This is an interesting segment of the " anti-PowerPoint " market. Tools to help you make those popular stop-motion animation films or hand-drawn cartoons that are so popular for advertising new apps these days. 

As with any filming, hand-animated videos are difficult and time-consuming to make and need a ton of expensive equipment. That's clearly more work to take on than you want for your next presentation.

But with animation apps, you can get a similar effect far cheaper, and in far less time. That makes them perfect for something you'd otherwise have tried to describe with a PowerPoint slide deck. Plus, animated clips have the advantage of letting you step outside of the laws of physics and reality. They help you make an idea or concept more understandable than it otherwise would have been.

Now, if you're truly wanting a full-featured animated video, you'll never have a replacement for professional animators. Each of these apps, even though billed as " professional animated tools ," are simplified animation tools designed just for making a simple demonstration video. That's great if that's all you need, but don't dive in thinking you'll be able to make the next Paperman  in five minutes.

If you're wanting to make a much better presentation than PowerPoint—or Prezi—could ever allow, though, these tools are perfect. They'll let you put together a hand-drawn animated video in minutes, ready to show off your ideas better than bullet points ever could. Here's the best apps for that:

Vyond - Powerful PowerPoint Alternative

In the realm of online do-it-yourself animation tools, Vyond  is at the top of its game. Its web app makes it easy to pull their wide array of animation styles and pre-made graphics together into an animated presentation. You can easily customize those graphics as well, so your finished product will look like your very own—even if it's built from stock graphics.

Beyond just the animated graphics, Vyond supports audio, too. You can give your characters dialog, uploading your own voice recordings—or outsourcing to professional voice actors. And those characters will automatically get built-in lip sync animations. I'm a big fan of this style of animation, but it can be a costly thing to produce custom. What VideoScribe lets you do is take a whole bunch of pre-drawn, pre-animated images, put them together in a way that best suits you and the message you want to convey. Then it turns the whole thing into a slick little animation. Where Vyond lets you make a cartoon-style video, VideoScribe gives you similar stock graphics that'll be drawn on-screen during your presentation with a real hand, to give the feel of someone sketching your presentation.

It's surprisingly simple to put together a VideoScribe—much like you might expect. You'll mainly drag-and-drop pre-made graphics into the storyboard. Then let the app work its own magic—and you can have something presentable worked up in a matter of minutes.

This sort of video will definitely make an impact if all your audience was expecting was a humdrum PowerPoint presentation.

4. HTML-Based Presentations With Reveal.js

Then, with the apps we've looked at so far being web apps, it's only fitting to look at the latest " anti-PowerPoint" : HTML-powered presentations. As you've perhaps seen from some Google IO conference presentations, there's plenty of web features today to turn basic HTML, CSS, and JavaScript into a full presentation that's just an animated website. 

You can create your presentations in your favorite code editor, save them online in revision control tools like Git, and present them in any browser. Anything you can add to a website, you can put into an HTML presentation.

That's very cool, but it'd also typically take far longer to make presentations with raw code than it'd ever take to make a PowerPoint presentation. But thanks to  Reveal.js  and its web app counterpart,  Slides , it's as easy to make an HTML presentation as it is to make a presentation in any of the other apps we've looked at.

PowerPoint Alternative Revealjs

Reveal.js is an open-source framework for turning an HTML document into a killer presentation. It's pretty impressive. Just look at this introduction presentation to get a feel for what Reveal.js is capable of—especially considering it's all done with standards-compliant HTML, CSS, and JavaScript. It offers modern transitions, some subtly non-linear presentation features, and even a PDF export option.

If you're capable of hand-writing your own HTML code, then take a look at the documentation for Reveal.js on Github . With the help of some JavaScript code and specific tag attributes on your HTML elements, Reveal.js turns a typical HTML document into a fancy presentation, for free.

But then, everyone doesn't want to hand-code an HTML page each time they make a presentation, so that's where  Slides comes in. It's a hosted version of Reveal.js, combined with an elegant GUI. So, you can use its power to make your own slideshows with the simple tools you'd expect from any other presentations app. There's even the extra features, such as web fonts and CSS customization, that you'd expect from a web-powered presentation.

Both Reveal.js and Slides have lots to offer—the former's great if you're comfortable coding your own presentation. The latter's a perfect option if you're looking for a new, simpler presentations app that won't need any coding.

Visme

Visme is a software where you can create a presentation without PowerPoint. It's a cloud-based software where you can create more than just presentations. You can also create:

  • infographics
  • data visualizations
  • product demos

Visme comes with templates that you can use. Along with templates, there are millions of free images, thousands of icons, and hundreds of fonts. You can share your presentation by sharing a URL or embed it into a blog post or web page.

Visme is a free software. But to unlock premium features you need the Starter or Pro packages, which bill at $12.25 USD per month or $24.75 USD per month.

6.   Slides

Slides

Slides is another cloud-based alternative where you can create a presentation without PowerPoint. This software allows you to edit and access presentations from multiple devices and also allows you to present offline.

For example, if you've got a math-based presentation, Slides makes it easy with the ability to display math formulas. There are three purchase options for slides starting with the Lite options, which start at $5 per month and are billed annually.

7. Zoho Show

Zoho Show

Zoho Show is a software where you can create a presentation without PowerPoint. It’s a part of a workplace bundle. With this software, you can embed live tweets, YouTube videos, and Flickr images. The Workplace Bundle plans start a USD three a month per person billed annually.

Canva

Canva is an easy-to-use alternative to PowerPoint. This presentation without PowerPoint software comes with templates ready to use. You’ll have access to millions of images if you use the paid plan. 

This free software comes with premium features you can get with the Canva Pro Plan is USD 119.99 per year per person.

Have you ever sat through a boring presentation? I’m going to guess your answer is “yes”. Invariably, when we ask this question to our program participants, all hands go up.

Think back to those presentations. I’m willing to bet there was a common element: a deck of densely packed  PowerPoint slides  behind the speaker.

Now, I don’t know about you, but as soon as I see slides like this in a presentation, my attention immediately starts to wane. You would think that visual information, graphics and graphs would enliven and enrich a presentation. But it’s not the software itself that’s the problem – it’s how it’s being used.

So how can we communicate more effectively –  without relying heavily on PowerPoint ?

In part one of our two-part video series  Presenting Without Slides,  I talk about why PowerPoint is such a presentation killer, and how to reframe your approach to using slide deck software in a way that is more  engaging to your audience .

How to Present Without Powerpoint

01. only use slides if they add value to your presentation.

For tens of thousands of years, humans have demonstrated effective communication without PowerPoint. Global businesses have been built, wars won and lost, worlds ‘discovered’ and centuries of learning compiled and shared without the use of PowerPoint. Projected imagery itself is, of course, a modern invention.

And while there is value in visual aids, we need to start thinking of ourselves as communicators first.

If the PowerPoint deck communicates the message or is used to simply format content ideas, then hand it out for people to read and follow it with a Q&A. Presenting is foremost a spoken, auditory experience with the visuals providing support and value.

Each slide needs to be rigorously and brutally assessed with this question: “How does this slide enrich, deepen or support the message?”

While stepping away from PowerPoint might seem daunting, numerous engaging visual aids can captivate your audience. Consider utilizing:

Whiteboards or Flip Charts: Engage your audience by sketching diagrams, mind maps, or key points as you speak. This interactive approach allows for real-time interaction and visual learning.

Props and Objects: Incorporate relevant props or physical objects related to your topic. For instance, if discussing teamwork, use a puzzle or rope to illustrate your point visually.

Handouts or Infographics: Prepare concise handouts or visually appealing infographics that complement your verbal presentation. These can be distributed before or after your talk to reinforce key information.

02. Be Confident Presenting Without Props

Imagine you walk into the room – no PowerPoint presentation behind you, no notes, no visual aids, no clicker in hand. You simply stand there in front of your audience and speak with zest and authenticity.

If you do this, you convey to your audience the  quality of authority . You’re saying, “I am confident enough to stand before you without the props to help me, because I am enough. What I have to share and say is enough value in and of itself.”

When you own the space, you become the powerful communicator.

Ask yourself, “If the projector exploded, or the whiteboard magically melted, could I still deliver the outcome? Would I have enough confidence in myself to articulate and convey my messages in a manner that engages and enriches my audience – and deepens their ability to apply what I have presented?”

Your answer must be “Yes!” It’s that simple. And that challenging.

Don’t believe me? Well, why not try it for yourself?

If you do get stuck try encouraging audience participation to create an immersive experience and take some the pressure off you.

These could include:

Group Activities or Exercises: Break your presentation into segments where the audience collaborates in small group discussions, activities, or problem-solving exercises. This fosters active engagement and reinforces learning.

Q&A and Discussion: Allocate time for open discussions, allowing attendees to ask questions or share opinions. This promotes dialogue and deeper understanding while keeping the presentation dynamic.

03. See Yourself as a Visual Aid

The third step to avoiding a dreary presentation is to think of yourself as a visual aid. Yes – you are the reference point! The other stuff you bring into the room is just collateral that either supports or distracts from what you have to say.

Your physiology, gestures and voice can create interest, intrigue, imagery and emphasis.

Your presence on stage is a significant visual aid itself. Consider these tips:

Body Language and Delivery: Use expressive gestures, varying tones, and impactful body language to emphasize key points. Your physical presence and energy level play a crucial role in engaging your audience.

Eye Contact and Connection: Establishing eye contact and connecting with your audience builds rapport and ensures their attention remains focused on your message.

Examples of Successful PowerPoint-Free Presentations

TED Talks: Many TED speakers deliver powerful presentations without relying heavily on slides. They use storytelling, props, and personal anecdotes to convey their messages effectively.

Live Demonstrations: Tech companies often showcase product features or concepts through live demonstrations instead of slides. These real-time examples create an engaging experience for the audience.

Remember, effective presentations rely on your confidence, communication skills, and ability to connect with your audience. PowerPoint is just one tool among many for communication. By exploring alternative methods, you can create impactful presentations that resonate long after the session ends.

I often test my presentations in front of a friendly audience. If you don't have anyone who would be interested in your talk, I can recommend attending a Barcamp . In fact, my "career" as a proponent of better presentations started with a short presentation at Barcamp Stuttgart in 2011. I barely had material for 10 minutes , but the positive feedback and constructive discussion afterwards confirmed that I was on to something.

So after I stressed the importance of using visuals in slides - how and why they work - in a session last year, I came back to Barcamp Stuttgart this year with the question if you can make use of the positive effects of visuals even if you're not using slides in your talk.

In other words: Can you present visually without slides?

And the answer is: Yes, you can. But you will have to show something . Here are 3 ways to do that:

Replacement Slides

You can also use replacement slides for some simple - and I do mean simple - graphics. Keep in mind that your sign will be much smaller than a projected slide. So you have to make sure that people in the back of the room can still make out the content.

Instead of signs, I've seen people use tshirts with their "slides" printed on them. Again, the information you present must be simple and clearly visible. Also keep in mind that while you can hold up a sign so that people in the back can see it, this is not possible when you're wearing your slide.

Another obvious example that I missed (thanks to the person who brought it up in my Barcamp session): Flipcharts . They can be used just like signs or tshirts, but they have an added bonus: You can draw on them while you talk and therefore show how something develops. When you explain a process, for example, and draw it at the same time, it will help your audience follow along and understand the connections.

A famous example would be Simon Sinek , who's a master of flipchart use in talks. If you haven't seen it yet, watch his famous TEDx talk, How great leaders inspire action . Also note how he makes use of repetition to really "hammer" his key message into the mind of the audience.

Show the Product

If you are talking about a product then show it, if at all possible . It might be hard to do if your product is a website or a power plant. But as long as it fits on the stage, consider bringing it with you. Even if it's small - if you can hold it up and show it, it will give the audience a sense of its size and make it more tangible for them.

If your product is too big for the stage, consider using a mock-up. Websites are tricky, admittedly, and it depends on what it actually does. Maybe there's a real-world equivalent that you can show instead?

Making the Abstract visible

The real challenge comes with cases where you would normally show a graph on a slide. If you think hard about the core point of the fact that you want to present, you will be able to simplify it and strip it down to its essential part. You can then think about how you could present that piece of information.

I can give you two such examples from TEDxStuttgart in November 2013:

Seeing the tiny little bit that represents the actual content (the 7 percent) dangling from the end of the ribbon was very impressive. What we think is the most important part is almost irrelevant in comparison to the rest of the presentation.

Another example from the same event: Tran Nguyen is a medical student. She talked about bacteria which, while harmless themselves, can have severe consequences for our health when they are combined with certain conditions, such as bad hygiene in a hospital. As it turns out, about 30% of the population carry this - harmless - bacteria in their noses.

When presenting without slides, a lot of the things that make up a good presentation are the same, e.g. having a clear message. Other things become even more important, e.g. storytelling and repetition. The lack of slides, however, shouldn't stop you from thinking about visualising your core points. If you’ve ever heard someone give a powerful presentation, you probably remember how it made you feel. Much like a composer, a good speaker knows precisely when each note should strike to captivate their audience’s attention and leave them with a lasting impression.

No one becomes a great public speaker or presenter without practice. And almost everyone can recall a time one of their presentations went badly — that’s a painful part of the learning process.

Whether you’re working within a small creative team or a large organization, public speaking and presentation skills are vital to communicating your ideas. Knowing how to present your vision can help you pitch concepts to clients, present ideas to your team, and develop the confidence to participate in team meetings.

If you have an upcoming presentation on the horizon and feel nervous, that’s normal. Around 15-30% of the general population experience a fear of public speaking . And, unfortunately, social anxiety is on the rise, with a 12% increase in adults over the last 20 years . 

Learning how to give a good presentation can dismantle your fears and break down these barriers, ensuring you’re ready to confidently share your point of view. 

It’s the week before your presentation, and you’re already feeling nervous . Maybe there’ll be an important mentor in the room you need to impress, or you’re looking for an opportunity to show your boss your value. Regardless of your countless past presentations, you still feel nervous. 

Sharing your vision and ideas with any sized group is intimidating. You’re likely worrying about how you’ll perform as a presenter and whether the audience will be interested in what you offer. But nerves aren’t inherently negative — you can actually use this feeling to fuel your preparation.

It’s helpful to identify where your worries are coming from and address your fears. Here are some common concerns when preparing for an upcoming presentation:

Fear of public speaking: When you share your ideas in front of a group, you’re placing yourself in a vulnerable position to be critiqued on your knowledge and communication skills . Maybe you feel confident in your content, but when you think about standing in front of an audience, you feel anxious and your mind goes blank.

It’s also not uncommon to have physical symptoms when presenting . Some people experience nausea and dizziness as the brain releases adrenaline to cope with the potentially stressful situation . Remember to take deep breaths to recenter yourself and be patient, even if you make a mistake.

Losing the audience’s attention: As a presenter, your main focus is to keep your audience engaged. They should feel like they’re learning valuable information or following a story that will improve them in life or business.

Highlight the most exciting pieces of knowledge and ensure you emphasize those points in your presentation. If you feel passionate about your content, it’s more likely that your audience will experience this excitement for themselves and become invested in what you have to say.

Not knowing what content to place on presentation slides: Overloading presentation slides is a fast way to lose your audience’s attention. Your slides should contain only the main talking points and limited text to ensure your audience focuses on what you have to say rather than becoming distracted by the content on your slides.

Discomfort incorporating nonverbal communication: It’s natural to feel stiff and frozen when you’re nervous. But maintaining effective body language helps your audience stay focused on you as you speak and encourages you to relax.

If you struggle to incorporate body language into your presentations, try starting small by making hand gestures toward your slides. If you’re working with a large audience, use different parts of the stage to ensure everyone feels included. 

Each presenter has their own personal brand and style. Some may use humor to break the ice, while others might appeal to the audience’s emotional side through inspiring storytelling. 

Watching online presentations, such as TED talks, is an excellent way to expose yourself to various presentation styles and develop your own. While observing others, you can note how they carry themselves on stage and learn new ways to keep your audience engaged.

Once you’ve addressed what’s causing your fears, it’s time to prepare for a great presentation. Use your past experience as inspiration and aim to outshine your former self by learning from your mistakes and employing new techniques. Here are five presentation tips to help you create a strong presentation and wow your audience:

1. Keep it simple

Simple means something different to everyone.

Before creating your presentation, take note of your intended audience and their knowledge level of your subject. You’ll want your content to be easy for your intended audience to follow.

Say you’re giving a presentation on improving your company’s operational structure. Entry-level workers will likely need a more straightforward overview of the content than C-suite leaders, who have significantly more experience. 

Ask yourself what you want your audience to take away from your presentation and emphasize those important points. Doing this ensures they remember the most vital information rather than less important supporting ideas. Try organizing these concepts into bullet points so viewers can quickly identify critical takeaways.

2. Create a compelling structure

Put yourself in your audience member’s shoes and determine the most compelling way to organize your information. Your presentation should be articulate , cohesive, and logical, and you must be sure to include all necessary supporting evidence to strengthen your main points.

If you give away all of your answers too quickly, your audience could lose interest. And if there isn’t enough supporting information, they could hit a roadblock of confusion. Try developing a compelling story that leads your audience through your thought processes so they can experience the ups and downs alongside you. 

By structuring your presentation to lead up to a final conclusion, you’re more likely to keep listeners’ attention. Once you’ve reached that conclusion, you can offer a Q&A period to put any of their questions or concerns to rest. 

3. Use visual aids

Appealing to various learning styles is a great way to keep everyone on the same page and ensure they absorb your content. Visual aids are necessary for visual learners and make it easier for people to picture your ideas.

Aim to incorporate a mixture of photos, videos, and props to engage your audience and convey your key points. For instance, if you’re giving a presentation on anthropology subject matter, you could show your audience an artifact to help them understand how exciting a discovery must have been. 

If your presentation is long, including a video for your audience to watch is an excellent way to give yourself a break and create new jumping-off points for your speech.

4. Be aware of design techniques and trends

Thanks to cutting-edge technology and tools, you have numerous platforms at your disposal to create a good presentation. But keep in mind that although color, images, and graphics liven things up, they can cause distraction when misused.

  Here are a few standard pointers for incorporating visuals on your slides: 

  • Don’t place blocks of small text on a single slide
  • Use a minimalistic background instead of a busy one
  • Ensure text stands out against the background color
  • Only use high-resolution photos
  • Maintain a consistent font style and size throughout the presentation
  • Don’t overuse transitions and effects

5. Try the 10-20-30 rule

Guy Kawasaki, a prominent venture capitalist and one of the original marketing specialists for Apple, said that the best slideshow presentations are less than 10 slides , last at most 20 minutes, and use a font size of 30. Following this strategy can help you condense your information, eliminate unnecessary ideas, and maintain your audience’s focus more efficiently.

Once you’re confident in creating a memorable presentation, it’s time to learn how to give one. Here are some valuable tips for keeping your audience invested during your talk: 

Tip #1: Tell stories

Sharing an anecdote from your life can improve your credibility and increase your relatability. And when an audience relates to you, they’re more likely to feel connected to who you are as a person and encouraged to give you their full attention, as they would want others to do the same.

Gill Hicks utilized this strategy well when she shared her powerful story, “ I survived a terrorist attack. Here’s what I learned .” In her harrowing tale, Hicks highlights the importance of compassion, unconditional love , and helping those in need.

If you feel uncomfortable sharing personal stories, that’s okay. You can use examples from famous individuals or create a fictional account to demonstrate your ideas.

Tip #2: Make eye contact with the audience

Maintaining eye contact is less intimidating than it sounds. In fact, you don’t have to look your audience members directly in their eyes — you can focus on their foreheads or noses if that’s easier.

Try making eye contact with as many people as possible for 3–5 seconds each. This timing ensures you don’t look away too quickly, making the audience member feel unimportant, or linger too long, making them feel uncomfortable.

If you’re presenting to a large group, direct your focus to each part of the room to ensure no section of the audience feels ignored.

Tip #3: Work on your stage presence

Although your tone and words are the most impactful part of your presentation, recall that body language keeps your audience engaged. Use these tips to master a professional stage presence:

  • Speak with open arms and avoid crossing them
  • Keep a reasonable pace and try not to stand still
  • Use hand gestures to highlight important information

Tip #4: Start strong

Like watching a movie trailer, the first seconds of your talk are critical for capturing your audience’s attention. How you start your speech sets the tone for the rest of your presentation and tells your audience whether or not they should pay attention. Here are some ways to start your presentation to leave a lasting impression:

  • Use a quote from a well-known and likable influential person 
  • Ask a rhetorical question to create intrigue
  • Start with an anecdote to add context to your talk 
  • Spark your audience’s curiosity by involving them in an interactive problem-solving puzzle or riddle

Tip #5: Show your passion

Don’t be afraid of being too enthusiastic. Everyone appreciates a speaker who’s genuinely excited about their field of expertise. 

In “ Grit: The Power of Passion and Perseverance ,” Angela Lee Duckworth discusses the importance of passion in research and delivery. She delivers her presentation excitedly to show the audience how excitement piques interest. 

Tip #6: Plan your delivery

How you decide to deliver your speech will shape your presentation. Will you be preparing a PowerPoint presentation and using a teleprompter? Or are you working within the constraints of the digital world and presenting over Zoom?

The best presentations are conducted by speakers who know their stuff and memorize their content. However, if you find this challenging, try creating notes to use as a safety net in case you lose track.

If you’re presenting online, you can keep notes beside your computer for each slide, highlighting your key points. This ensures you include all the necessary information and follow a logical order.

Tip #7: Practice

Practice doesn’t make perfect — it makes progress. There’s no way of preparing for unforeseen circumstances, but thorough practice means you’ve done everything you can to succeed.

Rehearse your speech in front of a mirror or to a trusted friend or family member. Take any feedback and use it as an opportunity to fine-tune your speech. But remember: who you practice your presentation in front of may differ from your intended audience. Consider their opinions through the lens of them occupying this different position.

Tip #8: Read the room

Whether you’re a keynote speaker at an event or presenting to a small group of clients, knowing how to read the room is vital for keeping your audience happy. Stay flexible and be willing to move on from topics quickly if your listeners are uninterested or displeased with a particular part of your speech.

Tip #9: Breathe

Try taking deep breaths before your presentation to calm your nerves. If you feel rushed, you’re more likely to feel nervous and stumble on your words.

The most important thing to consider when presenting is your audience’s feelings. When you approach your next presentation calmly, you’ll put your audience at ease and encourage them to feel comfortable in your presence.

Tip #10: Provide a call-to-action

When you end your presentation, your audience should feel compelled to take a specific action, whether that’s changing their habits or contacting you for your services.

If you’re presenting to clients, create a handout with key points and contact information so they can get in touch. You should provide your LinkedIn information, email address, and phone number so they have a variety of ways to reach you. 

There’s no one-size-fits-all template for an effective presentation, as your unique audience and subject matter play a role in shaping your speech. As a general rule, though, you should aim to connect with your audience through passion and excitement. Use strong eye contact and body language. Capture their interest through storytelling and their trust through relatability.

Learning how to give a good presentation can feel overwhelming — but remember, practice makes progress. Rehearse your presentation for someone you trust, collect their feedback , and revise. Practicing your presentation skills is helpful for any job, and every challenge is a chance to grow.

1. Charts and Graphs

Charts and graphs are a form of presentation aid used to visually compare statistics and figures. These are some of the most used forms of visual aids in the business world.

Listening to long strings of numbers can be a challenging task. Comparing long strings of numbers without reference can be near impossible. Overwhelmed with this type of data, most audience members will mentally check out.

Comparing simple shapes or lines is an easier task for most people.

A simple chart or graph will drastically help your audience comprehend numbers in a way that is easier to understand.

2. Handouts

Handouts are physical objects given to the audience that contain information related to the presentation. 

The greatest advantage of using a handout is the physical interaction your audience has with your presentation.

Your audience has the freedom to interact with these handouts during the presentation — they can touch, smell, read, etc., giving them an edge in actually retaining the information.

The more senses your audience uses during a presentation, the better.

3. Demonstration

Demonstrations are actions performed to exhibit or illustrate a point. The goal of a demonstration is to take an abstract point and anchor it in reality, as well as to ensure your audience comprehends a speaking point.

Demonstrations aren’t limited to just physical demonstrations. Demonstrations may also include allegorical stories or proofs used to prove a point. Sharing personal stories or case studies could be categorized as a demonstration.

To understand the full potential of demonstrations, think back to your old science teacher. A science teacher's job was to teach to a room filled with easily distracted children. 

Science is one of the most complex subjects to teach and the audience is a tough crowd. How did they do it?

With demonstrations! Or more specifically, with science experiments.

Physical demonstrations are some of the most memorable moments of an entire school year. 

The reason demonstrations are more memorable than a simple speech is because demonstrations invite more of your audience’s senses to take part in the demonstration. 

Not only do you hear the lesson, but you can see, touch, smell and sometimes even taste it as well. 

The audience is also involved when the demonstration is a personal story. When the audience hears the story, they imagine it. By recreating the scenario using their own imagination, the memory lasts longer.

Demonstrations are also powerful communication tools. They have the potential to make your presentation go from mediocre to  memorable. 

While powerful, demonstrations can work for or against you. Adding too many, too large or unrelated demonstrations can distract your audience from the actual topic. Ensure that your demonstrations are connected to and accentuate your main points.

4. Diagrams

A diagram is a visual graphic or sketch focused on presenting the inner workings or relations of a subject. A diagram is different from a basic sketch. While a sketch aims to accurately depict an object's shape, a diagram aims to explain and define its functions and relations. 

Diagrams give you the freedom to list, describe, explain and map out your subject matter in a way that is not limited to its physical form.

While mixing a diagram and physical sketch together can be cool, it’s not necessary. Diagrams ought to be chosen based on their effectiveness in explaining the subject's construction and relation to other objects.

Diagrams help explain complex relations between objects without the need for physical properties. Diagrams are great to use when sketches, photographs and videos can not capture all the attributes of an object. 

Before settling on which diagram to use, it’s best to experiment with different types of diagrams. Your decision should rely upon which diagram will aid your audience the most.

Diagrams are also great for describing and defining things that do not have form. Instead of giving a long and complex definition that no one will remember, consider using a diagram. 

Diagrams can show how this new thing relates to something familiar to your audience. This will help your audience understand and remember complex portions of your presentation.

5. Video or Audio

Audio and video clips are presentation aids used to expand the dynamic range of input in your speech.

Your audience will find it easier to engage with your presentation when you diversify your method of delivery. 

An easy way to increase audiences’ sensory input is by transitioning from a simple speech into a video or audio clip.

Videos allow you to convey information in a fast and rehearsed manner. Professional camera work captures prearranged images, audio and speech. This means video is capable of conveying emotion and information more effectively than speech. 

For this reason, a short video clip may do a better job at summarizing the main points of a presentation than a speech alone.

While the benefits of  video are high, there are also some potential problems. The most common issue with video usage in presentations being technical compatibility issues.

A smooth transition between speech and video is necessary for your presentation. 

Rough or elongated transitions can be a major distraction for your audience. If this happens, your audience may find it difficult to reinvest in your presentation.

To ensure smooth transitions, your presentation software must be capable of integrating videos clips directly into your presentation. 

It is important to have dependable presentation software .  By doing so, you’ll be able to transition between video clips and other presentation aids.

The transitioning issue is most noticeable at the end of a presentation. Especially when a speaker attempts to transition from a slide-show into a video clip.

Quotations are a type of presentation aid that appeal to outside authority and expertise. Quoting others helps establish a positive rapport with your audience.

Yes, you CAN deliver a memorable presentation without PowerPoint!

But will you be memorable?

ABSOLUTELY.

People spend far too much time preparing PowerPoint or Prezi slides for a presentation and not enough time thinking about how to influence audiences, so today we want to give you some tips on how you can deliver a memorable presentation without PowerPoint.

Your slides are an aid to your presentation, but they’re not the presentation itself.  The more you stand side-on to an audience reading from them, the more likely you are to have zero impact.

Yes, you’ll survive.  And yes, everyone will tell you were great! (No-one will want to hurt your feelings).  But no-one will remember a thing you said.

Here’s another way.

Ask yourself what you want your audience to think, feel, do or believe?  Are you there to educate?  To motivate?  To entertain? Your presentation needs a purpose.  And the answer to this question gives your presentation its shape.

Once you’ve answered that question, the opening line of your presentation becomes obvious. For example:

“Good afternoon ladies and gentlemen. My aim today is to inspire you to quit your very safe day job and pursue your dream of owning your own business.”

You’ve told them exactly why you are there and what you plan to achieve. This gives them a clear direction, and something to look forward to!

Now you’ve got their attention, take them on a journey.

Think of one, two or three reasons –  no more – why people should do just that: quit their day job and start a business.  These reasons will become the key messages you want the audience to remember.

My own three reasons for owning a PR consultancy are these – autonomy, job satisfaction and financial freedom.

So here’s your presentation so far.

“Good afternoon ladies and gentlemen, my aim today is to inspire you to quit your very safe day job and pursue your dream of owning your own business. I know you’ve got a dream like this. Now there are three reasons why everyone should live life without a safety net and pursue this dream.  The first is autonomy – having complete control over your own life. Imagine that. The second is job satisfaction.  Having your clients hug you, when they adapt your ideas and it changes their lives.  I can tell you, that’s a great feeling. And the third is financial freedom.  No longer just working for wages, but tasting some profit as well.”

That’s the introduction to your presentation.  You’re sixty seconds in, no Power Point in sight.  And you have the attention of the entire room.  They’re open to the proposition you’re making, and ready to go on a journey.

Your introduction gives you the structure for your presentation.  Stay with what you’ve promised and don’t introduce any other themes.  You stated your purpose and key messages in the introduction. Now repeat those messages and elaborate on them. Use the same order as in the introduction.

Illustrate your key messages with personal stories or real industry case studies.  The more personal and emotional the better.  You won’t need Power Point, you won’t need notes and what you say will be unforgettable.

Here’s how you might unpack the first key message in your presentation.

“The first reason you should quit your very safe day job and pursue your dream of owning your own business is autonomy.  If you’re a natural boss, who has been masquerading as an employee for twenty years, business ownership is for you.  If you’re a parent who regrets missing out on limitless precious moments with your children, the autonomy of business ownership is for you.  My drive to starting my own PR firm was a combination of these.  I’ve always been the dad who purposely worked 5.00am starts in the newsroom so I could be there when my kids got home.  I’ve never been able to understand the kind of reasoning that puts children as top priority in theory, but not in practice.  I came from a small business family, and I’ve  watched them make a success of things while I’ve been toiling away at the ABC.  Not long ago, I decided it was time for a change.”

My presentations continue with the rest of my story. I highlight the autonomy I’ve enjoyed since leaving news reporting.  How I’ve lost weight and felt better. The better work/life balance I’ve had, and quality time with my children.

Then I stay with the structure, deliver my second key message and illustrate that with a personal story. Likewise for the third key message.

Finally, I summarise and round things off.  A good conclusion is simply the introduction restated. Don’t be afraid to use the same phrasing. It reaffirms your message.

“ So in conclusion my aim here today was to inspire you to quit your very safe day job and pursue your dream of owning your own business.  How did I go?  Hands up If I’ve got you thinking. Now there’s three reasons why everyone should live life without a safety net and pursue this dream.  The first is autonomy.  Having complete control over your own life – imagine that.  The second is job satisfaction.  Having your clients hug you, when they adapt your ideas and it changes their lives.  And the third is financial freedom.  No longer just working for wages, but tasting some profit as well. Thanks for having me.”

Stand back and enjoy the applause.

No power point, no notes, just a purpose and three key messages illustrated with personal examples.

You’ll notice that there is a lot of repetition.  This is what helps your audience to remember what you say. Reaffirming things helps them resonate.  Give them the same messages at the start, in the middle and at the end.

Make it emotional, tell stories and you will never be forgotten.

So limit your PowerPoint content to a little text, preferably only keywords, and create a good, understandable image. If you use a self-explanatory video, just keep quiet until the video stops. Tell your audience the rest but never both at the same time.

3. The more important, the bigger

Most PowerPoint slides have one thing in common: big headline, small text. However, since our attention is focused on the largest object first, everyone focuses on the headline first. But that doesn’t contain the message of the slide. Therefore, it makes sense to make important elements larger than the less important ones. Create consciously focus points with bigger text.

4. Contrast draws the focus

In addition to size, contrast also determines what the audience focuses on. Conversely, this also means that if the elements do not stand out from each other, the viewer’s eye will wander aimlessly across the slide. Therefore, provide the element you are talking about with the strongest contrast. For example, change the font color of the words in a bulleted list of your PowerPoint. The keyword you are talking about is clearly visible, all others are grayed out. Or create highlights for individual parts of a PowerPoint graphic one at a time. This way your audience can follow you step by step.

5. Black background for relaxed eyes

We are used to slides always having a bright white background, but this is not a law of nature. A black basic layout for slides is much more relaxing for the eyes. Plus, you don’t have to fight your presentation for the audience’s attention. After all, the slides are only a tool of your presentation and you as the presenter are the focus of attention.

6. Use objects sparingly

It’s not the number of slides that is one of the big problems with bad presentations, but the number of objects on each slide. From the headline to the page number, everything gradually grabs the attention of the audience. The more different objects a brain has to grasp, the busier it gets and the more it can’t listen to you. Therefore, limit yourself to a maximum of 6 objects and only fade in those elements that are important for the context of your presentation. Avoid cluttered slides and create a clean and professional-looking presentation. Be sure to avoid animations or videos that are constantly repeating in a loop, such as spinning logos. This equals a hypnotic distraction for your audience. 🙂

Identity Crime

Identity crime is a generic term used to describe offences in which someone uses a fabricated or fictitious identity, a manipulated identity (the alteration of one’s own identity) or a stolen identity to commit a crime. The third of these, identity theft knows no geographical boundaries and is on the increase as more people conduct business and social interactions over the internet. This type of crime produces substantial profits for criminals and causes extensive economic losses to governments, private corporations and individuals. Much of the money lost by individuals stems from credit card fraud, identity theft and scams. However. what worries law enforcement agencies the most is how identity crime facilitates serious and organised crime, with distressing effects on society as a whole. Identity crime is a major problem, made more difficult to investigate and solve as the offender can be on one side of the world and the victim on the other.

There are some simple steps you can take to reduce the risk of having your personal information stolen or misused. Only give out personal information over the phone or internet if you have initiated the call or the transaction and can verify that the person or organisation is legitimate Never record PIN numbers for bankcards anywhere inside your purse or wallet. Secure your letterbox with a lock and elm your mail regularly. Burn or shred documents with personal information or store them in a secure place, and wipe your computer hard drive if you are selling it. Make sure the virus and security software on your computer or mobile device is up-to-date and don’t use public computers or unsecured wireless hotspots (such as those at a library or internet cafe) for internet banking. Always check bank and credit card statements for unauthorised transactions and report any discrepancies to the hank promptly. Don’t respond to scam emails or letters that promise a prize or reward if you provide bank account details to the senders to enable them to deposit the money. Always use the most secure settings and keep a tight rein on how much private information you post on publicly accessible networking sites. Remember, also that information on the internet can remain accessible even if the original posting is removed.

Making a presentation without props

When you make a business presentation using PowerPoint or a flip chart, the audience’s attention will mostly be on the slides or chart. When you give a talk without props, the only visual you have is yourself. Obviously, the content is a key part of the presentation, and you will work on that until it is word perfect. However, a successful delivery is also governed by your body language.

Body language (gesture, stance and facial expression) is a key element in generating interest and building credibility. It helps you connect with your listeners and helps them focus on your message. Use body language with purpose to accentuate key points of your talk and to project authenticity and enthusiasm.

Use eye contact to quickly establish a close bond, by focusing on one person at a time rather than sweeping the audience as a whole. Hand gestures should either be open and neutral (relaxed at your sides) or defined and strong to intensify what you say. Interestingly, research has shown that gesture is intrinsically linked to speech and that by incorporating appropriate gestures we can express ourselves more powerfully verbally. Effective gestures come from the shoulders rather than wrists or elbows and have a twofold advantage: not only do they project further across the audience but they also release tension in the presenter’s upper body.

Your stance is an open book: the audience can read whether you are confident and comfortable or anxious and afraid. Balance your weight evenly with feet slightly apart and pointing straight ahead. Stillness projects calmness, whereas constant movement or swaying about is an annoying distraction. You can occasionally move around in the space available to you as long as you do so confidently and purposefully, to highlight a change in topic for instance. Lean slightly towards the audience when asking a question or offering a revelation.

Facial expressions are vital to effective communication. Unfortunately, public speaking can cause a face to freeze, but the audience relies on facial expressions to amplify the meaning of what you say. Voice, too, is a flexible tool that can be used to great advantage. Before your presentation, practise relaxing the voice and finding a lower, more authoritative pitch. Avoid rising intonation at the ends of sentences as it lacks authority – rather it sounds as if you are unsure or seeking approval – not at all the impression you want to give. Breathe deeply and enunciate clearly.

Bioremediation

A Global energy need; will probably increase by 30% over the next ten years and at present, 40% of the world’s energy is consumed by buildings. One way to make buildings more energy efficient is to insulate them and minimise fresh air exchange. However, reduced air circulation causes a phenomenon known as Sick Building Syndrome when combined with the volatile organic compounds (VOCs) emitted by modem materials used in of blocks, furnishings and high-tech equipment, along with human bio-effluents. Eye irritations, skin rashes, sinus and respiratory problems, headaches and drowsiness are common symptoms. The VOCs are not only noxious but carcinogenic, with long-term exposure heightening one’s risk of cancer.

B An environmental scientist, Dr Bill Wolverton, working for The National Aeronautics Space Administration (NASA), came up with a solution: “if man is to move into closed environments, on Earth or in space, he must take along nature’s life support system”. In other words, plants. Early experiments were conducted in the BioHome, an airtight habitat constructed entirely of synthetic materials, designed for one person to live in. Before Wolverton introduced houseplants into the environment, it was uninhabitable because of the poor air quality – anyone entering suffered burning eves and breathing difficulties.

C Wolverton found that, apart from absorbing carbon dioxide and releasing oxygen as all plants do, some plants are able to remove considerable amounts of VOCs. They do this by absorption through tiny openings (stomata) on their leaves, but roots and microorganisms living in the potting soil or other growing medium are also important in the removal of toxins from the air. Most of the plants used by Wolverton originated in the understory of subtropical or tropical forests, with their particular leaf composition enabling them to photosynthesise in reduced sunlight. This ability is what allows them to thrive indoors away from direct sunshine. One largish plant for approximately every ten square metres of home or office space is suggested as an operational ratio.

D The strategy of using indoor plants as air purifiers has not been widely endorsed because of a lack of quantifiable outcomes. This could be changing, however. Recent studies at the University of Technology in Sydney have shown that certain plants on Wolverton’s list, namely Dracaena deremensis ‘Janet Craig’ and the peace lily Spathiphyllum wallisii, reduced pollution levels to negligible levels when placed in offices with high quantities of VOC’s.

E Building on the NASA experiments and with the help of the Indian Institutes of Technology and The Energy and Resources Institute, Kamal Meattle of New Delhi has trialed several of Wolverton’s recommended plant species at his workplace. He used 1,200 plants for 300 occupants (four waist – to shoulder-high plants per person) in a twenty years old building measuring some 4,600 square metres. Results of this experiment showed elevated blood oxygen levels in the occupants and reduced incidences of eye irritation as well as a marked reduction in respiratory system disorders and headaches. Since the installation of the plants, the labour force has increased productivity by over 20% and energy requirements for the building have been reduced by 15 per cent. For his study, he used the areca palm, the snake plant (or mother-in-law’s tongue) and the money plant (golden pathos).

F The areca palm (Chrysandocarpus lutescens), native to the island of Madagascar, has a smooth silver-green trunk and feathery-shaped fronds. A sensitive plant, it needs year round care with the right amount of bright but indirect light. The soil should be kept a little moist in spring and summer but allowed to thy slightly in autumn and winter. The areca favours a snug container – the crowded root system will limit the size of the palm, if unrestricted, it may grow as tall as six metres. The areca palm has been proven effective in the removal of toluene (in new carpet, paints and varnishes) and xylem (a potent neurotoxin found in marker pens, paints and varnishes).

G The snake plant (Sansevieria trsfasciata) is an evergreen perennial species, originally a resident of tropical West Africa. Its stiff vertical leaves extend up to a metre in length. It is more tolerant of irregular watering and low light levels than the areca palm. Meattle notes that it would be ideally placed in bedrooms because it is a nocturnal oxygenator. It also does a good job of absorbing benzene (a commonly used solvent in oils, paints, plastics and rubber), trichloroeihylene (a commercial product with a wide variety of uses including inks, paints, adhesives) and formaldehyde. in addition to toluene and xylem. Formaldehyde is a pervasive and abundant chemical found in numerous paper products, particleboard, plywood synthetic fabrics, carpet, cigarette smoke and heating and cooking fuels.

H The money plant (Eppreinnum aureson), is indigenous to French Polynesia. This evergreen vine is a very hardy plant, but highly invasive if it takes root out of doors. It is an easy and undemanding plant to care for, equally comfortable in bright or low light, nutrient-poor or nutrient-rich soil – it can even be grown in a jar of water. Unfortunately, its leaves are poisonous to cats, dogs and children and even the sap from the plant may cause a rash in people with sensitive skin. However, it is extremely efficient at filtering all the same pollutants as the snake plant, except for trichloroethylene.

I Popular minimalist architecture mostly did away with indoor plants but, as a result of research by Dr Wolverton and others, they are making a comeback. After all, in the words of Margaret Burchett of the University of Technology in Sydney: “Potted plants can provide an efficient, self-regulating, low-cost, sustainable bioremediation system for indoor air pollution”. Plants have even more in their favour: they balance indoor humidity, are pleasing on the eye and, according to a recently published article: “plants relieve physiological stress and negative psychological symptoms”.

8 ways to make your presentation more interactive

In a recent survey we conducted with the help of Harris Poll, almost half of the respondents admitted to doing something other than listening during a co-worker’s presentation—popular answers included sending a text message (28 percent), checking email (27 percent), and falling asleep (17 percent). To say the least, it can be difficult to hold an audience’s attention, let alone get your message across when presenting.

One of the best ways to get your audience to stay focused is to make them feel like they’re a part of your story. There are a few simple things you can do to get your audience to participate in your presentation, by making it more interactive—here’s how.

1. Break the ice. Each of your audience members comes to your presentation in a completely different mood. A simple ice-breaker can put everyone on the same level and energize them for your presentation. Get your audience to do a simple exercise to reset their minds and refocus on your talk. For example, ask people to stand up and introduce themselves to their neighbors, or have them identify two or three questions they would like to hear addressed during your presentation. By starting with an ice-breaker, you show your audience that your talk will be interactive and require their participation.

2. Tell stories. Stories are food of the brain when it comes to the presentations, according to professional public speaking coach Nathan Gold . Storytelling is the most universal way to captivate your audience’s attention, no matter where they are from or what they do for a living. People automatically tune in when you start telling your story because they want to know what happens next. You can go further than dropping a few anecdotes into your speech. Use the storytelling technique that Nancy Duarte found after studying hundreds of TED talks : Present the status quo and then reveal the path to a better way. By following this formula, you set up a conflict that needs to be resolved. You’ll have the audience hanging on the edge of their seats, craving to hear the end of your story.

3. Add videos . With over 6 billion hours of video being watched each month on YouTube alone, it’s hard to believe that still so few presenters use them in their presentations. Videos are a great tool when it comes to giving an engaging presentation. Videos can evoke emotions in an audience that could be otherwise quite difficult to elicit. Find the clip that will put your audience in the right mood and that reinforces your story. With the seamless integration of YouTube videos in Prezi, there is no excuse for not using them.

4. Embrace the power of non-linear presenting. The Prezi experts agree that the real power of Prezi lies in the ability to present your non-linear story. Instead of flipping through slide after slide, you can show the relationships between your ideas and give your audience the “big picture” view of your topic. Try letting your audience drive the presentation—lay out all of your main points, and then let them choose which topics they want to zoom into. Your audience will get a truly custom presentation based on their interests, which they will appreciate and more easily remember.

5. Ask questions during your presentation. Presentation expert and best-selling author Carmine Gallo pinpointed that the audience’s attention drops to zero after just 10 minutes of your presentation. That’s right, 10 minutes. To get their attention back, Gallo advises creating soft breaks within your speech. Therefore, take a break from your presentation from time to time and interact with your audience. Ask for their questions and incorporate them already during the presentation. 6. Poll the audience. Live polls are an incredibly effective tool for instantly engaging with your audience. Unlike rhetorical questions, polls encourage participants to think not only about your questions but also about their answers. By including everyone in answering the question, you also create a group experience that leaves the audience feeling like they all have been part your presentation. 7. Use props. You don’t need to be giving a product demo to use props during your presentation. Props are a great way how to help the audience to wire in another senses to absorb your message. Neuroscientist Jill Bolte Taylor brought a real human brain on stage during her touching TED talk to explain to what happened to her when she had a stroke. She touched the audience with this demonstration and left the audience in complete awe.

8. Share the glory. Don’t steal all the glory for yourself. Share the stage with other presenters or the audience members to help you narrate the story and make the whole presentation more interactive. Steve Jobs never pulled off the entire presentation by himself; he always invited several speakers, including designers, partners, and other executives, to help him introduce their latest product. Do the same. Bring someone from the audience onstage and get them do something relevant and fun. This technique should always be arranged with the volunteer in advance.

What is a prop?

The word “prop” comes from the term “theatrical property”. If you watch a play, props are objects used by actors on stage to add realism to the story and to help advance the narrative. Common props that are used in a play include tables, chairs, lamps, umbrellas. The list goes on and on.

In a presentation, props are objects that the speaker uses to enhance the impact of a presentation. The size of the prop is limited only by the size of the stage. Most props are small enough to be handled by the presenter. Famous examples include the times when Steve Jobs unveiled the latest iPhone or MacBook. However, props can be large such as when Elon Musk unveil the latest Tesla model.

Slide presentations such PowerPoint, Keynote and Prezi are also props; however, they are such a specialized form of prop for presentations that they deserve separate consideration and will not be discussed in this post. For more on slide presentations, please click here .

How do props help a presentation?

The well-timed use of a well-chosen prop can make a big impression on the audience. Props can help a presentation in several ways:

  • They can make a point concrete.
  • They can have an emotional impact.
  • They can be effective metaphors.
  • They can inject humour into a presentation.
  • They focus the audience’s attention and interest.
  • They are memorable.

In their book  Switch , Chip and Dan Heath tell the story of Jon Stegner, an employee at a large manufacturing company who wanted to show executives the enormous amount of money that was wasted annually because of poor purchasing habits. Stegner believed that the company could save around $1 billion over five years if the company changed its purchasing process. In order to change the process, Stegner had to get the company’s executives to believe in the concept. And for the most part, they didn’t.

Stegner needed a compelling example of the company’s poor purchasing habits. So he got an intern to investigate one item that the company purchased: work gloves, which the workers in the company’s factories wore. The intern found that the company’s factories were purchasing 424 different kinds of gloves from different suppliers and for different prices, even for the same pair of gloves.

From a presentation viewpoint, what Stegner did next was brilliant. He had the intern collect one sample of each of the 424 different types of gloves and tag each with the price the company paid. The gloves were then brought to a boardroom and piled up on the conference table. Stegner invited all the presidents of the company’s division presidents to come visit his “Glove Shrine”. In their book, the Heath brothers write:

What they saw was a large expensive table, normally clean or with a few papers, now stacked high with gloves. Each of our executives stared at this display for a minute. Then each said something like, “We really buy all these different kinds of gloves?” Well, as a matter of fact, yes we do. “Really?” Yes, really. Then they walked around the table…. They could see the prices. They looked at two gloves that seemed exactly alike, yet one was marked $3.22 and the other $10.55. It’s a rare event when these people don’t have anything to say. But that day, they just stood with their mouths gaping.

The gloves exhibit soon became a traveling road show, visiting dozens of plants. The reaction was visceral: This is crazy. We’re crazy. And we’ve got to make sure this stops happening. Soon Stegner had exactly the mandate for change that he’d sought. The company changed its purchasing process and saved a great deal of money.

Such is the power of a well-used prop.

Ten tips for using props

1) the prop must be relevant to the message.

It might seem axiomatic, but without question, this is the most important rule for using props. If the prop does not, in some way, contribute to the objective of your speech or presentation, you should not use it.

Jill Bolte Taylor used a human brain during her amazing talk about the massive stroke that she had and the insights into life that she gained from it ( at 2:30-3:45 in the video below). The prop was effective because it gave the audience a very visual, very memorable sense of the basic structure of the brain, which was important for the rest of the talk.

2) Make sure the audience can see the prop

The larger the audience, the more care you must take to ensure that everyone can see the prop. It is frustrating for those who are sitting at the back if they cannot see it. Even for small audiences, a speaker must be sure that people can see the prop. This means holding it up or setting it up high enough and for long enough so that people can get a meaningful look.

In this talk by Bruce Aylward, which I have  analyzed on my own blog , Bruce used a very small prop in front of a very large audience to open his talk (0:35 – 0:55). However, the prop worked because a video of Bruce was being projected on a large screen for the audience and Bruce held up the prop long enough so that people could get a good look.

3) Use the right number of props

If you use more props than is appropriate for your presentation, there is a risk that it will come across as  Vaudevillian  rather professional. There is no “right” number of props to use, though in many cases, one will suffice. It depends on a number of factors such as the amount of time you have, the nature of the props, whether the props are related, etc. No two speeches are the same and each requires its own “recipe” to turn out right.

Daniel Kraft gave a terrific presentation in which he conveyed an incredible amount of information about harvesting bone marrow. In addition to video and PowerPoint slides, Kraft used five props in four minutes. But he used them well.  

4) Make sure the prop works

The more complicated the prop, the greater the chance that something can go wrong. Test it, test it and then test it again beforehand. This is especially important if the prop forms a key part of the presentation; for example, if it is an invention that you are revealing to the public.

In this TED Talk, Markus Fischer showed his audience (starting at 2:00) a robot that he and his team invented. It looks and flies like a real bird and is truly remarkable. There is a lot that could have gone wrong with this prop (including crashing into the audience!) but it worked like a charm (twice). I have no doubt that Markus and his team tested it over and over before the presentation.

5) Have a backup in case the prop doesn’t work

Many props are simple items with few or no moving parts. The chances that they will not work are next to zero. But what about complicated props like the robotic bird above? Or what if you forget or lose your simple prop? Can you adjust? Do you have a backup plan?

In the video above, everything worked well. But to be on the safe side, I would have had a video of the robotic bird flying just in case something went wrong with the live presentation. Perhaps Markus Fischer did have such a video but he didn’t need it.

6) Be completely comfortable with the prop

The speaker must be comfortable in handling the prop from start to finish. This means revealing the prop, handling it, operating it (if applicable), putting it away and, of course, speaking about it.

For a memorable example of the need to be comfortable with a prop, this speech by Chris Bishop certainly fits the bill. The prop in question is fittingly referred to as the “swinging ball of death” and if you watch the short video below, you’ll know why.

7) Where possible, keep the prop hidden until you need it

This is more easily done with small props that you can keep in your pocket or behind the lectern. However, it might be possible with larger props if you have a big stage with a back curtain or wings. There are two main advantages with keeping the prop hidden: it will not distract the audience while you are talking about something else; and the impact of the prop will be greater if it is only seen when you reveal it.

When I participated in the 2009 Toastmasters District 59 Humorous Speech Contest, my speech was a good-natured spoof about men evaluating their wives’ ability to argue. At one point, I talked about how when they yell at their husbands, wives have to remember not to go on and on. In Toastmasters, a red card is universally recognized as the sign that you have to wrap up your speech. I found a way to incorporate this into the speech (5:30 – 5:40). I used a red card as a prop, but kept it hidden until I needed it. The card had the intended effect.

8) If you talk about the prop before showing it, build a sense of anticipation before the audience sees it

Doing so will focus the audience’s attention and give the prop greater impact when it is revealed. Of course, this requires the right choreography and the prop needs to live up to the expectation that you create; however, when done well, the effect is powerful.

A classic example of this technique was when Steve Jobs revealed the MacBook Air for the first time. Note how he used the comparison with the Sony notebook to build up interest and expectation. And having the MacBook Air in “one of those envelopes we’ve all seen floatin’ around the office” was a stroke of genius.

9) Be creative with your props

We have written  elsewhere  and on Presentation Guru about the importance of being creative when it comes to preparing a presentation and the same holds true for props. With thousands of objects from which to choose, use your imagination and try to think of unusual props that would have a real impact on your audience. One idea is to think about metaphors or analogies for the points you are trying to make and then look for the relevant item. It might be as close as your kitchen cupboard.

I thought that Bill Gates’ releasing a bunch of mosquitoes in the TED auditorium while delivering his talk about malaria was brilliant (5:10 – 5:35). It was creative, unexpected and definitely grabbed the audience’s attention.

10) Put the prop away when you are finished with it

Unless you will need to refer to the prop again, I recommend putting it away (or at least to the side) once you are finished using it. Otherwise, the prop could be a distraction for the rest of your talk. In most of the videos above, the speakers either put the props away, put them to the side or had assistants take away the props when they were finished with them.

The next time you have a speech or presentation and are looking to add a little “oomph”, consider using a prop. If you do, the tips above will help you get the most out of it.

I appreciate that you suggested holding the prop up or making sure that it is elevated so that the audience can see it. I will share this tip with my sister since she plans to use prop money for the event that she will be hosting. It will be about handling money for college student since she was successful in her 20s even if she was a new graduate by that time.

  • To break away from using slides

Best Practices on How to Use Props

Select your props with care..

  • Ensure they are large enough to be seen.
  •  Proofread/check for errors (often better to get a different set of eyes on them as you may gloss over the errors).
  • Make sure your prop is not offensive.
  • Consider how you will carry your prop to and from the speaking venue.
  • Consider set-up and take-down time.
  • Manage your mess: If working with food, glue, or other messy items, bring wipes and a trash bag to clean up.

Practice with your props.

  • Work to seamlessly integrate the prop (it shouldn’t look like someone told you that you had to use a prop).
  • Be able to show and put away your prop seamlessly.
  • Have a plan for how to hide the prop until you need it.
  • Make eye contact with your audience while working with your prop.
  • Place your prop where you can easily reach it.
  • In demonstration speeches, make sure everything is opened (it is hard to open cream cheese while speaking).
  • Put the prop away after using it.

Have a backup plan in case the prop does not work.

  • Bring tape in case you have to hang something up.
  • Have whiteboard markers in case you need to write on the board.
  • Practice with a clicker and with your props so you know how to work them together.

Additional Thoughts on Props

  • Include reminders on your notecards for when to use the prop.
  • If your prop involves a volunteer, make sure they know what is expected.
  • Do not pass items around for the audience to see, it is too distracting.

Props Help Demonstrate How Something Works

It can be difficult to envision how things work with only an explanation. In this speech, Michael Pritchard not only tells us, but he also demonstrates for us how the water filter works. He starts by taking dirty water and then he makes it even dirtier. The dirty water causes some people to have a physical reaction. This makes the impact even more memorable when he cleans the water and then hands it to someone to drink.

Props Can Be Used to Prove a Point

One of the students had a large, 50-pound sack of dry dog food. When called, she went up, and put the bag on the corner of the desk, went around it, and began her speech. She started talking about her wedding. She explained how she was a newlywed. She told of the importance, to her, of fitting into her wedding dress, and of all she had gone through to make that happen. She spoke of having been chubby her entire life, etc. At the very end of her speech, after telling us that she had accomplished her goal, and had fit into her dress, she stepped around the desk, put her arm around the bag of dog food, hoisted it onto her hip, and told us that if she had stepped onto a scale just then, the scale would have showed what she had weighed, at the start of her journey. She put the bag back on the desk and said, “But not anymore!”   Mike Fleming.

Jamie Oliver is not only passionate about food, he is passionate about teaching people to eat healthier. Watch as he illustrates how much sugar is in milk. As you watch the video, notice how he has a volunteer bring his prop on the stage at just the right time. As he dumps one cup at a time on the floor, we begin to see the problem. Finally, when he dumps the wheelbarrow of sugar on the floor and then dramatically tosses it in the air, we begin to sense the urgency of the problem. The timing of his prop is perfect. The fact that he interacts with the prop really drives home his point in a way that is memorable and impactful.

Andrea Schiefelbein uses humor and some creative poster usage at a High School National Speech and Debate Championship. Notice how she creatively uses the poster board in layers. Pay attention to how she has just plain black poster board when she doesn’t need us to see a picture. Finally, watch as she uses the genderbread man to draw us and she causes us to think as we watch her add pieces to the poster.

Nine of the Best Props to Add Impact to Your Presentation

When you use a prop in a presentation, the primary objective is always to add value, clarity or emphasis to a point or an idea in a speech. If used correctly a prop provides the bridge between the abstract and the real world. For example, in his TEDx talk on ‘The Art of Saying No,’ Kenny Nguyen  does this very effectively.

He refers to the “sword of yes” and “shield of no,” and picks up a sword and shield to help demonstrate his points. A prop should not just be an irrelevant addition to a speech or a distraction but support the content and/or delivery.

It is probably more impactful if your props become visible only when they are needed. Otherwise, you run the risk of curiosity taking over and your audience will be distracted trying to figure out what it is! Your props should also be big enough for the entire audience to see, hear or feel.

The transition before and after using a prop must appear effortless. Try to avoid ‘the silence’ employed by some speakers immediately before the introduction of a prop as they struggle to get it from wherever it is kept, or straight after it has been used as they attempt to discard their props.

The ending is also important; what happens to your prop after it has been used and has served its purpose? Ideally, it should be seamlessly removed from the stage or hidden away to avoid possible distractions as you continue your speech – unless its visibility adds value.

Here are nine of the best, unusual and most effective props you can use to enhance your next speech or presentation.

One of the best, unusual and most effective prop you can employ is the clothes you wear. Your attire communicates with the audience before you utter your first word.  Choose clothing that is comfortable and facilitates easy movement.  Don’t limit yourself to rehearsed movements as there may be unplanned movement during your speech.  Think about your colors, patterns, styles, designs that may offend or endear you to your audience.

It is an important prop that should never be neglected.

A picture is worth a thousand words and a video is worth ten thousand. Most people tend to recall things in pictures. Using pictures or videos in your speech adds another layer and a greater opportunity for your speech to be memorable. This is also one of the simplest and most effective prop that can be used.

To add more layers, if your picture involves written words, try using a slightly difficult to read font.  Daniel Oppenheimer , an associate professor of psychology, carried out research and found that texts written in hard to read fonts are usually remembered more than generic fonts. You can utilize this as part of your presentation especially if you’re using PowerPoint slides or a prop with words.

Vocal variety when delivering a speech breaks the monotony and keeps the interest of your audience. Using a prop that make a sound adds even more variety and stimulates the auditory nerves to work harder to register another frequency. An unexpected noise can also elicit a physical response which involves your audience even more in your speech.

Presiyan Vasilev in his 2013 winning Toastmaster world championship speech ‘Changed by a tyre’ used his voice to create a noise made by a broken jack. Changing the tonality of your voice does not exactly qualify as a prop. This speech shows how it adds value.

Try making a sudden or unexpected noise and observe the reactions of others. Sounds can also extend to an unseen prop that may provide background music and help to create an atmosphere for your speech. Imagine a movie trailer without music and the difference is quite startling. Practice your speech with an appropriate background music track and experience the difference music can make.

4. Movement and Interaction

Using a prop that moves or interacts with the audience gets people to move their eyes, heads, or bodies consciously towards a focal point.  It also focuses their attention to where you want them to look.

Getting your audience to move during your speech provides a break from just sitting and listening. It is engaging and makes your speech more memorable.  It is why most speakers ask audience members to raise their hands or get up and move around a bit.  Every presenter wants their audience switched on for their entire speech however our minds tend to wander at the best of times.  Therefore, getting your audience to respond or engage with your prop ensures they don’t lose focus.

Use a prop that smells: Did that statement cause you to react? The olfactory sense is one of the most underutilized senses when it comes to delivering a speech or presentation.  While it is a difficult prop to use there are clever ways to integrate this into your speech.

In his 2014 world championship winning speech, Dananjaya Hettiarachchi cleverly uses the sense of smell by smelling a rose at the beginning of his speech.  As most of his audience would have had the experience of smelling a flower, this serves to trick their olfactory senses into thinking they are having a similar experience.

6. Living Things

This is extremely risky and unpredictable but certainly unusual and potentially unforgettable. The best use of living things in a speech was by Bill Gates in his TED talk in 2009, Mosquitoes, Malaria and Education where he released live mosquitoes into the audience during his talk. This one prop made it into all three categories of the best, the unusual and the most effective prop.  The audience were not only attentive but became emotionally connected to his speech by their fear of getting bit by a mosquito that could potentially cause malaria.  Risky but unforgettable!

7. Be Specific

Maya Angelou, the American poet once said, ‘People may forget what you say, people may forget what you do but they will never forget how you made them feel’.

If you want to really engage with your audience and make them feel special, then use a prop that is specific to their culture, geographical location, or some shared passion. It will not only enhance your speech, but it will also help to build your credibility as a thoughtful, caring and well researched speaker. It will show your audience that you thought about them as individuals, made the effort to connect and help build trust and rapport.

You can use colors of a local football club, a song associated with your audience or a picture of a famous landmark.

8. Controversial or Unexpected

If you are looking for immediate engagement or reaction with your audience, then select a prop that is controversial or unexpected like 2015 World Champion of Public Speaking, Mohammed Qahtani , in his speech ‘The Power of Words’.  The prop used was a cigarette. Smoking on stage? The prop drew immediate attention and he cleverly diffused a potentially controversial start with humor then smoothly linked the use of his prop to the rest of his speech.

Laughter is the shortest distance between two people is a quote by Victor Gorge, comedian, and he was right. Laughter is one of the best emotions that human beings can ever experience. It relaxes the body and makes the mind more receptive.  Laughter triggers the release of endorphins, which make you feel good.

Laughter not only relaxes your audience, but it creates an emotional, psychological, and physical connection to the speaker. Most experienced speakers will usually get the audience to laugh within the first thirsty seconds on stage. Depending on your skills at delivery, a prop that results in laughter is a valuable tool to use in your speech. It could be as simple as putting on a hat or showing a slide.

I hope you’ll find something useful in this list. It’s a good starting point if you ever decide to integrate props within your next presentation, and you’ll be able to use your creativity to add other props to the list.

Using props (visual aids) well in speeches 

10 tips, (and more), to enhance your presentation with visual aids

Props (aka visual aids) used well make it easier for a presenter to deliver their message effectively and for the audience to receive it. They add variety and interest to a speech.

When you 'show' as well as 'tell' an audience is more likely to be engaged, to understand and, importantly, to remember what you share.

Think about using props from your audience's POV

Which of these alternatives is more effective from your audience's point of view (POV)?

If I were giving a presentation on my working holiday in Russia, and you were sitting in the audience, would you prefer to simply hear about it?

Or would you rather hear about it AND see a few carefully chosen photographs, along with a few Russian souvenirs?

The 'hear and see' option wins hands down.

(The photos were taken during a visit to Russia to teach a course for Russian English teachers on teaching English . It was a fantastic experience, and sadly, given the current situation, one that could not happen now.)

Here's one more example.

Imagine explaining something like the current weather patterns, or the fluctuation of the US dollar over the past year without using visual aids. No diagrams. No graphs.

It's tough. It's not impossible, but it is definitely a challenge.

When you use good visual aids as part of your speech, you are giving your audience so much more. They add value to your presentation.

The benefits of using visual aids are:

You reduce the number of words you have to use to explain a concept or describe an event.

Remember that old saying, 'a picture is worth a thousand words'?

Similarly the Hurricane Katrina picture below it doesn't need words. The devastation wrought by the winds and flooding is obvious. We see it and in seeing, understand and feel it.

Credibility

You become more believable through your audience 'seeing' something to reinforce your words.

Another old saying says it for us like this: 'seeing is believing'. When we add 'showing' to 'telling' effectively our credibility rating soars.

Use what will work for your topic, purpose, audience and space to back you words, to add proof. It could be personal photographs, like the ones from my trip to Russia. It could be an info-graphic, a video clip ...

Does every speech need props or visual aids to make it effective?

The short answer is, no.

The longer answer is to consider carefully the nature of the speech you're preparing and its content.

Ask yourself: what could I show (or demonstrate) that would add value for my audience?

Obviously, your answers will vary hugely.

Do add any time or financial constraints into your decision making process. It takes time to gather together and prepare effective visual aids. It may take money as well.

Weigh up the pros and cons before going ahead.

If you don't have time, simplify your plans. It is better to have a few simple well presented visual aids than a grand incomplete scheme.

You may even decide that this time, props are not for you and modify your topic accordingly.

What can I use as a prop or a visual aid?

A bsolutely anything at all!

However there are pros and cons. Before you get too excited consider:

  • whether or not your intended visual aid fits your topic. Something brought along merely because its interesting, or a novelty, needs to be left at home.  A visual aid should support the purpose and content of your speech. If it doesn't, it is irrelevant and could undermine your credibility as a speaker.
  • the suitability of the prop for your audience. Think carefully before showing shocking photographs or any material that may offend, even if it fits the theme of your speech.
  • the monetary value of the prop. Some things are too valuable to shift around without making the necessary arrangements with your insurance company. If you are willing to do that, good. If not, perhaps photographs or a video will suffice.
  • the emotional value of the prop. Are you willing to take responsibility for having either your, or somebody else's, very special items on show?
  • the suitability of your prop in the venue you are using. For example: If it's a huge hall, will your collection of miniatures actually be seen by the people down the back when you hold them up?
  • the setting before committing yourself to a particular prop and shaping your speech around its use. For instance, using the example above close-up photos of the miniatures shown on a large screen might be much better than the real things. However, deciding to use photos cannot be a last-minute decision as they take time to prepare.

How to Use Props - 10 tips for speakers

How to use props tip 1 - integrate, how to use props tip 2 - describe, how to use props tip 3 - less is more, how to use props tip 4 - check, how to use props tip 5 - test.

Plan to give yourself enough time to familiarize yourself with how to operate it properly or to fix any problems you may find.

Please don't try to set it up at the last minute. That puts so much stress on yourself.

How to Use Props Tip 6 - Rehearse

Give your helper clear instructions about precisely what you want done, when. Have all your material in the right order ready for them.

Prepare a cue sheet for them to follow.

Cue 1 = '...reading rates across 11 - 13 year olds has fallen in the last decade. Research shows...' Graph 1 on screen.

Cue 2 = '...however reading recovery schemes have been implemented in some states with some success...' Graph 2 on screen.

When the operator hears the cue, (the words you are saying), they will bring up the right image.

How to Use Props Tip 7 - Order

How to use props tip 8 - effectiveness.

What's the difference? Demonstrating is active . You are doing something. Showing is passive . You are holding something up to be looked at.

Example: 'Here's a remarkably easy drawing technique. I start here...' And the speaker does it on a drawing board in such a way to be visible to the audience.

'Here's the result of a drawing exercise...' And the speaker holds up his drawing pad to display the completed exercise.

The first is active and the second is passive .

NB. When you demonstrate, the key is simplicity. Keep everything you do to a minimum.

Think of how a live cooking demonstration is shown on television. Every aspect is prepared beforehand. The movements of the cook are clear and they've rehearsed their speech to fit precisely what they're doing so the audience can follow easily.

And, please, do not prepare text heavy power point slides and read them to your audience! That is a guaranteed turn-off.

Firstly, generally your audience can read and they do not need you to do it for them. Secondly, reading and listening at the same time can be tricky. The rate your audience reads at and the rate they absorb information through listening can vary. That becomes confusing. What do you do? Listen or read?

Good practice is one slide per idea. Clean. Clear. Not a clutter. When you move on to the next point, the slide is taken down. You don't want the minds of your audience preoccupied with what has passed while you are sharing the point that followed it. You want their full attention.

How to Use Props Tip 9 - Using Animals

How will they respond to the stress of being moved? How will they react to an unfamiliar place with lots of people? Do you need a minder to look after them while you're talking? If you do decide to go ahead, think every aspect out ahead and plan accordingly. Be real in your evaluation.

How to Use Props Tip 10 - Using Assistants

And if you're going to have children taking part, make doubly sure they know what they're doing!

Kids on stage with you can be great fun but the reverse is true too. It's up to you to make them feel at ease and confident about what you've asked them to do. Make it safe for them as well as yourself.

In summary, learning how to use props well will enhance how the audience receives your speech.

 Visual aids give power to presentations

On a personal note I coached senior high school students (17-18 years) through major end of project speeches for several years.

At the school I was teaching in each student chose a topic or theme to explore in depth over the course of their final year. They were expected to examine their subject theoretically, practically and artistically.

The process had a written component- a report documenting their study findings, a practical component (what they did to bring the knowledge into reality), a display (which showed off their practical work as well as their artistic), and a final speech which they gave to the school community. These presentations were a high point of school year and the hall was always filled until it could fit no more.

I remember clearly those students whose presentations were made more powerful through their use of props. I saw video clips of cars that had been built and driven. And likewise, microlight aircraft, extraordinary bicycles, and revolutionary skateboards.

I saw mime performances integrated into a speech. I remember clothes being modeled, live science experiments, excerpts from anthologies of short stories read aloud, pianos played, and songs sung. There was even a live demonstration of breaking in a horse on the school's playing field.

Those speeches covered the spectrum in terms of subjects. What made them live, aside from their passion filled delivery, was the care that had been put into choosing and working with props.

* Props is a shortened form of the word 'properties'. Props are anything used to enhance a presentation. The term originally came from live theater and covered any object (property) used by an actor on stage as part of their performance.

Looking for reliable evidence

Here's an aside that rapidly became a warren full of rabbit holes to go down. I looked for verifiable research showing unequivocally that using visual aids boosted a presentation's believability.

I found the same 'studies' and the same compelling 'extracts' from them quoted over and over again.

This was the quote I really wanted to source. 'According to a 1986 3M-sponsored study at the University of Minnesota School of Management visual aids are 43% more effective than text in persuading audience members to take a desired course of action'. But I could not find the original study, anywhere. Mmm. Perhaps it was a fabrication from a clever marketer who understood the power of names of prestigious universities coupled with statistics?
